Short Answer Questions

1. What is involved in project scope management, and why is good project scope
management so important on information technology projects? Incorporate key
themes from this week’s reading by Hooks (1994) into your response
Project scope involves work that needs to be accomplished to deliver a product,
service, or result with specified features and functions
Once the project is accepted, scope management is the first step in planning its
success. Scope management ensures a project's scope is accurately defined and
mapped and enables project managers to allocate the proper labour and costs
necessary to complete the project. There are three main themes which are
following:
Planning: Planning defines the work which need to be done.
Controlling: Controlling main function is to document, tracking and approve the
changes statement.
Closing: It assess the final production of the original plan and it also includes the
audit of the project deliveries.

2. What is the purpose of a scope statement? Why do you need to have a scope
statement if you have a good project charter?

A project scope statement is a useful tool to outline the project's deliverables and


identify the constraints, assumptions and key success factors. The well-written scope
statement clearly defines the boundaries of a project. A project scope statement is a
useful tool to outline the project's deliverables and identify the constraints,
assumptions and key success factors. Before the project begins, the project team and
the project stakeholders need to agree to the scope statement before project execution.
In the early management plan both Project charter and scope statement are included,
and both target the scope of the project. In addition, both have different meanings and
purposes:
Project charter: it includes background, overall goals, project objectives and roles and
responsibilities of the stakeholder of the project.
scope statement: The project scope statement will help stakeholders determine
whether a project is complete. Since the scope document defines what the project will
deliver, it is useful throughout the project for determining if the project is on schedule
to conclude successfully. Scope statement always written in brief unlike the charter.

3. Imagine you are the project manager on a Web development project. The Web site
is for a financial services company that current customers can use to give them
advice on financial products and services, staffing profiles, success stories, links,
and various finance calculators. The site will be driven by a back-end database,
and secure logins, and a customer blog amongst other things. The team consists of,
you a web designer, and a web programmer. Key stakeholders include the
company CIO, and several finance specialists. The CIO has indicated the project
will bring value to the business, providing an avenue for information distribution,
and enable efficiencies and consistency. You have four months to complete the
project which commences next week. The project budget is $30,000. The CIO
would like to see designs, an alpha and beta prototype and training for staff
responsible for maintenance as key deliverables of the project.

Project Success Criteria: Our goal is to complete this project within four months
for no more than $40,000. Customer will get the solution for the financial
problems in the different ways, in results it will improves the growth of the
business. The main idea is to save the time and cost both from customer and staff
both sides.

4. Describe four (4) different ways to develop a WBS. Why is it often so difficult to
do?

Each WBS is unique based on the project and the team, that is why it is difficult to
develop.

5. Create a WBS in tabular form for the company mentioned in question 3 above.

Corporate guides for creating project WBS’s are to use the five project
management process groups as level 1 headings. Each process group must have at
least one major deliverable and break down the work to the third level for at least
one of the items.

Case Study

Horror Story

While working at a consulting firm, I witnessed the scope struggles of our sister
company during an in-house development effort to deliver a web-centric desktop
environment to users. This project, which began in earnest about five years ago,
followed no project plan and had only a lead developer to guide its progress. It was
started with a handful of talented Java developers who had only the vision of their
non-technical president to guide them.

If this sounds like a nightmare, it was -- and still is. Today, this company has one
non-paying client and a product that was surpassed by competitors two years ago.
While it continues to limp along, the company itself has become unable to pay its
employees, is seen as a bottomless money pit by investors, and is still considered by
its management to be a start-up. With no formal project agreement to work from, the
scope of this project changed constantly, even daily, and all efforts, from
development to sales and quality assurance, became stunted by the massive workload
and changing vision created?

6. What is scope creep?


Scope creep refers to a project that has been its original goals expand while it is in
progress. AS the term scope creep suggests, it is a subtle process that starts with
small adjustable and ends up resulting in projects that take far longer to complete
or even fail before they are finished. Scoop creep always result in final deliveries
that look nothing like what was originally envisioned, even the if the project is
completed.

7. W hat do you think the real problem was in this case. Could it have been avoided?
It is just a wakeup call depicting that fixed undertaking degree can be devastated

8. Describe four (4) ways scope creep can be avoided?

 Define the deliveries and have them approved by the project drivers.
deliveries should be general deceptions of functionality to be outlined during
the project.
 Through understand the vision of the project. Arrange meeting with the
derivers and deliver to discuss on the whole project and get feedback from
them.
 The priorities of the derivers are very important. Make a one document
which will help during the project. Always make a list of the budget,
deadline, feature delivery, which will help to satisfy all the needs on time.
 It is very important for everyone who involved in project can understand the
requirement of term project. The requirement document is only a starting
point. Document all requirements.

9. Can scope creep be a good thing? When?

Yes, scope creep is good in some cases.in a fixed construction project, owner will
almost invariably benefit from an increase in scope. Contractors often end up with
inroad costs in labour or materials, clearly not a benefit in its own right When an
opportunity exists for a contract to strategically increate quality of material in order to
provide an exceptional experience for a key customer, it may see the their position to
obtain further projects. The upshot is that, for contractors, deciding to invest in an
increased scope may lead to increased revenues further down the track.
