The OJT MANUAL

This OJT manual introduces a complete set of guidelines and


protocols for all the students enrolled in On-the-Job Training. It
serves the purpose of providing the students the guide as to
requirements to be met for them to complete the course and deserve
a passing grade. Likewise, this manual also provides a basis for
further discussion during the orientation by the OJT Coordinator
with their respective classes. This manual is intended for the
College of Business Administration OJT students only. The manual
is based on certain guidelines set by the University Code and
existing industry protocols.

To provide students with workplace experience/exposure in the


field of management, accounting, finance, marketing, sales,
and other allied concentrations.
To establish the colleges network and linkages in relation
to career placement for its graduates by establishing and
maintaining harmonious relationships with partner
institutions in both public and private services.
Develop the personality, confidence, mediation/negotiation,
public relations/communication and critical thinking skills
of the OJT trainee.
To instill in the minds of the students the essence of
patience and perseverance as they look for deployment, a
typical experience when one starts job hunting. Furthermore,
the value of work and social relationships are likewise
incorporated to practice interpersonal skills to gain student
experience in a typical workplace.
Inculcate in the OJT trainee the value of respect for the law
and service to the community.
To provide opportunities for future professionals relative to
the labor market.
To continuously improve the OJT Program of the college by
gaining inputs from the partner institutions.
To learn and discern lifes realities in the workplace.
Demonstrate the spirit of enthusiasm by translating the
acquired knowledge into practice in assisting individuals in
the workplace.

DEFINITION OF TERMS

OJT trainee refers to the student enrolled in the OJT


program.
University refers to Capiz State University (CAPSU)
College of Business Administration (Roxas City Main Campus)
refers to one of CAPSUs college offering business courses
such as BSBA (Marketing Management), BS Accounting
Technology, and BS Entrepreneurship.
OJT Host Company (Institution/Company) refers to the
organization for possible practicum setting
accredited/acknowledge/recognized by the university
OJT Coordinator refers to the faculty member from the
College of Business Administration, CapSU-Main Campus, who
oversees the practicum activity.
On-site Supervisor refers to the representative of the
institution/company who supervises the OJT trainee.

GENERAL REQUIREMENTS FOR THE PROGRAM

PART I THE OJT TRAINEE

Section 1 Duties and Responsibilities of OJT Trainee

1.1 An admitted OJT trainee should abide by the rules and


regulations set forth by the institution/company where
s/he is undergoing internship.

1.2 The OJT host company may be assigned by the OJT


Coordinator or chosen by the trainee. In the latter case,
s/he has to request for a formal approval from the OJT
Coordinator.

1.3 The OJT trainee should be assigned in an institution


wherein s/he has no relative/s working in the said
company up to the 3rd degree of consanguinity and/or
affinity to avoid in-breeding practices in relation to
the OJT program.

1.4 The OJT trainee and the host company will have no
employee-employer relationship. This OJT program is
intended for academic purposes to gain valuable
experience and insights working in a practical workplace
but not as an employment. It is the primary discretion
of the OJT host company to extend allowances/benefits to
the trainee as stated in their companys OJT/Practicum
program. The OJT trainee or OJT coordinator has no such
power to demand for these company benefits.

1.5 The OJT trainee should pay the required OJT fee
determined by the University to cover the expenses for
this purpose.

1.6 In the event of any untoward incident, the OJT trainee


should report immediately to the OJT Coordinator and/or
OJT On-site supervisor for further instructions.

1.7 The OJT trainee should always observe discipline and


right conduct.

S/he should always project the CAPSUnian image.


S/he shall at all times wear the prescribed OJT
uniform or appropriate business dress code.
S/he should not engage in any form of intimate
relationship with clients, officers, and employees
of the host company.

S/he is not allowed invite/entertain personal


visitors in the OJT host company premises.
S/he should avoid incessant talking and loitering
in the OJT premises.
Mobile phones and other electronic gadgets should
be set on a silent mode when s/he is on duty or as
prescribed by the company.
The OJT trainee should not engage in any form of
gambling/drinking intoxicating beverages and the
like while on duty or off duty within the OJT site
premises.
The OJT trainee should avoid getting into heated
arguments or verbal tussles with employees, staff,
and clients of the company. Maximum tolerance is
advised.

