I believe communicating a head of time and active listening are crucial. For setting up a successful meeting I create a meeting agenda and explain the meeting’s purpose. I try to create a safe environment, allowing and encouraging everyone to speak. A little piece of advice: Respond to concerns that have been raised!

Start by having a one-on-one conversation to listen to their concerns. Validate their feelings and let them know that their input is important to the team’s success. This helps build trust and shows you’re taking their concerns seriously.
-
Schedule open discussions regularly: Create space for every member to share their thoughts during team meetings, ensuring their input is considered. Assign rotating responsibilities: Encourage inclusivity by letting team members lead certain decisions, giving everyone a chance to step up. Use digital tools for feedback: Utilize collaboration tools like Slack or Trello, and anonymous suggestion boxes to gather input, especially for those who might be shy. Acknowledge contributions publicly: Recognize and act on feedback in meetings or updates, showing that every idea has an impact. Stay solution-focused: Shift conversations to problem-solving rather than dwelling on past errors, keeping the team aligned on solutions.

I schedule a 1-on-1 meeting to understand concerns and perspectives. I actively listen, acknowledge their feelings and clarify their expectations. Next, I involve them in ongoing decision-making processes, seeking their input and expertise. To ensure inclusivity, I establish clear communication channels, provide regular project updates and encourage open feedback. I also empower them to take ownership of specific tasks or sub-projects, leveraging their strengths and interests. Furthermore, I recognize and appreciate their contributions, publicly acknowledging their value to the team. Doing so, I foster a culture of psychological safety, trust and collaboration, ensuring every team member feels heard, valued and invested in project success.
