1. Preface

Social Immersion Project (SIP) is core to the experiential learning opportunities provided to

the students of the School of Business and Law (SBL) at Navrachana University. The

immersion programme is uniquely designed to help students apply management concepts

learned in the classroom to organizations working for social purposes. Such organizations are

commonly referred to as Nonprofits, NGOs, voluntary organizations (VOs), civil society

organizations, etc. Generally, these organizations face numerous challenges in their social

ventures, including mobilizing funds for development interventions, engaging with the

community, delivering high impacts, and managing the stakeholders. Responsible conducts,

innovation, and resource optimizations are some of the critical features of these organizations.

Hence, they have high potentials to provide an excellent platform to help students learn

management practice-related complexities during the immersion internship.

The SIP’s overarching goal is to enable interns to apply the management functions to real-

world practices. Social purpose organizations offer a wide variety of internship possibilities

such as understanding the organizational structure, organizational behavior, responsible

management practices, project development & implementation, project monitoring &

evaluation, etc. Interns are required to finalize the SIP objectives in consultation with the

faculty-guide and the field-guide.

This handbook is a guiding document for the interns to refer to the required tasks and

deliverables in different SIP phases.

2. Internship: Credits and duration

The SIP is of total two credits. The SIP is spread across a period of four weeks. During the

internship, the intern needs to demonstrate the engagements and workloads equivalent to the

total credits allocated to the SIP.

3. Internship: Phases and Steps

The SIP is divided into three phases. The first part is a preparatory phase which includes the

formalities and the process needed before the internship begins. The second part is the

internship period, during which the intern takes up the roles and responsibilities in the allocated

organizations. The third phase starts after the internship period, wherein the intern prepares the

final SIP report and presentation and makes the required submissions.

3.1 Before the Internship

Highlights: Pre-internship

1) Enroll yourself to the SIP.


2) Prepare a short resume of one page.
3) Attend the orientation programme on the SIP.
4) Finalize the host organization and get it allocated for your SIP.
5) Get your faculty guide allotted for the SIP.

3.1.1. Enrollment/Registration: A student is required to enroll for the internship. In this

regard, a duly filled registration form (see Annexure-I) and the consent to the code of

conduct (see Annexure-II) must be submitted before the due date for the approval of

the Internship Coordinator.

3.1.2. Short Resume: A student is required to provide a one-page resume. The resume should

ideally include a summary of qualifications, and it should provide information such as

name, address, contacts, education details, work experience, and activities &

achievement. The resume may be forwarded to the prospective/host organization

offering the internship opportunity.

3.1.3. Orientation on the Internship: An orientation programme, mandatory for the

students, will be conducted to provide information about the internship modalities.

3.1.4. Organization allocation: The University will allocate an organization to the

student/group to undergo the internship segment.

3.1.5. Faculty-guide: A faculty-guide from the university will be allocated to the intern/group

to provide guidance during the internship.

3.2. During the Internship

1) Get your field-guide allocated at the host organization.


2) Adhere to the code of conducts and engage professionally.
3) Carry out the internship under the guidance of the faculty-guide and the field-guide.
4) Maintain daily diary and field notes.
5) Submit your weekly report to the faculty-guide and the field-guide.
6) Weekly reports are to be submitted individually by all the students in the group.
7) Follow the applicable norms, rules, and policies of the host organization for the matters
related to the working hours, leave, and attendance.

3.2.1. Field-guide: The host organization will allocate a field-guide to supervise the work

during the internship period.

3.2.2. Professionalism: Demonstrating professional behavior should be the utmost priority

during the internship. The intern must follow discipline, engage with a positive attitude,

have a focused approach and inquisitiveness to learn, and work by planning and

scheduling the activities.

3.2.3. Code of conduct: The intern must regularly keep the faculty-guide and the field-guide

informed about the internship progress. Maintaining confidentiality is an essential

aspect of the code of conduct. The intern must be cautious of dealing with any matters

that may hamper the host organization.

3.2.4. Daily diary and field notes: The intern is required to maintain daily field notes. It

should be maintained in the form of a log file and should contain information about the

intern’s activities, meetings, or visits on the day. The field notes should also have a

section capturing the intern’s reflections of the day. The intern may be asked to produce

the field notes at any phase of the internship.

3.2.5. Weekly report: The intern must share a weekly report regularly during the internship.

It should be prepared based on the daily field notes. The intern should collate the field

notes and draft them in the form of a weekly report to be shared with the faculty-guide

and the field-guide.

3.2.6. Data Collection: The intern should collect required data, documents, and photographs

during the internship. Further, conversations and interviews should be conducted as

needed. The data collection must follow the ethical code of conduct.

