Subject: COVID -19 WORKPLACE PREVENTION AND CONTROL GUIDELINES

TO ALL AWESOME OS EMPLOYEES:

In reference to the above subject, effective June 4, 2020, the following policies, preventive measures,
and guidelines should be STRICTLY COMPLIED in all AWESOME OS office sites at all times. These policies
and guidelines are outlined to ensure maximum health and safety security of the employees, vendors
and or authorized visitors.

PART I. GENERAL COMMUNITY QUARANTINE

Effective May 16, 2020, the City Government of Davao is officially under General Community Quarantine
(GCQ) following the EXECUTIVE ORDER NO. 33-A Series of 2020 which allows business establishments to
resume operations and allow employees to work based on IATF Resolution 35, Series of 2020 dated May
11, 2020.

The GCQ allows more people to go out be more exposed to higher risks. As we always say, SAFETY as the
number ONE priority, until such time that the Management issues a RETURN TO OFFICE ORDER, all
OPERATIONS TEAMS ARE STILL EXPECTED TO WORK AT HOME.

PART II. QUALIFICATIONS FOR WORKING ON-SITE

All employees returning to the office must completely meet the qualifications before being allowed to
work in any AWESOME OS Site. Here are the important requirements:

a. The employee should be recommended to report to office by the Manager and/or the client.
b. Filled-out Health Information and/or Health Clearance from the Company Physician and/or
Medical Team
c. The employee does not qualify to the “Vulnerable Sector” as discussed in EO No. 33-A.
d. The employee has completely signed and acknowledged “COVID -19 WORKPLACE PREVENTION
AND CONTROL GUIDELINES”

These preventive measures are implemented and imposed with strict measures in accordance
with the policy of Department of Health and City Government of Davao

PART III. WORKPLACE GUIDELINES IN PREVENTION AND CONTROL OF COVID-19

As a general rule, all approved employees to Return to office, should always observe the basic
requirements. Outlined below are the specific steps on how we can use our facilities with

General Preventive Measures

• All offices and workstation will undergo a regular sanitation on a daily basis.
• All approved employees to Return to Office will have their individual PPE.
• Medical Team will assess each employee. Clinic staff assigned to assess the workers held in the
isolation area shall be provided the appropriate medical grade PPEs by the establishment which
shall include but not limited to, face masks, goggles/face shields, and or gloves.
• Isolation Area should be well-ventilated and disinfected frequently.
• All washrooms and toilets shall have sufficient clean water and soap. Hand sanitizers shall be
made available in all areas where workers pass.
• Physical barriers may be used to promote 1-meter radial distance between workers, such as
using of plastic covers in small offices (Clinic, HR Office, Accounting Office, IT Room) and
reception areas/front desk.
• Designation of safety officers and roving personnel to monitor implementation.
• Most “at risk” workers and vulnerable groups, or those 60 years old or of any age with co-
morbidities or pre-existing illness, such as hypertension, diabetes, cancer, or with
immunocompromised health status; or with high-risk pregnancy are encouraged to do work
from home arrangement. (Given that they must present a valid medical certificate issued by
their physician, allowing them to work from home.)
• Markers and health posters are attached to floors, walls and/or furniture to ensure compliance
of the Social Distancing and other health standards.
• Nap Rooms and Massage Areas will not be available until further notice from the Management.
• Dining Areas are provided per floor to ensure that people are no longer needed to go to the
floor where the pantry is located.

A. Facility Entrance Sanitization Protocol

To reduce the transmission of COVID-19, all employees will be mandated to observe strict health
protocols: Please refer to the steps below:

Step 1: Before entering the workplace, all employees must always wear face masks and will only
remove them when eating or drinking.
Step 2: While lining up at the entrance, employees are expected to follow the markers to
observe social distancing. Perform proper sanitization by using the footbaths, portable
sink and hand sanitizers provided at the entrance door and for the Security personnel to
conduct mandatory Temperature check. Everyone should undergo the mandatory
temperature check with the use of a non-contact infrared thermometer.

