Dear Project Manager
I have received the three quotes from the website designers.
I just wanted to let you know that one of them is a friend of mine and although his quote
is more expensive than all of the other quotes, I highly recommend him as he has done
a lot of really great looking web sites. I therefore recommend that we just go ahead and
accept his quote.

I’m worried about this – please will you address the issue with them as

Dear Project Manager

I’ve been looking for images we can use in our adverts to help the social media
specialist. I suggest we use images from Pexels.com in the advert as they’re free.
We don’t’ need to reference the images as it’ll make the advert look unprofessional
and messy. Can I go ahead and send them?

Dear Project Manager
The advert campaign is progressing well.
We have created adverts for social media and also for targeted online searches.
We’ve purchased the following google-ad words:
• Wellbeing
• Natural medicine
• Australian bushfood
Thank you for providing the written content and the logos. Also thank you for your
feedback on the draft advert – I’d like to emphasise that this was just a very rough
initial idea. We have excellent designers and produce high-quality design work.
We have taken into consideration your requirement for adverting in different
languages. However, due to the market demographic, this may just be a waste of
money – your target market will most likely have a strong understanding of the
English language.
I’m not too sure that we need weekly meetings, email communication is fine. We’re
on track.
Please note that an invoice of $13,700 plus GST has been sent to you. This is the
total amount for the project to date minus the $2000 deposit you paid. We indicated
an estimate in our original quote and if we keep adverts in English only, this amount
will reduce to $27,500.
Thanks

The project commenced with a meeting with web site developer to

discuss the brief for the web site. A further meeting was held to
confirm the brief.
Following this no meetings occurred until the web site developer
communicated that this was delaying the work. Following this,
meetings were held to schedule.
All other project communication, including status reports and
internal meetings and communication occurred as agreed. This
included a change request to vary the budget.

Impact of issues and changes required

Provide feedback asap in order that the web site project does not
fall too far behind the schedule.
Recommend we discuss forgoing training costs for web site so as
to stay within budget.
Recommend that either I take on more tasks or you are able to
delegate some of your duties to other colleagues so we can get
the web site project completed.

The project commenced with market research, potential partners

were identified and approached. Aussies4Natural are the most
obvious choice.
Project progress
We are on track to establish a cooperative partnership. A formal
agreement should still be developed and negotiated.
We may need to involve additional legal advice which will overrun
the budget. Aussies4Natural have advised a potential delay in the
execution.

Project information and communication issues

The cooperative relationship commenced with a meeting with the
potential partners. Aussies4Natural was chosen as the most
obvious partnership and they contributed to the Project
Management Plan.
Email communication helped resolve the issue of the partner’s
reluctance to create a formal agreement. Legal advice was sought.
All project communication, including status reports and internal
meetings and communication occurred as agreed. This included a
change request to agree informally (rather than use a formal legal
agreement).

The project schedule was agreed by the project team at the outset.
The project commenced with a meeting with advertising specialist
to discuss the Project plan. Weekly meetings have been held
online, but they may not be necessary.
Project progress
The advertising specialist has provided detailed draft adverts.
However, they have requested to advertise in English only (at a
reduced cost).

Project information and communication issues

The adverts are now live on social media and with google
searches.
There has been very positive feedback about the look and feel of
the adverts. The google ad words seem to be effective. The
adverts have been viewed in Hong Kong, Singapore and Japan.
The advertising specialists were very professional and easy to deal
with, even when there was some stress about the quality of the
initial advert idea.
All contractual obligations have now been met in relation to the
advertising specialist i.e. their final invoice has been paid. This
also means that legally we now own the adverts as the final
payment indicates the transfer of ownership.
The project commenced with a meeting with advertising specialist
but subsequent project meetings were not necessary. The
advertising specialist requested frequent email contact including
the request to keep adverts in English only.

Impact of issues and changes required

Change the project requirements to allow for adverts to be in
English only.
Recommend we use the $2000 reduction in price to do further
market research (assign this to an administrative staff member).

Target Outcomes:
Creating a buzz in the market using social media,