3.2.7. Working hour, leave, and attendance: The intern shall follow the host organization’s

policy and practice of daily working hours, weekly off, and holidays. There is no

provision for extra leave. The intern is expected to have 100% attendance during the

SIP period. In case of any calamitous needs, the intern may be allowed to avail leave

of a maximum of three days. However, such a leave request is subject to the following

conditions:

a) Leave application (see Annexure-VI) shall be made only in unavoidable

circumstances.

b) An intern must seek prior approval of the leave from the Internship Coordinator.

c) The application to the coordinator must be forwarded by the faculty-guide.

d) A penalty of 10 marks per day deduction will apply in case of leave exceeding three

days.

e) Suppose the leave goes beyond ten days (including the leave with or without

penalty) during the internship. In that case, the intern shall not be allowed to

continue the internship; hence he/she has to repeat the entire internship segment

afresh.

3.3. After the Internship

Highlights: Post Internship

1. Collect the required documents from the host organization toward the end of the SIP.
2. Write a letter to the host organization sharing your internship experience and
expressing your gratitude for the support provided during the internship.
3. Submit the final SIP report to the faculty guide in the prescribed format, before the
deadline. (Per group one report)
4. Make the presentation of SIP.
5. Share a final copy of the SIP report with the host organization.

3.3.1. Documents to be collected: The intern, toward the end of the internship, must collect

a duly signed Completion Certificate from the host organization. Additionally, the

intern may collect any Experience Certificate or Appreciation Letter as per the host

organization's provision. A copy of the letter/certificate should be attached to the final

SIP report.

3.3.2. SIP report layout: The SIP final report should follow the specific layout (given below)

and include the pages separately.

 Executive Summary: The executive summary should be of one page, and
it should ideally provide information about objectives, an overview of
engagements or exposures, and significant learning during the internship.

 Main body: The main body of the SIP report should be divided into
different chapters. The chapters should comprehensively capture the learning
during the internship. The intern needs to finalize the required chapters in
consultation with the faculty guide. A tentative format is attached in
Annexure-V.

3.3.3. Report format: The SIP report should be in A-4 paper. The fonts should be TIMES

NEW ROMAN with font size 12. The line spacing should be 1.5, and both right and

left side margins should be kept 1. The page number should be located at the bottom

center of every page in the SIP report.

3.3.4. Presentation: The intern requires to make a presentation before the panel/field guide

as per the schedule.

4. Internship Evaluation: There are three evaluation components in the SIP. The first

component is a weekly report which carries a maximum of 40 marks for four weekly reports

(10 marks for each report). The weekly report should be submitted to the faculty guide

during the internship period. The second component is the final SIP report which will carry

a maximum of 40 marks. Likewise, the final SIP presentation, the third component, has a

maximum of 20 marks. The following table summarizes the evaluation under the three

components.

Codes of Conduct

I , student of MBA/BBA/BALLB program at the School of


Business and Law, Navrachana University, Vadodara with Student ID pursuing Social
Immersion Project at do hereby accept the following terms
and abide them, both in word and spirit.

1. I understand that during my Internship Program at the Internship Company, I am representing


Navrachana University. I will always conduct myself befitting Navrachana University’s image and
stature.
2. I am aware of the commencement and the closure dates of the Social Immersion Internship. I shall
attend the Internship regularly and punctually and work with the best of my abilities and in all
sincerity.
3. I shall endeavor to achieve the Social Immersion Internship goals and shall follow all the
guidelines of the “Internship Program Course Handbook” given to me.
4. I shall follow no-disclosure and confidentiality-related mandates in true spirit.
5. I understand that indiscipline or insubordination etc. may lead to termination of my Internship
Program.
6. I will return all materials and settle all the payments and advances (if any) by the end of the
Internship. In this respect, I shall obtain a “No Dues Certificate” from the host organization.
7. I understand that all business transactions (on behalf of the Company) should be conducted by me in
a fair, transparent and honest manner.
8. I shall not indulge in any cash transactions with the Internship organization or its customers.
9. I shall not indulge in any unlawful / illegal activities, nor shall I violate the norms of the
Internship organization during my Internship Program.
10. In case of emergency, I will avail a maximum of three days of leave with prior permission of the
Faculty Guide or Internship Coordinator. I understand that any additional leaves availed beyond
three days will lead to a penalty of 10 marks per day from the aggregate IP points.
11. I also understand that leaves availed by me beyond ten days (including leave with or without penalty)
during the entire period of SIP will lead to the repeating of my Internship Program without any
prior notice or intimation from the University.
12. I do hereby release Navrachana University and its employees, from all claims and causes of actions
for inconvenience, damage to or loss of property, medical or hospital care, personal illness or injury
or death arising out of my participation in the Internship Program named above.
