ABSTRACT

This technical report was written based on the practical experience I gained during the Student

Industrial Training Scheme (SIWES) which took place at Baycom Infotech which is situated No

41, Ijigbo street Ado - Ekiti Where Word presentation, Networking, Documentation, File

Organization, Internet access etc. are been carried out within the period of four (4) months from

November 2023 to February 2024

CHAPTER ONE

INTRODUCTION TO SIWES PROGRAM

The Student Industrial Work Experience Scheme formally called Students Industrial Training
(SIT) was established in 1973 by the Federal Government of Nigeria, jointly coordinated and
funded by Industrial Training Fund (ITF) and other coordinating bodies such as The National
Universities Commission (NUC), Nigerian Board of Technical Education (NBTE), The
National Commission for Colleges of Education and Employers of Labour and Institutions.

Science is a practical discipline, hence practical are required for the full understanding of the
various subjects that makes up the discipline. Without practical experience, science will lose
its value and purpose will never be achieved.

The Student’s Industrial Work has helped to prove the worth of science in Nigeria
Universities. The scheme was inaugurated to help Students of Science, Engineering and other
Science related course to gain practical experience in their Institution. This is to enable the
students to face the challenges outside the premises. The scheme has been immense
assistance to many assistance to many students and it will continue to be of assistance in area
of practical which deals with the application of the knowledge imbibe in theoretical classes
while in School.

AIMS & OBJECTIVES OF SIWES

A. Providing avenue for acquire Industrial Skill and Experience.

B. Exposing students to work method and technique in handling equipment and


machinery that are not available in institutions.

C. Making transition from school to the world of work easier and enhances student
contact for later job placement.

D. Providing student with an opportunity apply their knowledge in real work situation
thereby bringing the gap between theory and practice.

E. Preparing Students with an opportunity apply their knowledge in real work situation
thereby bridging the gap between theory and practice.

F. Enable students contribute their own quota towards the development of the country.

G. It maintains a balance theoretical and practical knowledge.

BRIEF HISTORY OF THE ORGANIZATION

Ministry Of Works And Technologyis a non-governmental organization which is located


Along Ajilosun, Ado-Ekiti, Ekiti State..

The organization in the job such as File sorting, computer training institute, preparation of
documents maintenance/research.

DEPARTMENTS AND THEIR FUNCTI-ONS

Office Technology and Management is the study of a wide range of subjects related to
careers in the modern office of today. This programme OTM provides the ability/training
necessary to perform successfully in the many and varied clerical, secretarial and office
administrative position.

This department undertakes the following jobs

 Laminating of Documents
 File Preparation
 Printing
 Spiral binding of projects
 File Arrangement
 Typesetting
 Photocopying
 Scanning and document

COMPUTER TRAINING INSTITUTES

This is a department where student are being trained on computer Operation and other
professional packages.

Student are being trained and taught on the following packages:

 Introduction to computer components


 Computer operation

OFFICE EQUIPMENT

Office equipment is nothing but things purchased by the company, that helps in conducting
office-related tasks or work. They serve as a long-lasting asset to the company. Also, office
equipment is just the need and requirement of the company.

Setting up a company isn’t so easy, even though money plays a crucial role in it, you may
still need to manage a few basic things like place, types of equipment, hiring, etc. Here we
will be focusing on a few important items necessary for an efficient office setup.

FILE ORGANIZATION AND MANAGEMENT


WHAT IS A FILE: A file is a collection of data stored in one unit, identified by a filename.
It can be a document, picture, audio, video stream, data library, application, or other
collection of data Files in computers store for us DATA/INFORMATION and PROGRAMS.
All files names end with extensions…. .docx, .cdr, .pdf, .jpg .gif, .exe
WHAT IS A FILE SYSTEM: This can be said to be a system, used to control how data is
stored and retrieved. It is a system that manages and organizes all computer files, stores them
and makes them available when they are needed. Without a file system, information that are
kept in a storage area would be one large body of data with no way to tell where one piece of
information steps and the next begins. By separating data into piece and giving each piece a
name, the information is easily separated and identified. Taking its name from the way paper-
based information systems are named, each piece of data is called a file. The structure and
logic rules used to manage the groups of information and their names are called file system.

CLASIFICATION OF FILE Files can be classified in two ways and two set of terms
developed for each as follows
a. Physical file :this focuses on how data is stored and retrieved from storage device, the
set of terms developed for its functions are, Physical record -Field -Character Logical
files: this focuses on the relationship between data
b. Logical files: this focuses on the relationship between data.

