GUIDELINES IN ADMINISTERING / TAKING EXAMINATIONS


BEFORE EXAMINATIONS:
1. The teacher should decide on the seating arrangement (i.e. alphabetical,
special seating, etc.). The seats should be fixed before the students
arrive.
2. The examination papers should be obtained from the KMS office.
a) Count the examination papers and make sure it is equal to the
number of students in your class + 1 for your copy. If they are any
missing copies, please inform right away (while you are still in the
office) office staff for immediate intervention).
b) Get the Class List for Examinations Attendance. You will
accomplish this while the students are taking the examinations.
3. Be in the classroom at least 10 minutes before the Start of the
Examinations.
4. STRICTLY impose the seating arrangement you have decided on.
5. The proctor should check if the students have their exam permit before
taking the examination. If the student does not have an exam permit, he
/ she should be sent to the KMS office. The proctor should make sure
this is done with utmost consideration of the student’s feelings.
6. Orient the students on guidelines in Taking Examinations:
a) Keeping silent during the examinations. Note that any form of
communication is considered cheating. Be more considerate with the
Elementary levels. Give warnings so they are aware that you are
watching them.
b) Allow them to go the lavatory BEFORE the examination. Tell them
that you are not going to allow anyone to go to the comfort room
once the examinations papers are distributed.

c) Tell them that borrowing of materials (i.e. crayons, ruler, protractor,


calculator, Periodic Table of Elements, etc.) is not allowed. Therefore,
subject teachers are responsible for telling and reminding students
about the materials they will need at least 1 week before the
scheduled examinations.
d) Ask them to put all their phones in the CellPhone parking.
Cellphones should be turned off or in Silent Mode. The following
will be imposed on those who are caught with their Cellphones
during the examination proper:

 Cellphone shall be confiscated.


 The student will have to give their examination paper to the
proctor and will receive a zero in the particular examination.
 The incident shall be investigated and a dialogue with the
parents will be scheduled to discuss the matter.
7. Also ask the students to put their bags and other belongings in front of
the blackboard. Notes, notebooks and textbooks should be put inside
the bags. No notebooks, textbooks nor loose sheets should be left lying
on the floor or around the examination room Nothing should be on the
table and arm chair except the writing material (pencil and eraser or
ballpen) and other appropriate materials needed for the test. The use of
friXion pens is strictly prohibited. They should be confiscated by the
proctor, only to be returned AFTER examination.

DURING EXAMINATIONS:
1. The TIME START and TIME FINISH of the whole day’s scheduled exam
should be written clearly on the board. The exams should start on time.
This guideline should be emphasized to the students. Students who are
late during second and third examinations will not be given extra time
to finish their work. The exam will start even if the students are not
complete, as long the proctor has informed and reminded them of the
correct time schedule.
2. Once the test papers are distributed, the proctor should ask the students
to ascertain the following details of the examinations:
 Correct number of test pages
 Comprehension of test instructions. The proctor should ask the
students to read the directions of all tests and ask for any
clarifications right away before starting the test.
 Other noticeable typographical errors
3. When the students are finished with their examination, they are
encouraged to review their answers and not leave any blanks. When
they submit their test papers, the proctor should check each page for
any unanswered items.
4. Grades 4 – 6 students should stay in the room until the time for
examination is done. They shall be allowed to go out during recess
period.
5. The High School students may go out of the room when they are
finished, but may NOT stay in the corridors. Those who are finished may

either stay in the room as long they remain silent and do not disturb
those who are still taking the examinations.
6. The subject teacher shall be available to clarify questions from students
during the schedule of the particular subject. An Examinations
supervisor will be designated to monitor the smooth flow of
examinations each subject and be responsible to relay queries to the
subject teacher. He / she is then responsible for the dissemination of
corrections or clarifications to the grade level and section concerned.
Inside the examination rooms, the proctor should entertain queries
regarding test instructions while practicing his/her best judgment in
clarifying any questions. If however, there shall be questions the proctor
is not able to answer, the subject teacher can be asked through the
Examination Supervisor.
7. The proctor should never leave the room unless for extremely
important and emergency situations.
8. If there is a violation of any sort during the examinations (i.e.
incomplete or improper uniform, violation of cellphone parking rules,
cheating, etc.) the following should be done:
a) Incomplete or improper uniform – Write NOT IN PROPER UNIFORM
in the space above the PS on the first page of the Examination paper
(upper right hand corner)
b) Caught with CP – Section 6 letter D of this memorandum (i.e. phone
confiscated; exam confiscated; zero in exam; investigation and
dialogue with parents)
c) Caught cheating – Call the attention of student/s concerned.
Appropriate sanctions as stipulated in the Student Handbook SY
2018 – 2019, will be imposed (i.e. zero in examination concerned,
dialogue with parents, etc.) after due process of investigation.
9. The Class List of Examinations Attendance should be accomplished by
the adviser/proctor. Ask the students to sign their names after they
submit their examination paper. Proctors in the Elementary may be the
one to check the names of the students who are present. Indicate clearly
if the student is absent (Write “A” in RED ink across the student’s
name) and is therefore to be scheduled for Special make up
examinations. The adviser/proctor should write the surname of the
student on the upper left corner of the first page of the examination
paper.

AFTER EXAMINATIONS:
1. All answered examinations should be directly given to the subject
teacher for checking. Excess examinations (those for the absent
students) should be given directly to the Academic Coordinators.
2. The Class adviser should call the parent/guardian of the student and
inform them regarding the schedule of the Special Make-up
Examinations. Also, the reason for the absence should be ascertained.
3. Special consideration: If the reason for the absence is a sickness lasting
for more than a week and the student has been absent since before the
examination schedule already, he/she may be given another schedule
for the Special make-up examinations in order for him to be able to
catch up with the coverage of lessons included in the test/s. In such
situations, the Class Adviser should inform the subject teacher and the
Academic Coordinator for any necessary adjustments and
considerations.
4. Subject teacher should know those students who missed the
examinations on the scheduled date. It is imperative that all Special
Make-Up Examinations test paper be retrieved by the subject teacher on
the same day the test is taken. This is to avoid losses of test papers and
delays in completion of scoresheets/grading sheets.
5. The subject teacher should accomplish the Key to Corrections using the
extra copy used for clarifications to be submitted to the Academic
Coordinators.

NOTE: If a teacher or student encounters any situation not included in this set
of guidelines, clarification should be directed to the School Principal.
