Overtime Policy

Definition

Overtime – refers to work that is required by the company owner or immediate


supervisor to the employee to be performed beyond his/her normal eight (8) working
hours.

Overtime pay – refers to additional compensation/pay for work performed beyond


normal eight (8) working hours.

Overtime Authorization – a.k.a. OTA, consent form to be filed by the employee


required to render overtime work

Range of Compensable Hours – minimum of one (1) hour and maximum of three (3)
hours; in cases where actual work hours fall in between a range of minutes, 30 minutes
beyond the minimum one (1) hour shall be considered half of the hourly rate; 31
minutes to 60 minutes shall be considered a full hour.

Condition

On occasion, staff may be required by their supervisor to work more hours than their
normal schedule. Such work is treated as overtime (OT) and requires a minimum of one
(1) hour to be considered, in addition to the official daily eight hours of work.

HR Procedures

1. Employee/staff is clearly required by the supervisor to render overtime to


continue/finish work in favor of the company. It is the supervisor who
determines and approves if overtime is required and not the employee;

2. Employee/staff who engage into overtime work are required to obtain consent
from their superior by filing an Overtime Authorization (OTA) prior to the
overtime work;

3. Employee/staff should accomplish two (2) copies of the OTA to the immediate
supervisor duly signed by the approver and the employee which includes the
date and time of overtime and the description of work to be performed;

4. One copy of OTA will be filed/submitted to the immediate supervisor while the
other one will be given to the employee as his/her receiving copy;

5. Overtime pay will reflect in the employee’s pay slip within the nearest payment
schedule/ cut off and overtime pay rates will apply based on 2022 Handbook on
Worker’s Statutory Monetary Benefits.

Exclusion

1. Overtime is considered official only when it is done in the office premises. As


such, field employees whose actual hours of work in the field cannot be
determined with reasonable certainty are excluded from overtime pay.

2. Official overtime is 6 PM up to 10 PM. Any official work that extends beyond 10


PM to 6 AM of the next day shall be subject to night-differential pay on top of the
overtime pay.