Step 3: After completing the sanization protocol, all employees that are approved to Return to
Office shall be provided the appropriate Personal Protective Equipment such as face
mask, gloves, etc., should be properly worn while at work and should be disposed
accordingly after use.
Step 5: During the first day of returning to work after WAH, everyone is required to accomplish
the Health Screening Form and to submit the completed form to the Guard or Nurse on
duty.

TEMPERATURE CHECK:

a. 32 °C to 37.4 °C - Normal Temperature


b. 37.5 °C to 37.7 °C - Slight Fever
• Employee shall be isolated in an area identified by the company.
• The nurse or doctor will perform further assessment and history taking, including
TRAVEL and EXPOSURE history
• Employee will be asked to accomplish the Health Screening Form.
• Body temperature will be rechecked by the Nurse after 5 minutes.

• If an employee has a temperature of 37.5 °C and above, even after a 5-minute rest, or if
his/her response in the questionnaire needs further evaluation by the clinic staff, he/she
will not be allowed to enter the workplace premises.
• An employee suspected of having COVID-I9 must be brought to the nearest hospital if
needed.
c. 37.8 °C and above - High Fever
• Employee will not be allowed to enter the workplace premises.
• Immediately contact Davao Region COVID-19 Operation Center Hotline Number/s to
receive appropriate guidance and help.

B. Elevators and Stairs Protocol

Building Entrance to Elevators & Stairs

1. In lining up for the elevator, employees must stand on the markers provided to ensure social
distancing. (If opt to use the stairs, protocols are set below)

1.1 When using the stairs, always keep right. Directional signs are provided for your guidance.
6.2 Observe one (1) meter social distancing while walking through the stairs.

2. There will be limited number of persons allowed (indicated outside the elevators) in the
elevator, markers are provided inside to know where to stand.
3. Employees are advised to avoid talking to each other when inside the elevator.
4. Employees should directly go to their assigned floors and stay in their assigned offices
throughout their shifts. (specifics on Production Floor Guidelines)

C. Production Floor and Other Offices Protocols

I. Production Floor Entrances

All employees are expected to sanitize their hands upon going through production floor entrance
doors.
• 70% Rubbing Alcohol / Alcohol based hand sanitizers are provided in the guard station
• Make sure masks are worn upon entering the office premises

II. Inside the Production Floor


• Sit on the designated seats only marked with stickers.
• Strictly follow social distancing and DO NOT RE-ARRANGE your station.
• Laptops, Monitors, Keyboards are the only items allowed on the desks. This will be
strictly implemented. For leaders with documents needed on their desk, make sure
there is one single organizer only if possible.
• No bags inside the production floor. All personal items must be placed inside the
lockers. Clean up the lockers and disinfect.
• Pillows and Blankets are not allowed inside the production floor.
• Jackets should not be left in workstations after shift.
• Food is strictly prohibited inside the production floor. Tumbler or containers with spill
proof lid are allowed.

• Practice CLAYGO as usual. Infectious waste such as SURGICAL GLOVES and DISPOSABLE
SURGICAL MASKS MUST BE DISCARDED IN THE YELLOW TRASH BINS PROVIDED.
• DO NOT TOUCH THE ACU THERMOSTAT. Always ask assistance from the guards.
• Please stay within your designated office areas. No loitering to offices across for no
valid reason.
• NO LOITERING TO OTHER FLOORS OR SITES WITHOUT OFFICIAL TRANSACTIONS. If
any, you are asked to log in at the guard stations. Online transactions like chat and
email are strongly recommended when in need of assistance from any departments.

