Schedule a Custom Report

Content
Context

Use the Schedule feature to email a custom report on a specific schedule. The report is sent as an email
attachment.

When you schedule a report, you can:

Specify the day of the week or month and time of the report delivery.
Set a date or number of occurrences to stop sending the report.
Enter the email subject and body.
Select the report file type (PDF, formatted, and unformatted Excel file).
Send a copy to each of the agents in the report. This is only applicable if the report has agent
information. Each agent can only view their own data.
Add staff and other contacts to the email distribution list. Staff and other contacts receive the full
data available in the report.

Before You Begin

You must have some familiarity with the reports that currently exist in the system.

Steps

1. Navigate to T.C.1 - Run Reports.


2. Select the report that you want.
3. Click the Schedule tab.
4. Check Send report on set schedule to open the schedule options.
5. Under Schedule, do the following:
1. Use the Repeat every dropdowns to set the frequency of the report and time of day for report
delivery.
2. Use the Repeat on day dropdown to select the day when you want the report to be sent. For
a monthly report, select the day of the month. For a weekly report, select which day of the
week.
3. Optional: In Ends, select the date when you want to stop sending the report.
In the example below, the report is scheduled to be sent on the fourth of every month at 8:30
am. The report stops being sent after the 4th occurrence.
6. Under Report email, do the following:
1. In Email subject line, enter your preferred email subject line.
2. In Email body, enter the content that you want.
3. Check Append report criteria to the email body to include the report criteria in the email,
such as time period and filters.
4. Use the Report attachment file type dropdown to select your preferred file type for the
attachment.
7. Under Recipients, do the following:
1. Check Send individual report data to send the report to send the report to all of the agents
in the report. Each agent can only view their own data.
2. Check Send full report data to the following contacts to add staff or other contacts. These
recipients can view the full data in the report. Once done, you can do either of the following:
1. In the To, Cc, and Bcc fields, enter the email addresses of the recipients.
2. Click To, Cc, and Bcc to open the Select Email Address window. Use this window to
add any of the agents, staff, or other contacts stored. Select the recipient(s) that you
want and click To, CC, or BCC.
Use the Insert Contacts From dropdown to add other contact types.

Once done, click OK to go back to the Schedule tab.

8. Click Store to save your changes. Once saved, the report is shown as "Scheduled" in the List tab.
9. If you want to remove the schedule of the report, click the Schedule tab, then un-check the Send
report on set schedule.