3. Use A Color-Coding System.
4. Label The Files
5. Sort The Files Alphabetically
6. Leave Several Inches Of Space In Each Filing Drawer.

STARTING UP THE SYSTEM


Starting up the system refers to the process of booting the system. In booting the
system the following procedures are taken: after making sure the switch is on from the wall,
the stabilizer is on and everything is set, press the start button on the system unit and the
computer starts booting.

SHUTTING DOWN THE SYSTEM


Shutting down the computer system refers to switching off the computer system. To
achieve this, the following procedures are taken into consideration.
 Click Start
 Point to turn off
 Click turn off
 Click turn off again
We have “Normal” and “Abnormal” shutdown.
Normal Shutdown: Is the right way of shutting down the computer i.e. following the normal
process of shutting down the computer.
Abnormal Shutdown: Is the wrong way of shutting down the computer i.e. not following the
normal process of shutting down the computer fighter by pressing the start button to switch it
off or switching off the socket directly.

LAUNCHING APPLICATION PACKAGES


Launching Application Packages can simply be referred to as starting up an
Application Package. This is done by clicking on the start button, pointing to all programs
and locating the Application Package you want to open.
For example, launching Microsoft Word you click on Start button, point to All Programs,
point to Microsoft Office, locate Microsoft Word and click it.

MICROSOFT WORD
FEATURES OF MICROSOFT WORD
The following are the features of Microsoft Word:
 Title Bar: This helps to display the title of the package currently open.
 Standard Tool Bar: This helps to display tools like Font style, font size etc.
 Formatting Tool Bar: This helps to display the tools necessary for formatting a
document. E.g. bold, italics, underline, alignment etc.
 Menu Bar: This displays the menus like File, Edit, View, Insert, Format, Table etc
 Drawing Tool Bar: This displays tools like Auto shape, Textbox, fill colour, outline
colour and Shadow etc.
 Task Bar: This displays the current documents open.

MICROSOFT WORD ENVIRONMENT


Microsoft environment is referred to as the working page. This is a blank page where the user
can easily type his text by the help of the keyboard
File Menu: This contains commands like: New, Open, Save, Save As, Close, Print, Print
Preview, Page Setup and Exit.
Edit Menu: This contains commands like: Paste, Cut, Copy, Undo, Redo etc.
View Menu: This contains commands like: Replace, Find, Document Map, Page Layout etc.
Insert Menu: This contains commands like: Page break, Page number, Symbol, Object etc
Format Menu: This contains commands like: Paragraph, Change Case, Borders and
Shading, Bullets and Numbering etc.
Table Menu: This contains commands like: Insert, Delete, Auto Format etc.
Formatting Documents in Microsoft Word
After typing a work in Microsoft Word environment, it has to be formatted to give it a
good look by using commands like Bold, Italics, Underline, Alignment, font style, font size
etc.
To bold a text, highlight the text and click bold icon on the formatting toolbar.

To italicize a text, highlight the text and click italics icon on the formatting toolbar.
To underline a text, highlight the text and click under line icon on the formatting
toolbar.
To set the alignment of a text, highlight the text and click left, center, right or justify
alignment icon on the formatting toolbar.
To assign a font style to a text, highlight the text and click font style button on the
standard toolbar, select your choice and it will apply.
To increase/decrease the font size of a text, highlight the text and click font size button
on the standard toolbar, select your choice and it will apply.
To Print a Document in Microsoft Word
 Click file on the menu bar
 Click print
 In the printer dialogue box, select the printer name
 In the print dialogue box, click properties
 Make your changes in the printer properties
 Click ok and click ok again
Creating Table in Microsoft Word
 Click table on the menu bar
 Click insert
 Click table
 In dialogue box displayed, select the number of columns, rows and click ok
Applying Border to a Page
 Click format on the menu bar
 Click borders and shading
 In the borders and shading dialogue box click page border
 Select the border of your choice
 Click ok

MICROSOFT EXCEL
INTRODUCTION TO MICROSOFT EXCEL
Microsoft Excel is an Application Package which is used in tabulation of data,
statistical operations and calculation.
Loading Microsoft Excel
Microsoft Excel can be loaded by

 clicking start
 point to all program
 point to Microsoft Office
 Click Excel.
FEATURES OF MICROSOFT EXCEL
The following are the features of Microsoft Excel:

WORKBOOK/WORKSHEET IN MICROSOFT EXCEL
A Workbook is a collection of worksheet. A workbook normally contains three
worksheets. A worksheet is a collection of rows and columns. The intersection of rows and
columns in Microsoft Excel forms a worksheet. A worksheet can be named by the column
name and row number.
BASIC OPERATIONS IN MICROSOFT EXCEL
In Microsoft Excel, worksheets can be added at the same can be deleted.

