Welcome to the Empowerment Technologies – Grade 11 Alternative Delivery

Mode (ADM) Module on Integrating Images and External Materials in MS Word.

This module was collaboratively designed, developed and reviewed by

educators both from public and private institutions to assist you, the teacher or

facilitator in helping the learners meet the standards set by the K to 12 Curriculum

while overcoming their personal, social, and economic constraints in schooling.

Welcome to the Empowerment Technologies – Grade 11 Alternative Delivery


Mode (ADM) Module on Integrating Images and External Materials in MS Word.

This module deals with knowing the different images and materials that you
can integrate using Word Processor. This makes your document more organized,
informative, and presentable. MS Word is a word processing software that is most
commonly used not only by businesses but by other fields as well. Most offices use
this in their business processes like letters, memos, and other reports. Integrating
images is easily done if you have the basic knowledge and skills in using MS Word.
If you don’t have that background then better check the basic. It is the pre-
requisite of this topic.

This module was designed to provide you with fun and meaningful
opportunities for guided and independent learning at your own pace and time. You
will be enabled to process the contents of the learning resource while being an
active learner.

Notes to the Teacher


This module aims to prepare the students to know how to use
the MS Word or other word processors as one of the
productivity tools in integrating images and external materials
in a document, whether it is a letter, brochure, label, or flyer.

What is It

Microsoft Word (MS Word) is an example of a word processor where there are
features that you can use to enhance your work. One of these features is
integrating images and external materials into your document to make it more
impressive and more informative. Learning the different materials that you can
integrate in your document is necessary for you to know what’s best to use.

Before you start, turn on your computer, open MS Word application and click
Blank Document.

KINDS OF MATERIALS

The different materials that you can integrate or insert in your document are
seen in the Insert tab, Illustrations group shown in Figure 1.

1. SHAPES

The different shapes that you can insert in your document are lines, rectangles,
basic shapes, block arrows, equation shapes, flowchart, stars and banners, and
callouts shown in Figure 2.

TRY IT 1!

You are going to design a header in your


document. Follow these instructions.
1. Click Insert tab, and click Header, then
choose Edit Header...
2. Click Insert tab, and click Shapes, then
choose Rectangle shape.
3. Click and drag it to draw rectangle shape
in the header portion. Your output
should look like in Figure

2. PICTURES AND ONLINE PICTURES

Both “Pictures” and “Online Pictures” accomplish the same goal. The only
difference is that “Pictures” means you can insert pictures locally, the pictures you
saved in your local storage device, while “Online Pictures” allows you to insert
images from an internet-based source such as clip art from Office.com, Bing, or
OneDrive (Klein 2019). Pictures also refer to electronic, digital, or photos.

There are three different picture files that are commonly used and can easily be
identified through its filename extension.

a. .JPG / .JPEG

JPEG which stands for Joint Photographic Experts Group uses a lossy compression
method commonly for digital images. This type of image file can support 16.7
million colors that is why it is suitable for use when working with full color
photographic images (Caligagan 2017). This is the best image format that you can
integrate in your document but does not support transparency, where blending of
this type of image to other materials in your document is not that good. Try it!

TRY IT 2!
Use the Try It 1 output in doing this. Continue working on it. Make sure you
have a logo file of type .jpg in your local disk. Follow these instructions.
1. Make sure to select the rectangle shape, and if not, select it by clicking it.
2. Click Insert tab, and click Pictures, then choose your logo.jpg file in your
local drive, and click Insert button.
3. Right-click the logo and choose Size and Position... to display the Layout
dialog box like in Figure 4.
4. Click Text Wrapping tab and choose In front of text, then click OK button.
5. Click and drag the logo to the upper left corner of the rectangle shape.
Your output should look like in Figure 5. Notice that the white
background color of the logo is visible. This makes it a problem to
integrate jpg file to an object with dissimilar background color.

b. .PNG

PNG which stands for Portable Network Graphics uses a non-lossy compression
method also for digital images. It is the same with .jpg format in giving a good
quality of image and making the transporting of files to internet faster. Unlike .jpg
format, .png format allows transparency which makes blending of images to other
objects in your document is better. Try it!

TRY IT 3!
Use the Try It 2 output in doing this. Continue working on it. Make sure you
have a logo file of type .png in your local disk. Follow these instructions.
1. Right-click the logo and choose Change Picture... to display the Insert
Picture dialog box like in Figure 6.
2. Click From a File to display Insert dialog box then choose your logo.png
file in your local drive and click Insert button. Your output should look
like in Figure 7. Notice that the white background around the logo
disappeared. This is because of the .png file format used.
3. Click the Design tab and click Close Header and Footer to close header.

c. .GIF

GIF which stands for Graphics Interchange Format can display transparency too
like PNG but can only support 256 colors that is good mostly on low-resolution
images like logos, drawings or small texts. It also supports simple animation effects
which makes it not fitted to printed documents other than email or website.

