    FORMAT FOR WRITING A RESEARCH PROPOSAL


    Introduction:

    The primary aim of this document is to have uniformity and harmonization of research proposals
    seeking funding and approval for ethical clearance from SJCHAS. Externally funded proposals may
    be submitted in templates required by sponsors as long as all components of a proposal as itemized
    below are included.

    1) TITLE PAGE ( 1 page)


    • Title
    • Name of Principal Investigator
    • Qualifications
    • Department
    • School/Institute/Directorate
    • Other Investigators, Qualifications, Supervisors, Departments

    2) TABLE OF CONTENTS (1 page)

    3) LIST OF ABBREVIATIONS (1/3 p)

    4) ABSTRACT (1/3 – 1/2 p)


    • Short background
    • Aim of the study
    • Materials and methods, (including study type, design, sample, location, data analysis
    plan, etc.)
    • Budget
    5) DEFINITIONS OF KEY TERMS (1/3p) if any

    6) INTRODUCTION ( 2 pages max)


    a) BACKGROUND (provide the general overview of the subject to be studied)
    b) LITERATURE REVIEW (This should be in accordance with the specific
    objectives)
    c) CONCEPTUAL FRAME WORK
    d) STATEMENT OF THE PROBLEM (Identify the knowledge gap and factors
    associated with it)
    e) RATIONALE (Utility of the findings)
    f) RESEARCH QUESTIONS (optional)
    g) HYPOTHESIS (if applicable)
    h) OBJECTIVES
    • Broad Objective
    • Specific Objectives
    7) MATERIALS AND METHODS (2 pages max)
    a) Type of the Study
    b) Study population (who will be involved, how will they be selected, how will
    the sample size be estimated, inclusion criteria, exclusion criteria)
    c) Study area
    d) How will the data be collected (investigation instruments, specify
    measurements, reliability and validity of the methods)
    e) Data Analysis Plan (in accordance with the specific Objectives)
    f) Ethical consideration (how will you ensure participants protection, special
    consideration for vulnerable groups, privacy, confidentiality, fair consenting
    process, standard of care including prevention, acquisition of permission of
    entry to study sites etc.)
    g) Study limitations and mitigation
    h) Time schedule of activities

    8) BUDGET AND ITS JUSTIFICATION (1 page)


    Give details and breakdown of total funds required for the project (use SJCHAS budget
    template)

    9) DISSEMINATION PLAN ( ½ page) if any


    a) Proposed Publications (indicate number, titles and when do you intend to
    publish them)
    b) University Research Seminars
    c) Local and International Conferences

    10) REFERENCES (Use Harvard or Vancouver Referencing Style) ( ½ – 1p, 3-7 references)

    11) IMPORTANT ATTACHMENTS


    a) Investigation Instruments: These may include questionnaires, interview
    guide, clinical survey forms, and observation checklist etc. Questionnaires
    and interview guide must be translated into Swahili and back translated if
    the participants are not English speaking.
    b) Study protocols if applicable
    c) Consent Form(s) must be translated into Swahili and back translated for
    Swahili speaking participants.

    Proposal pages limit 1 title page + 5 – 7 pages, + attachments.

    Margins - Normal (top and bottom - 2cm, left – 3 cm, right – 1.5cm)
