Section 1 Guidance

1.1 Purpose of the Training Record Book


This Training Record Book (TRB) is to be used by cadets preparing for junior officer
positions on-board Zodiac managed vessels. The completion of this TRB is compulsory
for all cadets.

The TRB will hold a comprehensive record of all training carried out on-board.

1.2 Issue of the Training Record Book


TRB will be issued to cadets before they join their first Zodiac vessel. Manning
offices will issue TRB and also carry out a formal induction to the TRB so that cadets
fully understand how to use TRB.

The same TRB is to be used on board all vessels the cadet trains on. So it is important
to take good care of the TRB and remember to take it on board each vessel.

1.3 On-Board Training Plan


Cadet training on board must be properly planned and supervised by senior officers.

Cadets must participate in all activities on board, and every opportunity must be given
to cadets to complete TRB tasks. Cadet training plans should be aligned to PMS
schedules, vessel’s trading pattern, audit preparations, etc so that opportunities for training
are not missed.

Cadets should be allowed at least 4 hours each week (during working hours) to
concentrate on TRB tasks. In addition, cadets should also be allowed time every
Sunday to complete TRB tasks and projects.

1.4 Completion of Training Record Book


Cadets should start progressing tasks as soon as initial on-board familiarization of
vessel is complete. Cadets should refer to their TRB regularly to identify tasks they
are progressing during daily routines and daily jobs on board.

When cadet starts learning a task he should inform the officer concerned. The officer
will ensure that cadet is actually progressing task and then sign off the progressing
column with initial and date. The officer will satisfy himself that the cadet is making
use of best available tools to learn, and that the learning will be carried out safely.

After a period of time when cadet proves proficiency, the task should be signed off by
the officer who has confirmed or tested the cadet’s proficiency at that task.

Some tasks will be confirmed proficient only under officer supervision and some
tasks will be confirmed after testing cadet’s knowledge orally.

Cadets will complete all tasks by the end of their training program, unless the ship type
or the nature of the trade in which the ship is engaged prevents this. Only on completion
of this TRB shall the cadet be considered for promotion.

If additional pages are required for any section, photocopies should be used.

1.5 Cadet Responsibilities


It is the responsibility of the cadet to ensure that the TRB is properly maintained and
completed. The cadet shall take care that the TRB is kept neat, tidy and clean ensuring
that it is ready for inspection at all times.

Cadets should make use of all training aids available onboard (Videotel, publications,
textbooks, instruction manuals, Zodiac QMS). Cadets should be eager to gain
knowledge and they should request officers to allow opportunities to complete TRB
tasks, always bearing in mind that officers have their own daily duties to complete and
may not be able to immediately comply with cadet request.

At the end of each month cadet will present the TRB to the DTO, and every 2 months
to the Master for evaluation. When ISM auditor or technical superintendent is onboard,
cadet will present the TRB for their evaluation. It remains the cadet’s responsibility to
present his TRB for evaluations and comments from each of above.

On completion of each contract, cadet will present TRB to his manning office for
evaluation.

1.6 Designated Training officer (DTO) Responsibilities


The Chief Officer is the DTO for deck cadets. The DTO is responsible for planning
the training and monitoring workload of the cadet. DTO will also sign off tasks as
appropriate, and evaluate the TRB monthly.

When signing off “Key Tasks”, the DTO will examine the key task report, ask
questions if necessary, and sign off the report if found satisfactory.

Planning suitable jobs for cadets is an important responsibility of the DTO, and this
should be done to ensure cadet gains the widest experience possible and helps cadet to
complete his TRB tasks.

Certain deck cadet tasks may be supervised by 2/O or 3/O, and these officers should
sign off tasks as progressing or proficient. C/O will remain ultimately responsible for
the cadet’s overall progress.

1.7 Master’s Responsibilities


The Master will ensure that a high standard of training is given to the cadet. The Master
will discuss training plan with DTO and ensure ample training opportunities are given to
cadets. Master will examine the TRB as and when he can, but at least once every 2 months
and make appropriate comments.

The Master should take every opportunity to ask cadets about their training progress. If
tasks are signed off as proficient, Master should ask oral questions to satisfy himself that
the cadet is proficient in the task.