3. SMART ART

Smart Art is a predefined sets of different shapes grouped together to form a


structure. There are a lot of Smart Art graphics you can choose, from list, process,
cycle, hierarchy, relationship, and matrix. You can choose and integrate it in your
infographics document. Try it! (Refer to Try It 4!)

TRY IT 4!
Use the Try It 3 output in doing this. Continue working on it. Follow these
instructions.
1. Click Insert tab and in the Illustrations group, choose Smart Art to display
Choose a SmartArt Graphic dialog box then in the Heirarchy group, choose
Horizontal Organization Chart like in Figure 8.
2. Click Design tab, click Change Colors and choose the color you want or
similar in Figure 8.
3. Click Design tab, choose the style you want or same in Figure 8 from the
SmartArt Styles group.
4. Change the [Text] with the texts shown in Figure 8.

4. CHART

Chart is used to illustrate and compare data. You can choose from the available
types - bar, line, pie, area, column, or surface. Try it! (Refer to Try It 5!)

TRY IT 5!
Continue working on Try It 4 output. Follow these instructions.
1. Click Insert tab and in the Illustrations group, choose Chart to display
Insert Chart dialog box then choose Pie like in Figure 9 and click OK
button. It displays the Chart data like in Figure 10.
2. Now, change the data written in the table which is above the pie chart
picture by double-clicking Sales, and type Enrollment. As you change, data
in the pie chart also change.
3. Change other data like the data written in Figure 11. After typing, click X
button in the Chart in Microsoft Word box to close it. Your output is like in
Figure 12.

5. SCREENSHOT

Microsoft Word provides a snipping tool for your screen shots so you can select and
display only the part that you exactly like to capture on your screen.

IMAGE PLACEMENT

You’ve already done this in TRY IT 2 but applying only one position. If you have
paragraphs and you don’t know where to place your image, then you can choose
from the different options. Just refer to Figure 4 for the text wrapping options. Try
it!

TRY IT 6!
Continue working on Try It 5 output. Follow these instructions.
1. Type the following below pie chart image.
The pie chart presents enrollment of Dream School for four school years
starting from SY 2016-2017 to SY 2019-2020. It shows that the school got
the least number of enrollment on SY 2016-2017 and the greatest number
of enrollment on SY 2019-2020. The chart shows that there is an increment
of enrollment every school year. School year 2019-2020 enrollment is twice
that of SY 2018-2020. This only shows that the Dream School is continue
growing.
2. Resize the pie chart image to half its size by clicking the lower right corner
and drag it going to the upper left corner.
3. Right-click the image, choose Wrap Text, and click Square. Your output
should look like Figure 13.
4. Save your work in the local disk.

External File

External file such as an MS Excel file may be used in MS Word document like
bulk letters to link data. For example, you will type in your guests information in
MS Excel like his Salutation, First name, MI, Last name, and Address. Do the
following:

1. Open MS Excel
2. Create new Blank Workbook. and type the following:

3. Save it as Guest. (Take note of the folder where you saved this file.)

This is a Hands-On Activity. You need a computer, MS Word and a .jpg type of
picture in order for you to do the following. Note: Always save your work.

1. Turn on your computer and open MS Word.


2. Create a new blank document.

3. Go to Mailings ribbon, as shown in the figure below, in the Start Mail Merge
tab, click on Start Mail Merge and choose Letter.

4. Type the content of the letter as shown below.

5. Still in the Mailings ribbon, click on Select Recepients, and choose Use an
Existing List… The Select Data Source dialog box is displayed.
6. Locate the Guest.xlsx, select it and click on the Open button. It will activate the
Insert Merge Field option.
7. In your letter, select or highlight Mr., click on the Insert Merge Field and
choose Salutation. You will notice that it changed to «Salutation».
8. Repeat the process to first name, mi, last name, and address.
9. Do the same for the salutation after the word Dear.

Insert Citation

12. At the end of the last sentence in the last paragraph before the period, you need
to cite the reference by following the steps below:

a. Go to the Reference ribbon, in the Style option, choose Chicago.


b. Click on the Insert Citation, and choose Add New Source…
c. The Create Source dialog box is displayed as shown below. Fill in the
information as what is shown in the figure.

d. Click OK. It will look like this (Rosario 2018).
13. After the last paragraph, enter two spaces.
14. Go to the Reference ribbon, click on Bibliography, and choose References.
References are now listed.
15. In the Mailings ribbon, you can preview the results by clicking the Preview
Results. You will notice that the field names are changed into the name you
entered in the Guest.xlsx.
16. You can preview the next record by clicking the arrow pointing to the right.
17. Click on the Finish and Merge and choose Edit Individual Documents… to
complete the mail merge.
18. Save this as another file.

last material inserted and placed over texts and images. After you positioned
it, click it and click Format tab then click the arrow down beside Send
Backward, and click Send Behind Text.
