Deliverable 1. Introduction

1.1 Rationale

1.2.Project Context
1.3 Statement of the Problem

In the realm of academic institutions, the seamless management of faculty members

and the efficient allocation of teaching responsibilities are pivotal to the cohesive

functioning of academic departments. The present scenario within our institution

reveals a prominent issue at the intersection of teachers and department

chairpersons. Specifically, the challenge revolves around the absence of an

accessible and streamlined system that empowers teachers to gain insight into their

workloads and requisite information without the need for physical visits or direct

communication with department chairpersons.

The prevailing circumstances highlight the following core problem:

Workload Accessibility Gap: The absence of a centralized system for teachers to

view and access their assigned workloads, encompassing room assignments, class

schedules, subject allocations, and the number of students per class, necessitates

teachers to engage in time-consuming, manual interactions with department

chairpersons. This results in inefficiencies, increased administrative overhead, and

potential disruptions to the teaching process. The relevance of addressing this

problem is underscored by the potential to enhance overall academic productivity,

administrative efficiency, and communication within our educational institution. To

mitigate this issue, this research endeavors to conceptualize, design, and implement

a web-based Faculty Workload Management System, with the primary objective of

simplifying teacher-chairperson interactions and empowering teachers with the ability

to access their workload-related information efficiently.

1.4 Objectives of the Study:

In line with the elucidated problem, the research aims to achieve the following

specific objectives: Develop a User-Friendly Web-Based System: Create a user-

friendly web-based system that provides teachers with secure and convenient access

to their workloads and related information. Streamline Workload Information: Enable

teachers to view their room assignments, class schedules, subject allocations, and

student counts with ease and clarity. Reduce Administrative Overhead: Alleviate the

administrative burden on department chairpersons by providing an automated

platform for workload management. Enhance Communication: Facilitate efficient

communication between teachers and department chairpersons, allowing for

clarifications, requests, and updates to be made electronically. Data Collection:

Implement a feature that collects and stores necessary information about teachers,

aiding in administrative decision-making and academic planning. By addressing

these objectives, this research seeks to bridge the gap in workload accessibility,

promoting a more streamlined and productive academic environment for both

teachers and department chairpersons.

1.5.Purpose and Description

Purpose of the Study:

The purpose of this capstone project, "School Faculty Information and Workload

Management System," is to address the immediate concerns of teachers and

department chairpersons within [St.Cecilia’s College inc.]. The project aims to

achieve the following specific objectives:

Efficient Workload Management: To develop a user-friendly web-based system that

allows teachers to easily access and manage their workloads, including room

assignments, class schedules, subject allocations, and student counts. This

simplification of workload management will lead to reduced administrative burdens

for both teachers and department chairpersons.

Enhanced Communication: To create a practical communication hub that facilitates

streamlined interactions between teachers and department chairpersons. This

feature will enable timely exchanges of information, requests, and updates related to

teacher workloads, ultimately improving communication efficiency.

Centralized Faculty Information: To establish a centralized repository for faculty

information, simplifying the collection and storage of teacher details. This database

will serve as a valuable resource for administrative decision-making and academic

planning.
Description of the Project:

The "School Faculty Information and Workload Management System" is envisioned

as a user-friendly web-based solution tailored to the needs of teachers and

department chairpersons within [St.Cecilia’s College inc]. The project will primarily

focus on the following components:

User-Friendly Interface: The system will feature an easy-to-use web-based interface

accessible to teachers and department chairpersons. It will provide a convenient

platform for accessing workload-related information and facilitating communication.

Workload Management: The core functionality of the system will revolve around

workload management. Teachers will be able to view their room assignments, class

schedules, subject allocations, and student counts effortlessly through the system.

Communication Hub: The project will include a simplified communication hub that

facilitates exchanges between teachers and department chairpersons, improving

communication efficiency. Faculty Information Repository: The system will establish a

basic database of faculty information, capturing essential teacher details to support

decision-makers and administrators.

Feasibility Assessment: Throughout the project, we will continuously assess the

feasibility of system implementation, considering resource availability, technical

requirements, and practicality within the academic environment. This capstone

project is intended to provide immediate benefits to [St.Cecilia’s College inc] by

simplifying workload management, improving communication, and centralizing faculty

information. It aims to enhance the overall academic experience for teachers and

department chairpersons within the constraints of a short development timeline.

1.6 Scope and Limitations

Scope:

This capstone project, "School Faculty Information and Workload Management

System," aims to address specific aspects of teacher and department chairperson

interactions within the academic environment of [Your School Name]. The scope of

this project includes the following key areas: Faculty Information Management: The

system will collect and store essential information about teachers, such as their

names, contact details, academic qualifications, and teaching experience. Workload

Management: The system will facilitate the management of teacher workloads,

including room assignments, class schedules, subject allocations, and student

counts. Communication Enhancement: The system will include features for efficient

communication between teachers and department chairpersons, allowing for

electronic exchanges of information, requests, and updates related to teacher

workloads. User-Friendly Interface: The system will provide a user-friendly web-

based interface for teachers and department chairpersons to access and manage

workload-related information.

Limitations:
To maintain a clear focus on the specified objectives and ensure the feasibility of

project completion, certain limitations are acknowledged:

Financial Constraints: This project will be developed without additional expenses. As

such, it will rely on existing resources, tools, and technologies available to the project

team. Limited Advanced Features: Given the constraints of time and resources,

advanced features such as real-time data processing, extensive reporting, and

analytics will not be included in the initial system development. These features may

be considered for future enhancements. Incomplete Faculty Information: The system

will collect and manage only basic faculty information, as described in the scope. It

will not delve into comprehensive profiles or extensive faculty histories. Exclusivity to

Teacher-Chairperson Interactions: The system's primary focus is on enhancing

interactions between teachers and department chairpersons. Interactions with

students, parents, or other stakeholders are beyond the immediate scope of this

project. Limited Administrative Functions: Administrative roles outside the

responsibilities of department chairpersons, such as institution-wide administrative

tasks, are not addressed by this system. Detailed System Functionality: The specific

functionalities and workings of the proposed system will be discussed in Chapter 4 of

this project report. This section serves as an overview of the project's scope and

limitations.
