Projects can be adversely affected with discourse changes. The critical part is to do it right the first time itself. 1. Apportion appropriate time for Front end to be done with near perfection. 2. The tendency to change by the stake holders has to be curved. As information flows people get wiser and desire change. 3. Protocols to avoid change must be in position. 4. Change if necessary, and time and cost implications thereof, must be approved by higher management. 5. Suo moto changes having ramification on execution and strong procedures to curb the tendency to change helps. 6. Doing it right the first time and avoiding change is more a matter of discipline and practice. It is reflective of team confidence.

Streamlining the approval process for design modifications to avoid project delays can be approached by adopting the following strategies: 1. Clear Communication Channels 2. Set Approval Authority 3. Create a Standardized Review Process 4. Use Collaborative Design Tools 5. Batch Reviews 6. Set Deadlines for Feedback 7. Predefine Scenarios for Automatic Approvals 8. Conduct Regular Stakeholder Alignment. These steps can help reduce the friction in the design approval process and mitigate delays.

Modified designs shall be reviewed on fast track basis i.e either reduced review cycle time or carry out on board review meetings. In general modifications to approved design should be limited or even totally avoided.

Mr Ravi Agreed. Our views on project engineers PE role, responsibility, skills. 1. PEs need to be technically sound and need exposure in Process, Engineering , procurement and construction. All facets. 2. PEs must be trained to take decisions and responsibility from inception. PEs must take/own every decision. 3. Project work implies taking decisions for future with minimal or no information. 4. PEs need to develop excellent communication skills and gradually develop strengths in interface management. 5. Purchase and contracting is the fortress, where apart from expertise, knowledge and awareness of procedure, global trends and capabilities is essential. 6. Planning, estimation and construction experience is essential for Projects.

1) By Issuing Notice highlighting effects of delay in approvals. 2) Continuous follow ups with the concerned persons/ Authorities

One way to streamline approvals is by compiling required documents with a summary of items needing approval. Include a checklist and set a reasonable due date. Ensure clarity in the requested items to facilitate efficient processing.

The question was, "You're facing project delays due to design modifications. How can you streamline the approval process?" You need to be very responsive (same day communication) and its best to have voice to voice conversations in lieu of email. Email is out of control and is often a time-consuming ping pong match that we don't have time for.
-
To streamline design approvals, first identify bottlenecks and implement automated workflows, minimising human input. Ensure efficient communication between parties, eliminating delays. Prioritise design sections and approval packages, focusing on critical elements. Assess whether modifications are essential and, if so, integrate them without disrupting the overall project timeline. Explore concurrent workstreams in unaffected areas to maintain progress. If delays arise from client-driven design changes or evolving requirements, ensure an Extension of Time (EOT) is secured under the contract to mitigate potential liquidated damages claims and protect project timelines.

The Employers Designer approves your contribution to the design process whether by developing Stage 3 tender stage to Stage 4 construction in a D&B contract or workshop drawings in a Build Only contract. You will have no control of the approval process so start your claim for EOT as soon as the 10 working days have elapsed.

To streamline the approval process for design modifications, I establish clear criteria and deadlines, use a centralized review system, and empower key decision-makers. I normally prioritize changes based on impact, communicate clearly, and implement a standardized process with version control. Regularly review and refine the process, and ensure my team is well-trained to avoid delays and keep the project on track.