1.8 Manning Office Manager Responsibilities


On completion of a contract the cadet shall meet with their manning office manager.
The training progress will be discussed and TRB examined. The manning office
manager will enter comments into the appropriate section of TRB.

The Manager will arrange to upload copies of all pages where the DTO or Master or
Supt and the Manager have made comments. All pages to be uploaded to Certificates/
Cadet TRB Report.

1.9 ISM Auditor and Technical Superintendent Evaluations


ISM Auditors and Technical Superintendents will evaluate cadet TRB whilst they are
on board. They will discuss the training program with the cadet, the DTO and the
Master. They will insert their comments in the TRB. Cadets will be questioned on
tasks completed and their experience onboard. This will always depend on time
available on board to the attending Auditor or Superintendent.

1.10 Personal Details


Upon receiving this TRB the cadet shall complete the personal details section in TRB

1.11 Certificates
All certificate details must be entered before joining ship.

1.12 Sea Service Record


Sea service details & Zodiac Sea service testimonials (VC311) must be completed
after each voyage. Sea time is calculated on a 30 day month basis, February counts as
30 days. Spare days can be added together to form a month.

1.13 Sample Signatures


The cadet will ensure that each officer who has signed a task off or made an entry in
the TRB, has recorded their details in this table. If a task is signed off & there is no
sample signature for that task, the task will be considered as incomplete.

1.14 Vessel Particulars


To ensure you gain a thorough knowledge of the vessels on which you complete your
training it is necessary that you have a record of the ships particulars. All vessel
specification details asked for are to be entered for each vessel that you serve on.

1.15 Safety, Familiarisation Tasks


For each vessel you serve on you must complete the necessary Priority,
Familiarisation and Safety tasks, in conjuction with VC300. This should be completed
within a maximum 7 days of joining the vessel.

1.16 Task Checklist


In order to assist with planning and execution of your training you will need to update
this checklist on a regular basis. After obtaining proficiency in a task you should enter
the date completed against the relevant task.

This Checklist also enables the DTO to check progress and see which tasks have yet
to be completed.

1.17 Training Tasks, Key Tasks and Projects


All tasks must be completed. Tasks that are marked as “Key Task” will require a report as
described later. As cadet begins progressing with tasks the DTO should initial and date the
progressing column. As the cadet becomes proficient and is completing the task correctly,
independently and with confidence the DTO can then complete the proficient column.

Depending on initial ability and experience the cadet should initially complete tasks which are
relatively easy. As experience is gained more complex tasks can be attempted. All tasks should be
completed under supervision.

Projects & Key Task Reports should be completed on loose leaf white A4 paper and added to the
relevant section of your TRB. Written sections are to be word-processed. Diagrams may
either be completed in CAD or similar program or in pen/pencil. All diagrams are to be
clearly labeled. All pages should then be countersigned by both the DTO and Master and
display the ships stamp. The projects shall be entirely your own work. The projects should be
neat and tidy and completed to a high standard.

All Rules must be thoroughly understood. Cadets must be able to explain each Rule and the
practical application of each Rule. Masters or Chief Officers or 2nd Officers must test cadet’s
knowledge of each Rule before signing off the Rule.

Section 6 Record of Key Tasks

6.0 Guidance

The Record of key tasks is a record of some of your work while completing the TRB. It is not to
be a Log Book of your time aboard ship. Instead it’s a record of your understanding and
competence of certain tasks marked as “Key Tasks” in section 5. This record should take the
form of a report and are not to have any copied material from manuals or textbooks but you may
reference the company’s checklists and QMS manual’s by their sections/number where
appropriate. Please do not copy checklists or manuals.

When writing about each “Key Task” the main points to cover are:

• How was the work planned?


• What paper work / record keeping is required before during and after (reference QMS?)
• What was your role in the task?
• What was being done?
• Why was it being done?
• How did the team function?
• How were any unexpected problems solved?
• What did you learn during the task?
• What went well?. What went wrong?
• How would you improve the task?

