Stephen R. Coveys Time Management Matrix is a useful time management tool that will help you increase your productivity and effectiveness. Covey categorizes activities into four distinct quadrants and the two factors that determine which quadrant a task or activity falls into are its urgency and importance. Use this tool to increase your awareness of where you are spending your time and to begin dedicating more of your time to Quadrant II proactive activities. Record the tasks and activities that you spend time on and evaluate what percentage of your time you think you spend in each. Here is a summary of the types of activities that fall into each quadrant: Quadrant I activities include crises, pressing problems and deadline-driven projects Quadrant II activities include strategy, visioning, goal-setting, proactive prevention, relationship-building, training and development, recognizing and seizing new opportunities and internal communication Quadrant III includes urgent but unimportant interruptions, calls, meetings, e-mail and mail Quadrant IV includes trivia, busy work, surfing the internet and unimportant and not urgent mail, e-mail and phone calls
