2. Getting Started
Here, you will find information you need to start working with IPWeb. This includes an overview of the
product, an overview of the different user interfaces, and procedures on how to configure and start
IPWeb.

2.1. Product Overview

General Description

IPWeb is a web-based application for local and remote productions.

News or sport journalists and assistant producers are users who will benefit from this application.

The IPWeb window is an integrated window from which it is possible to perform all the following actions.
Users can apply different search techniques to find the right media from the list of clips, edits and logs.
The results are clearly presented in a list, easy to consult. A Player pane is used to display the selected
media, browse it and create a clip from it if needed. Users place the selected clips in predefined bins
where clips can be re-ordered. Then, they send the bin content to target destinations, such as post-
production systems.

Logs added to media are particularly useful to easily and quickly retrieve the interesting moments of the
recorded sequences. Logs cannot be created with IPWeb, but they can be with IPDirector or
IPClipLogger. IPWeb can be used to search for logs, preview the clip(s) associated with them on the
Player pane, and create new clips based on the logs.

Depending on the workflow, different types of installation can be performed. Refer to the IPWeb
installation and configuration manual for more information on the system architecture, installation and
configuration.

Global Workflow

The IPWeb administrator must configure the IPWeb system to determine exactly which IPDirector media
are to be made available to IPWeb. IPWeb uses mpeg-# files. These files should be stored on the
streaming server which should be defined as an IPDirector nearline.

2.2. Managing Licenses

Licensing Process

Valid license keys must have been imported to XSecure on the workstation where the database is
installed.

1. Actually, when IPWeb is started, the system first checks whether a license for IPDirector Live PAM
Engine exists on the database.

This license is always a floating license (key 06). If there is no valid license, the user gets an error
message. If a valid IPDirector Live PAM Core license exists, it is used.

2. The system then requests a floating license (key 221). If such a license is available, it is used for that
user.

3. If there is no floating license left at that time, the system checks whether there is a floating license
left from the IPDFlex pool of licenses (flexible license for multiple applications) (key 239). If such a
license is available, it is used for that user.

4. If there is no valid IPDFlex floating license left at that time, the user gets an error message.

List of License Keys

Application Module Floating

30 - IPDirector IPDirector Live PAM Engine 06

30 - IPDirector IPWeb 221
30 - IPDirector IPDFlex - Multi applications 239

3. Operation
Here, you will find all the chapters describing the operations which can be performed with IPWeb.

3.1. Searching for Media

When the IPDirector database contains large amounts of data, it may become difficult to find a specific
element. The IPWeb offers several ways to refine the list of elements displayed in the Element grid and
speed up your search. These are:

• The selection of a type of media items in the tree: to restrict the elements displayed in the grid to one
type of resources.

See section Selecting the Type of Media in the Tree.

• Quick text search: to perform a free-text search on a specific string from the Quick Text Search field.

See section Performing a Quick Text Search.

• Advanced search filters : to perform a search on specific metadata associated with the elements.

See section Filtering on Metadata.

All these search tools can be combined.

An applied filter can be saved for later use. Such a saved filter can then be applied in one click. See
section Using Saved Filters and Search Templates.

A search can also be facilitated by ordering the Elements grid.

3.1.1. Selecting the Type of Media in the Tree

The Tree view allows the users to browse among all the clips, edits, clips or edits stored in bins, or logs.
By browsing the tree structure, a selection is made and items are displayed in the Element grid.

See section Tree View for more information on the different types of media and associated icons.

3.1.2. Performing a Quick Text Search

Purpose and Context of Use

The Quick Text Search function is used to perform a search based on free text entered in the Quick Text
Search field. This field is available on the top of the Elements grid:

See section Search and Filters Area for the description of the buttons associated with the Quick Text
Search field.

Ways to Perform a Quick Text Search

Users can enter a search string in one of the following ways:

• Enter the search string in full in the Quick Text Search field.

IPWeb User Manual 2.13 | 3. Operation | 33

• Click the arrow next to the Quick Text Search field, so the last 10 searches are displayed, and then
select one of them.

• Start to type a search string in the Quick Text Search field, so a list of proposals is displayed, and one
of them can be selected. See sectionSearching with the Quick Text Search.

Use of Synonyms

Users have the possibility to perform a search for word synonyms, provided that they have been defined
in the database thesaurus file and that the corresponding option has been set in the IPDirector General
setting Freetext searches behavior.

Then, a search performed with a search string will return the predefined synonyms as well. This function
can be used to search for translated words.

3.1.2.1. Selecting the Columns to Search On

How to Search on Displayed Columns
By default, the columns that are taken into consideration for the Quick Text Search are the ones
currently visible in the Elements grid. You can add other columns to the Elements grid view by clicking
the Select Visible Columns button and selecting additional columns.

How to Search on All Columns

To activate the Search on All Columns option, click the small arrow next to the Search button and select

Then you can perform the search in the Quick Text Search field as usual.