The officers from the following departments will go the person’s workstations if deemed
necessary.
1. People Team (Human Resource)
2. Accounting
3. Nurses/Doctor

D. Provided Dining Areas


• Practice proper hand washing/sanitizing before and after eating.
• Food containers, drink containers, food items or trash are not allowed to be left on the
tables. If anything, it will be disposed immediately.
• NO SHARING OF FOOD AND UTENSILS
• Practice CLAYGO as usual. Infectious waste such as SURGICAL GLOVES and DISPOSABLE
SURGICAL MASKS MUST BE DISCARDED IN THE YELLOW TRASH BINS PROVIDED.

E. Lobby Area
• Couches will have markers to indicate which area to sit on. This will be strictly
implemented.

F. Restroom
• Follow Restroom Etiquette (reminders are posted on restroom cubicles and walls)
• Stand on designated waiting areas maintaining the 1-meter distance for social distancing.
Mirrors will have markers to indicate which sink area is available for use.
• Always practice proper hand washing after using the toilet.
• Practice CLAYGO as usual. Infectious waste such as SURGICAL GLOVES and DISPOSABLE
SURGICAL MASKS MUST BE DISCARDED IN THE YELLOW TRASH BINS PROVIDED

*** Restroom Daily Maintenance***


• General Cleaning schedule is every 4 hours:
- 7am-11am
- 3pm-7pm
- 11pm-3am
• Checking of essentials (tissue, soap and sanitizer) is every hour.

G. Conference and Training Rooms

Reservations for Conference Rooms and Training Rooms must be booked at least a day before, so
the rooms thoroughly sanitized before every use.
• Schedulers (IT and Operations Admin) should take note of 1-hour allowance after every booking
hour.
• If the first meeting/training ends at 9:00 PM, the booking hour must be at 10:00 PM. Again, this
is to give time to sanitize the room for the next user.
• Trainers and Leaders must submit the list of participants joining the training or meeting
including their contact details.
• The log sheets are at the guard station. The filled-out sheet will be collected by the guard for
submission to the Nurse on Duty.
• PHYSICAL DISTANCING MUST BE OBSERVED.

• Markers will be provided on the desks to indicate which seats can be used.
• Trainers and Leaders must always check with schedulers how many seats are available in the
rooms being booked.
• Open doors whenever possible to help room ventilation.
• EVERYONE IS REQUIRED TO WEAR MASKS.
• Alcohol and Hand Sanitizers are available, please observe proper hand sanitation.
• If someone from the meeting/training is isolated as a suspected COVID-19 case, participants
should be made aware. They will be advised for a 14-day quarantine, monitor themselves if any
symptoms manifests and they need to take their temperature twice a day.
• If they develop even a mild cough or low-grade fever, they should stay at home and self-isolate.
This means avoiding close contact with other people, including family members. They should
also contact their healthcare provider or the local public health department, giving them details
of their exposure and symptoms.

H. Food Delivery, Takeout and Visitors’ Protocol

i. Food/Item Delivery

1. Food and Item Deliveries will not be allowed to enter the office of deliveries. If an employee has
food or item deliveries, they must meet the vendor outside the building entrance.
2. Avoid direct contact with the delivery personnel. Keep transaction “contactless” as much as
possible.
3. Discard the food packaging or any delivery packaging as soon as you can and wash your hands
right after.
4. If possible, avoid using the containers and utensils that the food came in (some experiments
indicate that the virus could possibly remain viable on cardboard for up to 24 hours and on
plastic for up to three days). Bring and use your own utensils instead.
5. Disinfect counter tops or tables before or after eating.
6. Do not forget to wash your hands for at least 20 seconds before you sit and eat your meal.
Wash your hands properly after as well.

i. Food/Item Takeouts
1. Maintain as much distance as you can between yourself and anyone else. This includes the
personnel working the takeout window, or any customers waiting in line.
2. Use contactless payment if possible. If you have exact cash, lay it on the takeout counter or
pass it in a manner that allows you to avoid touching hands directly.
3. Wash your hands when you get to the office and follow the same set of instructions on proper
disposal of any packaging brought from the outside may it be food or other items.