The Record of Key Tasks shall include calculations showing working. Screenshots of computer
Calculations are not acceptable. You do not need to provide lengthy explanations of events.
Short descriptions of key events in bullet points in English with clearly labeled diagrams or
sketches will be sufficient to show your competency.

All Key Task Records must be properly completed before promotion is considered. To this end
records should be available to company auditors and superintendents when they attend your
vessel.

Record of Key Task should be completed on loose white A4 paper and attached in the TRB behind
this guidance 6.0. Written materials may be word-processed. Diagrams may either be completed
in CAD or similar program, or in pen/pencil. All diagrams to be clearly labeled. All pages should
then be countersigned by both the DTO and Master and display the ships stamp. The reports shall
be entirely your own work. The projects should be neat and tidy and completed to a high standard.

Section 7 Projects

7.0 Guidance
Read the projects very carefully. You should answer what is asked for.

Do not copy / paste from other cadets projects. If in doubt about anything, ASK! The
officers will help you.

Projects should be prepared and submitted on A4 plain white paper. If sketches require a
size larger than A4, then ensure that the sketch paper can be folded to A4 size.

After each project is checked and approved by the DTO, all project pages are to be filed in
this section 7 after each project question.

When writing your text, use your OWN words as much as possible. AVOID copying from
the ship’s manuals, plans or company documents. You may refer to these but try to
summarize the text in your own words. If you copy, you will have to repeat the project and
risk not being promoted. Do not copy ships checklists and large amounts of ships manuals.

Always itemize your text i.e. indicate clearly in the margin the number of the question
answered. Also, number each page of your project and show the total number of sheets
included.

Try to answer each question to the point, avoiding excessive, unnecessary detail not relevant
to the question. Equally, too brief and general answers to questions requiring specific details
should be avoided.

Answer every question of the project as relevant to your own ship.

Remember that a project is not an examination paper to be attempted within a couple of


hours. It is part of your learning process and should be completed over a few days or weeks.

You are expected to grasp its contents thoroughly and be conversant with them at any later
date. Your senior officers, attending Auditors, Superintendents and manning office manager
will quiz you to confirm your understanding of the project matter.

Do not be afraid to state your personal opinion or recommendations on ANY subject


connected with the operation of your ship (e.g. improvements in working practices,
improvements in safety and better cargo care methods). They will be noted.

Your English does not have to be perfect. However it must make sense and be
understandable. You must make every effort to improve your written English. The
preparation of these projects should help to improve your English considerably.

Good presentation of your projects is also important. This means the projects must be clean,
tidy, well set out, with use of word processing and with good sketches. This will
demonstrate your professionalism and work ethic.

Technical Sketches
Sketches should be simple and clear. Sketches of equipment should show names of all
principal parts. All sketches, graphs or curves drawn should carry a title at the bottom.
Remember that a good sketch can save you having to write a lot of text. If using symbols on
sketches (e.g. valves, filters, pumps, deck fittings, etc), then explain their meaning in a
legend or key alongside. Similarly, expand the meaning of any abbreviations when first used
in your text e.g. Very High Frequency Digital Selective Calling (VHF DSC).

Use of PC for Projects


Never use the ship’s IT equipment for any unofficial purpose (playing computer games etc).
With ship’s operations becoming IT dependant, such actions may well hazard the safety of
the ship, crew, cargo and the environment.

Project Assessment
On completion of each project, present it to your DTO who will review the project. The
DTO will ensure all questions have been fully answered. DTO will also ensure overall
quality of project is good. The DTO may ask you to correct the project or resubmit the
project.

When the DTO is satisfied with your project he will sign and date the front sheet.

The Master will review completed projects every 2 months during his TRB review.

Project D1 - Ship Stability

(a) For a recent loaded condition of cargo, show calculations for:


(I) The ship’s transverse stability data and the trim data
(ii) The ships hull SF (Shear Force) and BM (Bending moment) data.

Bulk Carriers
(b) From the draft surveys, provide the calculations for the drafts, deadweight and
displacement upon port arrival and departure. Show the calculations for the quantities of
cargo loaded and discharged according to the draft surveys.

