Process:
The following huddled messages are meant to be read verbatim. Resist the temptation to ‘ad
lib,’ since that can lead to conflicting/unclear messages among the various huddle groups.
Read the message, and if you have questions, take note of them – do not assume you know
the answer and respond. Bring the questions up the chain of command that same day for
clarification. Once we have all the questions accumulated, we will craft a response that we will
push out to leadership with an expectation that the answer/clarification is provided to all staff
(unless time-sensitive, and then a mass-communication will be sent).
New Items:
PreClient/Client Bill Rule Change- In the current PreClient/Client billing conversation workflow,
ANY Organization is allowed to be entered in the “Client” information. An added registration
rule was created that would ONLY allow organizations which are part of the “Client” Org
Groups, this would prevent any other organizations that are decommissioned or deactivated
from being used as a Client or PreClient bill.
Removing Scheduling/Encounter Lock- Scheduling Lock Conflicts this guide shows users how to
remove scheduling event locks when attempting to Check in, Reschedule or Confirmand
appointment (or any other action).

Consent for Treatment- Highlighted verbiage has been updated in section 4 & 12 for English
version only.
Change in workflow for the following health plans Priority Health, Cigna, Hap members are
their own subscribers. This means that registration should be registering them as a subscriber
even if the policy holder is their (spouse/or parent) and then the member ID will be the
contract & the suffix. This is the way Experian submits these health plans data to the payor for
eligibility responses. This workflow change was approval by Patient Access Regionals and FCC
Management.
Aetna Better Health VS Aetna MA-Experian updated the mappings below transaction was
resubmitted for MA-Aetna Better Health and received the MA Aetna BPC Alert. Experian
working as expected now with new mappings.

OneSource can be used for eligibility if needed, Kilee is filtering the “web transactions” in her
eligibility reports from Experian, Michelle Bidoul approved this process.
A New workflow for Clinical Trials for patients who aren’t enrolled in a clinical trial, but still
require the NCT ID (National Clinical Trial ID), this new NCT ID field will only be utilized by
Research Finance team. Previously, this field would only appear if the clinical trials health plan
were added to the encounter. Now, the field will always be there (not as a required field) for
staff to see regardless of if the clinical trial health plan has been added.
VACCNO payer has been down since the outage and was updated in June as still being down
per Experian.

Insurance COB Issues- We have a significant issue with missing insurances, especially
secondary coverages. Please make certain you explain to all PA employees (new hires and
seasoned employees alike) the importance entering complete and accurate insurance info.
• At time of pre-registration, point of service registration and scheduling, you must ask
the patient when they provide their insurance card and/or insurance info to you: “do
you have any other insurance coverages.”
We need to make sure we are capturing all insurance coverages at registration, scheduling and
at the financial clearance points.
HAP/ASR-Alerts in Experian the union plans run eligibility through Benesys, but the medical is
billed through HAP, unfortunately no rules can be created in Cerner & Experian to run through
Benesys and we cannot shut of the alerts, so right now the only solution is the manually
resolved the alert and verify the insurance plans through the web page below:

Please note: Experian ticket created to build Benesys for Resubmit and Kilee will filter out the
“web” transactions in Reg/Elig reporting and notify TJ of reporting changes.
ABN Process for Patient Access FCC, & Registration to begin July 1st, 2024-An Advanced
Beneficiary Notice, (ABN) issued by Medical Providers to beneficiaries of Medicare that lets
the patient know what services may not be covered. See job aids attached for more details on
process for ABN FCC & Registration.
