IV. Discussion and Activities


Imagine how life would be if we were unable to express ourselves. Communication is a
very important part of a person’s existence. It is through communication that people convey their
ideas, feelings, thoughts, dreams and aspirations. However, this is not enough. It helps that you
know a lot of words, you have a good speaking voice, you can easily adjust to people or that you are
pleasant looking. The way we express ourselves reflects on how we perceive ourselves, in relation
to others and our environment.
This module is about effective communication, its importance and its impact on your daily
life. A person who knows how to communicate effectively has generally better employment
opportunities as well as deeper and more meaningful relationships compared to someone who is
unable to communicate effectively. In this day and age, being an effective communicator is
definitely an advantage.
Communication can broadly be defined as exchange of ideas, messages and information
between two or more persons, through a medium, in a manner that the sender and the receiver
understand the message in the common sense, that is, they develop common understanding of the
message.

The word communication is derived from the Latin word ‘communicare’, which means to
share, impart, participate, exchange, transmit or to make common. It emphasizes on sharing
common information, ideas and messages. It is not merely issuing orders and instructions.

Elements of Communication
1. Sender - is the person who initiates, generates and sends the message.
2. Message - is the idea or information that the sender wants to convey. He may convey it
verbally (by writing or speaking) or non-verbally (through gestures or body language).
3. Receiver - is the person or a group of persons to whom the message is conveyed.
4. Noise - represents the disturbing factor in the process of communication. It interferes with
effective communication and reduces clarity of the message.
5. Feedback - is receiver’s response to sender’s message.
6. Encoding – the process of converting the message into words, actions, or other forms that
the speaker understands
7. Channel – the medium or the means, such as personal or non-personal, verbal or nonverbal,
in which the encoded message is conveyed
8. Decoding – the process of interpreting the encoded message of the speaker by the receiver

Activity 1

Models of Communication
A model is widely used to depict any idea, thought or a concept in simpler way through
diagrams, pictorial representations etc. Models go a long way in making the understanding
of any concept easy and clear. Through a model one can easily understand a process and
draw conclusions from it.

1. Aristotle Model of Communication – the speaker plays a key role in communication. He


is the one who takes complete charge of the communication. The sender first prepares a
content which he does by carefully putting his thoughts in words with an objective of
influencing the listeners or the recipients, who would then respond in the sender’s
desired way.
2. Wilbur Schramm Model of Communication– emphasizes that the communication is
incomplete unless and until the sender receives a feedback from the recipient. Imagine a
person sharing his thoughts with his friend and his friend not responding to him. Is the
communication complete? NO. Schramm believed that communication is actually a two
way process between the first party and the second party.
3. Claude Shannon and Warren Weaver – simply proposes that a message actually
originates from the person who gets the thought or has the information. The sender is
also called the Source of information or the Information Source. The information then
gets transmitted from the brain to the mouth and comes out as a signal which then
reaches the recipient after joining hands with several noises and other disturbances. The
recipient then further passes on the message to its final destination or other minds of
other individuals.
4. Eugene White- implies a step-by-step sequence of events that starts with thinking in the
mind of the speaker and ends with monitoring also by the speaker. Communication is a
repetitive, cyclical event but the dynamic quality of interaction is not depicted. The
speaker is the originator of the communication process and the listener is a passive
reactor who does not initiate communication.

Compare and Contrast Eugene White and Aristotle Model of Communication using a
Venn diagram.

Communication Breakdown
Communication Breakdown occurs most of the time and if we desire to be effective communicators
we should know what and how to resolve such.
1. Perceptual and Language Differences (Culture) Perception is generally how each
individual interprets the world around him. All generally want to receive messages which
are significant to them. But any message which is against their values is not accepted. A
same event may be taken differently by different individuals with different cultures.
2. Correct use of Verbal and Non Verbal Communication with our cultural differences, we
should be careful in using non-verbal communication. Verbal Communication should be
appropriate with the non-verbal.
3. Inattention - At times we just not listen, but only hear.
4. Distraction/Noise -Communication is also affected a lot by noise to distractions. Physical
distractions are also there such as, poor lightning, uncomfortable sitting, unhygienic
room also affects communication in a meeting.

6. Emotions - Emotional state at a particular point of time also affects communication. If
the receiver feels that communicator is angry he interprets that the information being
sent is very bad.
7. Complexity – the use of scientific terms and highfalutin words also affects
communication especially if it’s not appropriate in the communication context.

Functions of Communication

Basically, there are five functions of communication. These are control, social
interaction, motivation, emotional expression, and information dissemination.
1. Regulation/ Control – Communication functions to control behavior.
2. Social Interaction – Communication allows individuals to interact with others.
3. Motivation – Communication motivates or encourages people to live better.
4. Emotional Expression – Communication facilitates people’s expression of their feelings
and emotions.
5. Information Dissemination – Communication functions to convey information.