Or
Car Carriers
(b) During a sea passage in loaded condition, describe the ship’s behavior in gale force
conditions, particularly in a beam wind and with a relatively small GM. Also describe how a
developing list in this condition may be corrected.

Or
Gas Carriers, Oil Tankers and Chemical Tankers
(b) During a sea passage in full ballast condition (Max Freeboard), describe the ship’s
behavior in gale force conditions, particularly in a beam wind with either too small or too
large GM. Also describe how a developing list may be corrected.

Or
Container Ships
(b) Prior to arrival in a loading port, the vessel receives an initial loading plan showing a
large GM.
Describe the dangers for a container vessel sailing with a large GM (with reference to Cargo,
Lashings, Structure) and describe what measure can be put in place in order to reduce GM
(with reference to Loading Plan, Vertical Distribution of Cargo, Free Surface, Ballast).

Project D2 - Bilge / Ballast Systems

(a) With your ship in full ballast water condition and no cargo:

(i) Describe all stages of a ballast water exchange (BWE) operation at sea. Attach
completed Form EP01 with detailed sequence of Exchange.

(ii) List the safety factors, which must be considered for a BWE operation at sea.

(iii) Describe all stages of a normal water ballasting operation in port.

(iv) List the checks on the ship’s structure (e.g. the collision bulkhead) to be made
after filling the forepeak tank, the after peak tank and the double bottom (DB) tanks. Explain
the expressions “gravity filling” and “pressing up” DB tanks.

(b) Sketch a plan view of your vessels bilge piping system, showing the position of all
valves, pumps, ejectors/educators if fitted, bilge wells, strainers, etc. Include the Engine
Room arrangement.

On the sketch, note down the type of pumps used and their capacity in m3 per hour.

Project D3 - Bridge Team / Navigation / Passage planning

(a) State the composition of the Bridge Team on your ship. Describe their duties at sea, and
when approaching a busy port in reduced visibility.

(b) Describe the role of the Bridge Team when navigating with a pilot on board.

(c) Give a brief summary of the Master’s Standing Instructions related to the safety of
Navigation. Give examples of the Master’s Night Orders when at sea and also when at
anchor in a traffic laden port.

Passage Planning

(d) Provide a Passage Plan for the approaches to a port you have visited leading up to the
ship’s berth. This should include at least two consecutive courses shown on a hand-drawn
sketch of the section of the chart used. Indicate clearly on the chart:
(I) Danger areas and hazards to avoid;
(ii) Emergency anchorage;
(iii) Tidal / current information for the day;
(iv) Parallel indexing used to monitor the ship’s track on the radar.

(e) On the Passage Plan, state the minimum under keel clearance required and the allowance
made for squat.

(f) Give details of any contingency planning (e.g. for engine failure or any other emergency)
for the above passage.

Navigation by Radar

(g) Illustrate and describe one method of using the parallel indexing technique for radar
navigation using a Stabilized Relative Motion display. Explain the advantages attached to
such a technique.

(h) On an ARPA display, explain:


(I) Methods of target acquisition and their limitations;
(ii) True and relative vectors;
(iii) Trial maneuvers.
(iv) State the precautions an operator has to take and the limitations he has to keep in
mind when using an ARPA display.

Project D4 - Cargo Carriage Operations


Only answer the questions, which apply to your ship type

Bulk Carriers

For a recent bulk cargo, give details of the following:

(a) Preparing the ship for loading, including checks on bilge’s, ventilation, cleanliness and
damage. Name the publications or documents, which may be consulted on board, for the
safe carriage of bulk cargoes;

(b) A cargo loading plan, including the loading sequence and the precautions to protect the
ship against damage during loading;

(c) The procedure to determine the amount of bulk cargo loaded upon completion and to
ensure that the ship is not overloaded for putting to sea.

Container Ships

(a) Describe, with the aid of suitable sketches, the securing arrangements of containers in
stowage above and below the upper deck. Show the standard lashing devices used in
securing containers above the upper deck.

(b) Describe all the safety procedures that apply during loading and discharging of
containers at the terminals. State the normal precautions taken to ensure safety of containers
on a sea passage. Name the publications or documents, which may be consulted on board,
for the safe carriage of containers.