 Position your mouse where you want to insert a new worksheet
 Click insert menu on the menu bar
 Click worksheet

 After loading Microsoft Excel
 Right click on the worksheet you want to delete
 Click delete and the worksheet will be deleted

MICROSOFT POWERPOINT

Microsoft PowerPoint is a presentation program, created by Robert Gaskins and


Dennis Austin at a software company named Forethought, Inc. It was released on April 20,
1987, initially for Macintosh System Operating system based computers only.

PowerPoint is the presentation software of the Microsoft Office software suite. One of the
most widely used office programs; PowerPoint has applications for personal use, academics
and business. It is highly customizable; you can edit PowerPoint presentations to be as
personal or professional as you want. PowerPoint has a relatively simple user interface which
you can easily pick up. However, mastering each of its functions will allow you to create
impressive presentations to engage your audience.

Design

The design features of PowerPoint allow you to customize the appearance and format
of the slides. PowerPoint typically comes with a set of preloaded themes for you to choose
from. These can range from simple colour changes to complete format layouts with
accompanying font text. Themes can be applied through the whole presentation or a single
slide. Using the page setup allows you to optimize the presentation for the display size; for
instance, you should use a larger screen ratio when displaying on a projector compared to a
computer screen.

Animation

PowerPoint animation is divided between slide transitions and element animation.


Using slide transition adds an effect when switching slides during a slide show. You can edit
the transition effect and timing, as well as opt for an on-click or automatic transition between
slides. Element animation adds movement and sounds to the objects within the slide. For
example, if you're constructing a photo gallery as a slide show, you can choose which
pictures enter the slide first, how they enter and add a sound as they enter.

Presentation

The presentation function of PowerPoint is largely designed to accommodate public


speaking. PowerPoint comes with a built-in notes function; when printing out presentation
slides, you can add presenter notes beside each slide as accompanying content. This is useful
to clarify points in the slide without sacrificing the slide's readability. As of the 2007 version
of PowerPoint, you can pre-record narration for a presentation. PowerPoint also has a

rehearsal function as well, allowing you or your team to practice your timing and monitor the
length of your presentation.

Integration

PowerPoint is compatible with all other software in the Microsoft Office suite; you
can export slides into Word documents or use Excel charts within your presentation. In
addition to image and audio support, PowerPoint 2007 also has video-integration
functionality; you can embed videos within a presentation for easy playback without exiting
the program. You can also export presentation files to an online interface for multi-user
remote editing and presentation practice.

CHARPTER THREE

 PROBLEMS IDENTIFIED

Despite the benefits attached to the SIWES program, few problems were still
encountered during the course of the program. Some of these problems are:
 Lack of transportation fare which at times made it difficult for me to get to my
place of program
 Harassment from the customers when you are unable to complete their jobs as
expected due to circumstances beyond your control.
 Harassment from the Manager of the organization whenever I come late due to
scarcity of transport means.
 Inadequate power supply and power interruption
 Distance from SIWES venue

CHAPTER FOUR

RECOMMENDATION
The operation of SIWES lies on the proper supervision. Thus, it becomes necessary
that something must be done at the operational level to enhance adequate functioning of the
programme. In line with these findings, the following recommendation area made:
1. ITF should ensure the regular visitation of the ITF officers to Supervising Agencies
Institutions, employers and students on attachment.
2. The log-book issued to students at attachment by institutions must be checked and signed
by the institutions’ and ITF Supervisors responsible during supervision not in their offices at
the end of attachment.
3. All the institutions involved should be organizing orientation courses in collaboration with
the ITF for their students prior to their attachment with the attendance made mandatory for
the students accepted for SIWES and ITF staff.
4. The training department of ITF should be providing adequate information about the
biennial SIWES National Conference on time.

CONCLUSION
The SIWES program has exposed me to a lot of things and challenges. During the program, I

was able to gain more knowledge about the practical aspect of my chosen field; it also

allowed me to develop interest in some divisions in my field. It also allowed me to know

what life after school entails. I was also enlightened on how to cope with challenges,

interaction with people, co-workers and patient(s).