To deactivate the option, select again the Search on all columns option.

When the Search on All Columns option is activated, the search process may be slower.

34 | IPWeb User Manual 2.13 | 3. Operation

If you perform a Search on all columns without having displayed all the columns, you will not
be able to identify in which column the search string has been found. For the sake of clarity, it
is recommended to display all columns when you perform a Search on all columns.

3.1.2.2. Searching with the Quick Text Search

Quick Text Search Syntax Rules
The Quick Text Search option obeys specific rules which can be accessed via the Help button next to
the Quick Text Search field: .

The string that you enter in the Quick Text Search field is analyzed according to the following set of
rules:

Search String Search Result

Yellow card
two different fields (columns), for example yellow in Name and card in Keywords.
Searches for whole word yellow OR card. A result will be returned even if yellow or
Yellow | card
card is found in at least one field (column).
Searches for exact matches of yellow card. Between quotes, every character is
"yellow card"
considered as character and not as operator or wildcard.
Searches for just at the beginning of a word. A result will be provided if at least one
just*
word begins by just in at least one field (column).
Searches for all words that includ ber. A result will be provided if a word includes the
*ber* text ber (e.g. Timberlake, Berlin). Using such type of requests will imply much process
on the database and will be slower.
Searches for a whole field matching card.

3.2. Loading Media

This section describes the operations to:

• load a recording ingest

• load a clip

• load a bin.

A record train, or train, corresponds to the media being recorded live from a camera and sent to an EVS
video server through a recorder channel. This type of media is not available with IPWeb.

A recording ingest corresponds to the same media for which an IN point has been marked at a specific
timecode to start the creation of a clip. This type of media is available with IPWeb.

To create clips on a recording ingest with IPWeb, the corresponding recording source must be selected
in the Player pane. In this manual, this action is called "loading a recording ingest".

3.2.1. Loading a Recording Ingest

How to Load a Recording Ingest From the Elements Grid
A recording ingest can be loaded and played out on the Player pane even when no TC OUT has been
set.

To load a recording ingest (clip currently ingested) from the Elements grid, do one of the following:

• double-click the line

• drag the recording ingest to the Player pane.

The growing clip is loaded on its "OUT" point, currently being ingested, and played on the Player pane.

How to Reload the Last Loaded Recording Ingest

If a clip is loaded on the Player pane, clicking the E/E button will unload it and load and play the last
loaded media (recording ingest) at its current recording position.

◦ Drag the log line to the Player pane

The clip associated with the log is loaded on the Player pane, at the log timecode.

IPWeb User Manual 2.13 | 3. Operation | 55

On some occasions, a log has no associated clip, so the log cannot be previewed.

You can then browse the clip, create a new clip and send it to a bin.

If the log has been created on a ganged recorder channel, it has been associated with all the linked clips
created on all the ganged channels.

In that case, loading a log will actually load the clip which has been created on the recorder channel set
as Preview.

3.2.3. Loading a Bin

Introduction

The content of a bin can be checked by previewing it from the Player pane. The clips will be played one
after the other.

3.4. Creating a Clip and Sending it to a Bin

Clip Structure

A clip is defined by Short IN and Short OUT points, usually called IN and OUT points by the operators.

When Short IN and Short OUT points are set, the system automatically write protects a user definable
length of material before the Short IN point and after the Short OUT point. These are referred to as the
guardbands.

For this reason, the IN point before the guardband and the OUT point after the guardband are called
Protect IN point and Protect OUT point.

During playout, only the clip duration, between the Short IN and the Short OUT points is played out.

The duration of the guardbands is set with the Guardbands option from Tools > Settings > Clips
Settings > General Settings for Clips in IPDirector.

Prerequisites

Clips are sent to a bin as soon as they are saved. So, a bin must have been selected prior to or at clip
creation. See section "How to Create a Clip from the Player Pane". .

Media Used to Create Clips

As soon as a media has been loaded, users can create a new clip from this loaded media thanks to the
clip creation functions of the Player pane. A clip can be created from a recording ingest or from an
existing clip.

3.4.1. Clip Settings

Introduction

Most of the clip settings cannot be defined from the IPWeb interface and are directly applied from
IPDirector.

The only setting that the user can configure from the IPWeb interface relate to auto-naming of clip.

How to Define the Clip Autoname

This section describes the operations to:

• send clips to targets

• back clips up to nearline and restore them to servers

• send media to a workflow target

• send media to an Avid catalog

• monitor the transfer status.

3.8.1. Sending Clips to Targets

Possible Targets
Users can select one or more of the following destinations to transfer clips to.

80 | IPWeb User Manual 2.13 | 3. Operation

• Third party systems (Xedio/CleanEdit, Avid, Final Cut Pro, Adobe).

The targets may have been set from the Remote Installer or from Xsquare.

