INTRODUCTION

Purpose
To collect standard applicant information and maintain personnel files of all employees of the
organization

Scope
The Human Resources Department recruits personnel for various activities of the hospital to meet
the care, treatment and service needs of the patient. Medical, paramedical and support services
staff are recruited for services round the clock and throughout the year.

ROLES AND RESPONSIBILITIES

HR Manager:
 The HR manager is directly responsible to all the Head operations.
 The HR manager is responsible for administrating the application process and the tabulating and
distributing all compliance information.
 Is responsible for recruiting employees, when there is a need with the approval of operations
head.
 Organize interviews in coordination with concerned department head for all the new employees.
 Induct and get the new employees oriented.
 Conducts induction and orientation to all the employees of the hospital including heads of the
department.
 Maintain all HR related records, files and registers in the department.
 Keeps complete personnel files of all employees in addition to master employee record,
employee history record, resigned employees’ files.
 Develops procedures to control absenteeism, turnover and leaves.
 Develop liaison with PF Office and other government organizations.
 Helps HR Executives in preparing salary statements.
 Coordinates with Heads of all departments and doctors for work pertaining to HR.
 Resolve conflicts among staff and refers others to the grievance cell.
 HR personnel interact with the legal advisor for all the hospital employee cases.
 Coordinates with contract services for all office works.

 Grievance Handling system
 Disciplinary Handling system
 Employee satisfaction analysis (Half-Yearly)
 Performance Appraisal System (Yearly)
 Annual Health Checkup
 Statutory compliance
 Procedure for resigned staff:
o Exit Interviews
o Employee relieving formalities
o Employee final settlements

Selection
1. All applications received during recruitment should be acknowledged and then
screened by HR based on requirements given in the manpower requisition form to
arrive at a preliminary shortlist.
2. The shortlisted applicants shall be sent to the functional manager for developing an
interview call list.
3. The candidates called from outstation for personal interview shall be reimbursed
travel fare as follows-
 For staff positions- bus fares/sleeper train fares.
 For management level positions- 1st class/2nd A/c train fare.
 Airfare can be reimbursed to management positions only with prior approval
from Hospital Head.
4. Before conducting personal interviews HR shall conduct appropriate selection tests
for staff level positions.
5. Personal interview panel shall comprise of Functional Manager and HR and they shall
conduct interviews together.
6. For positions at the level of Head of Departments and Consultants, the final interview
panel shall comprise of Hospital Head and HR.
7. For positions at the level of Head of Hospital and above, the final round interview
panel shall comprise of VP- operations and marketing, HR Head and CMD.

Educational qualifications
1. For nursing-
 3 year diploma in general nursing and midwifery (GNM) after 10+2.
 Graduation in nursing (B.Sc) after 10+2.
 A certification of registration from local state government or the state where
the candidate has persued his/her education is MANDATORY for candidates
possessing above mentioned qualification if they were to be employed in that
particular state.
2. For technologists it is graduation and /or appropriate certificate in respective areas.
3. For other staff (customer care/accounts/stores) qualification is graduation in any
discipline or PUC.
4. For Resident medical officers (RMO) it is MBBS and for senior Registrars MD/MS or
MBBS with 7 years of working experience.
5. For senior administrative positions it is Masters in Hospital/Health administration or
Business administration.

Joining formalities
1. On selection of candidates, an offer letter will be issued by HR.
2. The candidate shall be asked to undergo a standard pre-employment Medical Checkup
at the Hospital or in exceptional cases from outside, if the candidate opys to do the
medical checkup from outside then the HR shall give him/her the standard list of tests
to be done. The expenses incurred by the candidates for pre-employment medical
checkup shall be reimbursed to him/her on joining.
3. The candidate shall furnish following documents to HR on joining-
 Copies of educational qualifications as furnished in company application form
along with originals for verification by HR.
 Proof of date of birth.
 Relieving letter from previous employer.
 Proof of salary details as furnished in company application form.
 Medical report.
 Bond letter and original educational certificates by candidates joining as
nursing staff.

Issuing Employee Number


 On joining of the candidate an employee number shall be issued to him/her by the HR
and an employee file shall be created.
 HR shall send the employee salary data to payroll on 20th day of every month for all
employees joining in that month for payroll processing.