1.8 Personal travels and/or outings not covered by this OJT


program manual are the sole responsibility of the OJT
trainee.

1.9 Any infractions/violations by the OJT trainee of these


OJT Program guidelines shall be dealt accordingly in
reference to the University Code.

Section 2 Requirements

(Due before the 1st day of OJT)

2.1 For Deployment

2.1.1 Application letter address to the host company

2.1.3 Endorsement Letter

2.1.4 An OJT Trainee Personal Data Sheet duly filled


up with the following:
Name of the student
Course, year and section
Residence Address of the student
Parents/guardians
Telephone numbers of student (landline and mobile

Telephone numbers of parents / guardians
Name of company host / partner

2.1.5 Students Training Agreement and Liability

2.1.9 Medical Certificate or clearance (if trainee


has medical concerns/issues)

2.1.10 Updated Curriculum (students copy)

2.1.11 Student-Trainee Performance Appraisal Report

2.2 Attendance

2.2.1 The OJT trainee should observe punctuality and


regular attendance in reporting to his/her assigned
duty. S/he should religiously accomplish the
attendance sheet noted by the on-site supervisor.

2.2.2 The required number hours of OJT must be


completed within the time frame set by the college.

2.2.3 If the University would require the OJT


trainees attendance to official activities or
functions, the OJT Coordinator will send an
official communication to the On-Site Supervisor
for such purpose at least three days before the
date of said official activity.

To further impose discipline among OJT trainees,


each instance of tardiness and absence gives the
trainee an equivalent demerit on the On-Site
Supervisors Evaluation.

2.2.4 Attendance to the OJT Orientation is a must.

2.3 OJT Journal

The student-trainee should submit his/her OJT Journal


after the completion of his/her training program with
the host company. This will be submitted to the OJT
Coordinator as part of the completion of the OJT program.

2.3.1 The first page should indicate the information


specified on the OJT Trainees personal data sheet.

2.3.2 A photocopy of the standard Daily Time Report


(DTR) form as provided by the college or host
company should be attached.

2.3.3 The succeeding pages shall serve as records of


the entries from Day 1 to last day of the week, in
which tasks assigned/accomplished. At the end of
each week, the Supervisor should sign the journal
to signify review of the entries and confirmation.

2.3.4 For final submission by the student, this


should be reviewed by the Supervisor of the company
/ host / partner and his / her signature is required
to be affixed on the last page of the OJT Journal
as part of the recommendations.

OJT Journal Format

The OJT Journal should follow the standard format.

Company Profile - this presents the host companys


background, history, its business,
products and/or services as well as human
resource management.

Application of Theories - lessons learned in the classroom


for the past three (3) years shall be
discussed and how these are applied into
practice. These should be related to the
assigned department or office.

Observation and Concerns - the observations made by the


student/trainee regarding theories and
learning shall be covered in the
discussion.

Recommendations - the student/trainee makes


recommendations as to best solve whatever
problems existing, if any and likewise
improve company practices.

2.3.5 Photocopy of the Certificate of Completion


issued by the host company indicating the actual
number of hours completed and duly signed by the
authorized representative of the company.

2.3.6 Evaluation Report of the host company on the


trainees performance, etc. using the form to be
provided by the college.

2.3.7 Grading System


(As indicated in the syllabus as per required by
college.)

Section 3 Admission to the OJT Program

3.1 An incoming OJT trainee should accomplished 80% of


subjects in the curriculum from 1st year to 3rd year.

3.2 An incoming OJT trainee should secure a students waiver


duly signed by his/her parents/guardian, which serves as
proof that CAPSU-CBA will not be held liable for any
untoward incident that may occur during the
OJT/practicum period. Trainees who will undergo their
OJT outside the Province of Capiz will submit an
application letter duly signed by their parents/guardian
allowing them to be assigned to such areas. This will
also be the requirement for trainees assigned in field
works such as sales and marketing.

