First of all, it is necessary to assess the situation quickly to understand the change and its impact, then prioritize key tasks, adjust the original plan, communicate clearly with everyone involved and stay calm to think clearly and reduce stress. This will help you and your team to execute with agility, staying flexible for further adjustments.

The worst thing you can do, is try and hide the problem and act like there are no issues... People are smart, they will notice something is wrong, and you will lose all credibility if you don't communicate. The best thing to do is to be honest, open, and transparent. Communicate there is an issue, go to your backup plan, and utilize your team by asking for help. Be clear and direct to avoid further confusion. The show must go on! So move forward with confidence and clarity.

Plan ahead! Definitely have a Plan B (hand-out materials?) AND a Plan C (a QR link to the presentation so attendees can see the pitch deck on their phones or devices). Most importantly, keep calm, stay in the moment, and remember that breakthroughs often happen when things break down.

(edited)When unexpected situations arise during your event, it's essential to stay calm. Whether it's a technical glitch or a speaker delay, overreacting can escalate the problem. A composed demeanor can help your team and attendees feel more at ease. Remind yourself and your team that issues can be resolved, and adapt your strategy as needed. Once you identify the problem, the next step is to pivot quickly. This may involve switching to backup systems or communicating clearly with attendees about the situation. Keeping your audience informed can build trust and ensure they remain engaged. Flexibility is key; sometimes, the best solutions come from thinking on your feet.

I've found that staying calm and proactive is crucial when dealing with last-minute technical glitches in virtual events. Acknowledge the issue, communicate clearly with attendees, have a backup plan in place, and utilize technical support.

As someone who had encountered it more than once, I learned that the most important thing is to inform the audience. You will be surprised to how tolerant can people he when you are transparent with them about an issue. The advice of "stay calm" is useless -:) Sorry, but that must he said. Calmness is not achieved by simply saying "stay calm". It doesn't work that way... Another good thing is have a backup plan. A pre-recorded footage is great and was mentioned. I would add that even migrating to another platform. Put the ego aside. Referring the audience to a competing platform is not a shame. It means you're thinking about your audience rather than yourself