I. Visitors Entry

Strictly No Visitors are Allowed Inside the Office

▪ Visitors such as office contractors/vendors should have an appointment set with the office
or the person they are meeting. Guards will verify the appointment.

▪ Employees from other sites coming in for any HR/ACCOUNTING/RECRUITMENT transactions


must present a printed appointment email to the entrance guard. If no appointment
letter/email, the person will not be allowed to go inside the office.

J. Smoking Areas

Smoking is highly discouraged.

1) The smoking area in the compound is open for smokers but markers were placed to follow the
one (1) meter distance from other smokers. Please do not force yourself in if the area is full.
2) Avoid greetings that involve touching or physical contact.
3) Before touching the cigarette stick, make sure your hands are clean.

4) Disinfect hands after smoking.

Reminder:
▪ Some sites have expressed they might be closing their smoking areas. Employees must be
responsible if they ever they decide to find a non-designated smoking area within the site
vicinity. If any unfavorable situation arises such as getting caught by the police, the company
will not answer for them.

• Before entering the building for any breaks, employees must go through temperature check
again. Please wait at least 20 minutes after smoking before going back in the office. Smoking
may alter the temperature result.

PART IV. TRIAGE AND PROTOCOL

CLASSIFICATION / TRIAGE

a. NON-COVID CASE
Criteria: SYMPTOMATIC without exposure or travel history

Intervention / Protocol:
1. Never remove mask.
2. Isolate in holding area.
3. Refer to Outside Clinic or ER for workup
4. Present Medical Certificate prior to entry.

b. POSSIBLE
Criteria: ASYMPTOMATIC + EXPOSURE and/or TRAVEL HISTORY

Intervention / Protocol:
1. Never remove mask.
2. Isolate in holding area.
3. Advice home quarantine for 14 days.
4. Refer to OpCen or call 911 for instructions.

c. SUSPECT
Criteria:
• SYMPTOMATIC + EXPOSURE and/or TRAVEL HISTORY

Exposure:
o Exposure by Contact
o Exposure by Travel
o Exposure by Residence

• SYMPTOMATIC + REQUIRES HOSPITALIZATION


• SYMPTOMATIC + RISK FACTORS

Risk Factors:
o 60 years old and above
o With co-morbidities or pre-existing illnesses (Hypertension, Diabetes, Heart and Lung Disease)
o Pregnant
o Health Worker

Intervention / Protocol:

A. If identified from main entrance upon filling out SCREENING FORM


1. Never remove mask.
2. Isolate in holding area.
3. Refer to OpCen or RESU/SPMC for disposition.

4. Or call 911

B. If identified inside the office upon complaining symptoms:


1. Never remove mask.
2. Isolate in holding area.
3. Refer to OpCen or RESU/SPMC for disposition.
4. Or call 911
5. Decontamination of Workplace (whole building) with appropriate disinfectant. (e.g. chlorine
bleaching solution and 1:100 phenol-based disinfectant).
6. After decontamination of the work area, work can resume after 24 hours.
- Employees may resume to work 24 hours after workplace decontamination if they do not
have any direct physical contact with the suspected COVID-19 patient.
- It will be the company’s discretion if we must wait for the result of the suspected patient
before resuming to work.
7. Workers present in the work area with the SUSPECT COVID-19 worker shall go on 14-days
home quarantine with specific instructions from the Clinic Staff on monitoring of symptoms
and possible next steps.

WHO WILL GO UNDER 14-DAY HOME QUARANTINE?


- those who have a proximity with the SUSPECT COVID-19 worker

8. If SUSPECT COVID-19 worker has negative result, co-workers may be allowed to report back
to work.

Regional Epidemiology and Surveillance Units (RESU) serves as a crucial link between the central office
and devolved health units. They can serve as “information services nodes” and can be platform for
capacity building in the field epidemiology.
