Country Program Mission: Stock and Warehouse Management
Manage proactive tracking of all medical supplies, equipment, materiel and food and lease,
rental services in transit, through its receipt, storage, and onward distribution.
Manage capturing pipeline information from PR, EHPs and Field teams, to help ensure that
Program staffs are kept well-informed of incoming goods and materiel.
Manage and Engage timely reporting on stock status, to help Program staff with planning of
stock replenishment and, support Program staff to verify that distribution has occurred
according to the intentions and plans of Operations.
Receive, Review, consolidating field stock reports and preparation of PR stock report, submit
to PR after final review from supervisor.
Conduct training support to field logistics personnel including EHPs logistics, ensuring all
stock document are recorded, updated and documented, in coordination with supervisor.
Ensure all day-to-day inventory transaction (stock card, bin card, inventory reports and related
documents) are updated on a real-time basis with accuracy.
Monitor any inventory shortage and provide on-time, standard monthly report and inform to
Operations Coordinator and Project Manager.
Ensure documentation on daily deliveries and shipments, to update inventory.
Engage and coordinate with program team for stock forecasting.
Regular review expiry date of all stock items and report to Operations Coordinator and
Project Manager when stocks are due to expire in six-month time and perform disposal for all
expired stock under guidance of Operations Coordinator.
Ensure stock tracking system in ARC are effectively implementing in all areas including
Ethnic Health Organizations (EHOs) – ARC partners, in coordination with Program team and
all logistics personnel.
Ensure the ARC Pharmacy warehouse is kept clean and drug supplies are alphabetically
organized as groups.
Maintain safe storage and temperature control of the drugs and supplies.
Monitor and guide on store equipment including pallets, shelves, cupboards, log tags, and
dehumidifier utilization as per warehouse requirements from ARC and Donor guidelines.
Ensure all assets and non-capital equipment (NCE) are correctly and effectively recorded,
updated at all time.
Conduct and report to supervisor for monthly physical count of asset and NCE, in
coordination with program or finance team.
Communicate with all projects for asset and NCE reports, combine and submit to supervisor.
Ensure relevant forms (Asset requisition form, Asset Receipt Form) are used and fully
authorized by all parties.
Ensure asset and NCE disposal are done in accordance with ARC and Donor policies, under
supervision of Operations Coordinator.
Ensure all asset and NCE are insured and regularly renew for fire insurance in all project
areas.
Ensure all vehicle and Motorbike (Asset) are insured and regularly renew for comprehensive
insurance and third-party liability insurance.
Office Management
Ensure office equipment (printers, copiers and others) and network are working properly at all
time, with support of supervisor.
Ensure all required maintenance in ARC buildings in Yangon are effectively maintained and
solved, to be in good working conditions.
Manage and maintain accurate filing systems, documented and supported records of actions
for audit purposes.
Support to operations team members for procurement, event and travel, transportation in his/her
ability when necessary, for providing assistance for operations team work towards ARC.
Engage with freight forwarding agencies, freight handling/clearance agents, and local Customs,
to ensure that cargo is managed at all points of the supply chain with guidance from supervisor.
Assist supervisor to capture preparedness information relevant to your mission site so that
logistic systems are robust and flexible enough to cope if a crisis occurs. This may include
assisting with assessments of airports, transport available, warehousing, access routes, fuel
availability, field communication issues, staffing challenges, training required etc.
Report and document (immediately if and when happen) and assist all security related issues or
concerns to supervisor.
Must be flexible and manage your time accordingly, to be prepared to tackle other tasks
commensurate with your role, and level of experience, at short notice by supervisor.
Expected Outcomes
Monthly Delivery Report (Waybill for medical and mon-medical in excel) and Update Filing.