• File targets on shared drive

The file targets may have been set from the Remote Installer or from Xsquare.

The selection of several targets is possible and the transfer can be monitored from the interface.

Refer to the IPDirector Remote Installer Technical Reference manual for more information on
the configuration of targets and to the Xsquare user manual for the configuration of Xsquare
targets.

Transfer Options
IPWeb provides several ways to send clips to target(s). Users will select one way rather than another
depending on their role and the work they are doing on clips.

The options are:

• Auto send: automatically sends a clip to a target at clip creation. See section Sending Clip
Automatically.

• Send bin as clips: sends all the clips from a bin to a target as individual clips. See section Sending Bin
as Clips.

• Send bin as edit: sends all the clips from a bin to a target as an edit. See section Sending Bin as Edit.

• Send a selection of clips: see section Sending a Selection of Clips.

3.8.1.1. Sending Clip Automatically

Purpose and Context of Use

The Auto Send mode is used to automatically send a clip to a predefined destination target at the time of
clip creation, without clicking any additional button or key.

This mode will be chosen, for example, when an assistant creates clips and must send them to the editor
who makes the edit on the NLE system as soon as clips are being created.

When one or several clips are copied or moved to a bin for which the Auto Send mode is activated, these
clips are automatically sent to the predefined destination target as well.

The high resolution clip element must be available.

How to Activate the Auto Send Mode on a Bin

The Auto Send mode is specific to a bin. It can be activated for some of the bins and disabled for other
ones.

To activate the Auto Send mode for a bin,

1. Click the tab corresponding to the bin for which you want to set the Auto Send mode.

2. Click the Export button.

IPWeb User Manual 2.13 | 3. Operation | 81

3. Select the Auto Send button from the menu.

A window shows all the possible destinations.

4. Select one or several targets.

5. Click Confirm.

The target is flagged and the Auto Send button is highlighted:

Clips will be automatically sent to the selected target(s) as soon as they are put into the bin.

The Auto send mode can be disabled in the same way it has been activated: follow steps 1 to 3 above.
From the Send To window, click the Unselect All button.

3.8.1.2. Sending Bin as Clips

Purpose and Context of Use

Users will choose this mode when the clips gathered for their edit are not in a defined and final order in
the bin. For example, sequences obtained at different points in time and collected as the best moments
of an event can be put in the same bin but need to be re-organized in the edit.

Transfer Limitation

If some clips from the bin do not have a hi-res element, all the clips will be transferred except those
ones.

How to Send all the Clips from a Bin Individually

All the clips from a bin can be sent to a target destination in the form of clips.

To do so,

1. Click the tab corresponding to the bin for which you want to send all the clips.

2. Click the Export button.

When more than 5 targets are available from the list, a Search bar is displayed and allows you
to search on the target name.

4. Select one or several targets.

5. Click Send Clips

The clips transfer is initiated. In this case, individual transfer requests are sent for each clip from the bin.

The transfer can be monitored through the Transfer Monitoring area. See section Monitoring the Transfer
Status.

3.8.1.3. Sending Bin as Edit

Purpose and Context of Use

With this mode, the bin content is sent as an edit to the selected destination. It can be sent to an NLE
system, where it will appear as a timeline, or it can be rendered to a storage or a server.

So, clips need to be ordered in the bin according to the same sequence they need to appear in the final
edit.

Journalists who prepare their edit themselves and thus know in which order clips must be organized in
the bin will favor this transfer mode.

Transfer Limitations

The following limitations are applicable to the Send Bin as edit option.

• If at least one clip of the bin has no hi-res element, the edit transfer will not be initiated.

• A bin cannot be sent as edit to an Avid Transfer Engine target.

• The edit rule (flatten, EDL only or EDL + clips) is taken from Xsquare.

3.8.3. Sending Media to a Workflow Target

Purpose and Context of Use

A Workflow Engine is integrated with IPDirector to enable more complex workflows, such as the
publication of media items (clips, bin content, single clip from a bin) to one or several social media
(Facebook, Youtube, Twitter) or to a generic Content Management System.

The workflow definition is the blueprint of your workflow. It lists and defines the different tasks within the
workflow and specifies how these are linked to each other and in which order they have to be executed.
It also describes the input parameters of the workflow and the input and output parameters of each task.

The workflow definition files are stored on the Workflow Engine.

Workflow targets are configured from the Remote Installer and can be used from the IPWeb interface
such as any other target. Selecting a workflow target will trigger the execution of the workflow. The
selected media items will then go through the process defined in the workflow definition file.

Some of the workflow parameters may have been set as "editable from the IPWeb user interface" during
the workflow configuration. In that case, when a workflow target will be selected to send the media to, a
window will be displayed and allow you to edit such parameters. Refer to the PUBLISH Add-On for
IPDirector manual for more details on each parameter.

The user may only see the workflow targets published to the groups (s)he belongs to.