3.3 An incoming OJT trainee should send their letter of


application for deployment to host companies at least a
month prior to their deployment. The letter should be a
standard letter of request sent by the university using
the official college letterhead, to be secured from the
college, signed by the OJT Coordinator and noted by the
Department Chairman and/or noted by the College Dean.

3.4 The OJT trainee must attend the General Orientation. No


student is allowed to start duty hours on or before the
actual date of enrolment. Students are allowed only
deployment and shall be given the go signal to start
duty hours after he/she has attended the General
Orientation. Reckoning of the date for the required
number of hours should be from the date of start until
completion.

Section 4 Student Discipline Board

4.1 Composition of the Board


4.1.1 College Dean/Program Chairman
4.1.2 OJT Coordinator
4.1.3 On-Site Supervisor (host company)

4.2 Jurisdiction

The Board shall have the entire jurisdiction over all


cases involving the behavior of the OJT trainee.

PART II OJT Coordinator

Section 1 General Provisions

1.1 The OJT Coordinator shall not receive additional


remuneration from the university. The OJT will serve as
his/her teaching load. Service credits will be given
corresponding to his/her number of hours rendered during
the OJT program.

1.2 S/he shall be allowed to reimburse the expenses incurred


during his/her OJT visit such as meals, transportation,
etc in accordance with Commission on Audit (COA)
guidelines. Travels should be supported by official
travel order duly signed by the Campus Administrator or
University President.

1.3 S/he should present to the Program Chairman the


Certificate of Appearance duly signed by the authorized
representative of the host institution/company.

1.4 Professional conduct should be properly observed by the


OJT Coordinator as stipulated in the faculty manual.

Section 2 Duties and Responsibilities of the OJT Coordinator

2.1 When students start their deployment, it is


responsibility of the OJT Coordinator to do a regular
monitoring of the student/trainee under him/her to check
on their overall performance and coordinate with the
On-Site Supervisors to further improve the program. This
is purposely done to work things out, should there be
problems as early as at least two (2) weeks after the
student/trainees deployment. It may not be necessary
that the student/trainee should be present during the
monitoring activity. The OJT Coordinator should be able
to meet and discuss with the On-Site Supervisors the
concerns of both the trainee and host companies.

2.2 It shall be the responsibility of the OJT Coordinator to


compute the grades of the student/trainee under him/her
based on the performance ratings and compliance of the
requirements as discussed.

2.3 Submission of the grade to the Program Chairman within


the prescribed time.

2.4 OJT Coordinator should submit accomplishment reports of


the OJT program outlining the number of enrolled
students, deployment, activities, concerns, etc. to the
Program Chairman within the prescribed time.

PART III ON-SITE SUPERVISOR OF THE PARTNER INSTITUTION/COMPANY

Section 1 Duties and Responsibilities of the On-Site Supervisor


of the Host Company

1. The host company shall be responsible for providing actual


onthejob training (OJT) to student recommended, thru a
letter by the Program Chairman and noted by the Dean of the
College.

2. The host company shall be responsible for assigning the


student/trainee to any department during the duration of
the OJT which requires the actual work experience. The
office schedule shall be decided both by the student and
the company/host/partner. However, should there be class
suspensions on days when the student is expected to report
for class, he/she may opt to attend to his OJT assignment.

3. Job assignments for the student should be clearly explained


by the host company in order to fully define the duties and
responsibilities of student/trainee.

4. The host company shall also assign the student/trainee a


Supervisor to closely monitor the students overall
performance, to include work attitude, habits, personal
appearance, and professional competence.

5. The host company shall conduct an evaluation of the


student/trainees overall performance based on the standard
requirement as provided thru a Student Evaluation Form.

6. The host company, upon consultation with the University,


may require qualified students to submit themselves to
examinations, interviews and file pertinent documents to
support their application.

7. The host company shall issue a Certificate of Completion


to the student upon the completion of the required number
of hours.

8. The host company is not obliged to employ student/trainee


upon completion of the training.

9. There is no employer employee relationship between the


Company and the student/trainee.