(c) Describe the procedure and the documentation involved in accepting hazardous goods
containers for loading together with other containers containing non-hazardous goods.
Indicate the markings and placards of hazardous containers and the regulatory segregation,
which must apply.

(d) Describe the procedure of handling and safe securing of non-ISO containers for a sea
passage.

Gas Carriers

(a) Give details of a recent cargo loaded. State the publications and the documents, which
may be consulted on board for the safe carriage of gas cargoes.

(b) Describe how the cargo carrying physical conditions (e.g. temperature and pressure)
were maintained and monitored during the sea passage.

(c) List the cargo tank leak checks done during the sea passage (i.e. Gas and liquid leaks).

(d) Describe how the air was prevented from leaking into the cargo tanks, and how this
process was maintained and monitored throughout during the sea passage.

(e) State the cargo tank alarms located on the ship’s bridge, and describes fully the action an
officer on watch is expected to take if either of these alarms goes off during the sea passage.
What remedial action is likely to be taken?

Chemical Tankers

(a) Give details of a recent cargo loaded. State the publications and the documents, which
may be consulted on board for the safe carriage of chemical cargoes.

(b) Describe the tank washing procedure prior to loading and the tank inspection after the
washing has completed, including details of the tank washing equipment.

(c) Describe the normal requirements for cargo sampling and testing.

(d) State briefly the emergency measures adopted in case of a chemical spill on board whilst
loading is in progress.

Oil Tankers

(a) Give details of a recent cargo loaded. State the publications and the documents, which
may be consulted on board for the safe carriage of oil cargoes.

(b) Describe the tank washing procedure prior to loading and the tank inspection after the
washing has completed, including details of the tank washing equipment.

(c) Describe the normal requirements for cargo sampling and testing.

(d) State briefly the emergency measures adopted in case of an oil spill on board whilst
loading is in progress.

Pure Car Carriers

(a) Describe the car decks preparation prior to loading, with particular reference to the
following:
(i) Cleaning
(ii) Ventilation
(iii) Vehicle securing arrangements
(iv) Prevention of damage to vehicles
(v) Safeguards against ship damage.
Name the publications and documents, which may be consulted on board, for the safe
carriage of vehicles on ships.

(b) Give simple sketches of the lashing equipment used for securing vehicles, and show the
securing method for a car stowed on a lowered ramp. State the routine checks made on a sea
passage to ensure safety of the vehicles.

(c) Provide details of vehicle and ship damage inspections upon completion of unloading at

Project D5 – Codes Document & Surveys

(a) Describe your ship’s security plan and the procedures in place to implement the
obligations and responsibilities of the ISPS Code, also giving details of any security training
for the ship’s crew.

(b) State the principles and the purpose of the International Safety Management Code (ISM).
Give a brief summary of how the provisions of the ISM Code are actually implemented on
board your ship and by the company Zodiac. (Detailed description of chapter by chapter
application is NOT required).

(c) What are merchant shipping notices and who issues them? Give examples of any such
notices, which relate to:
(I) Safety of navigation
(ii) Safe carriage of cargo
iii) Health and safety of crew.

(d) Describe briefly in your own words the procedural difference between conducting a
ship’s survey, ship’s inspection and ships Audit. Give examples. What is issued at the
conclusion of each?

(e) List at least ten other certificates & briefly describe their role which have a direct bearing
on operational safety and security of your ship and on pollution prevention measures
provided on board.

(f) Choose an inspection of your ship carried out by any one of the following authorities:
Flag State, Port State Control (PSC), ISM Audit, US Coast Guard, P & I Club, Australian
Maritime Safety Authority (AMSA) or any other inspection authority involved in the
enforcement of international regulations or commercial interests.

Describe the inspection as follows:


(i) The purpose and the extent of the inspection, including the equipment and the
documentation involved.
(ii) Your specific preparation of at least 5 items made ready for the inspection.
(iii) The manner and order in which the inspection was conducted
(iv) The result of the inspection and any documentation issued by the Inspector.

(g) In your own words describe briefly the purpose and the intent of complying with the
provisions of the STCW Convention.
