MYOUTDESK TRAINING HOUSE RULES

Topic
This document covers the policies, practices, and conduct that a trainee must abide by
during the entire duration of training. MyOutdesk’s Training Program is the last phase of
the application process.

Mission
The aim is to have quality, world-class Virtual Professionals as a product of the rigorous
application process, and ensure each one is guided accordingly in aligning themselves
with the company’s standards. This also aims to foster credibility and trust with our clients
and business partners, by conveying the organization’s mission in executing its strategies.

Purpose
The purpose is to keep our trainees guided with the house rules of the training program.

1. Standard Training Protocols

1.1 Fastrack Program


Training in MyOutdesk, otherwise known as the “Fastrack Program”, is scheduled for three
(3) business days, and is comprised of hands-on tasks and activities. Trainees will
continuously be assessed throughout the entirety of the program, on whether the trainee
(G) gets the job, (W) wants the job, (C) has the capacity to do the job, and has the right
(A) attitude and (A) ambition, otherwise collectively known as GWC and AA.

The training schedule runs from Mondays through Fridays, 10:00 AM to 7:00 PM (PST)
with Saturdays and Sundays off. Moreover, it will run from 11:00 AM to 8:00 PM (PST)
during Daylight Savings Time with the same days off.

The end of the 3-day Fastrack Program marks the end of the application and screening
process.
1.2 MOD University
MOD University is a comprehensive knowledge base, containing the necessary basic
foundations of Real Estate.

Access to MOD University is granted only after the completion of HR requirements and/or
a successful client placement. All passers of the Fastrack Program are allotted thirty (30)
business days to complete the MOD University course, and garner a minimum average of
75%.

This is a self-study course which allows the trainee to freely pace his or herself with
completing the course, and its corresponding exams, moreover, be accountable with the
results.

MOD University completion must never interfere with Client Interview schedules and
commitments, and remains a secondary priority to Client Interviews. It must only be taken
during free time, and never during actual client tasks and schedules.

Successful completion of the course is one of the prerequisites for Placement Incentive
eligibility.

MOD University trainees may directly message their Fastrack trainer for assistance.

1.3 Zoom, Ring Central and GChat Apps


Zoom is a video call and chat platform, which will serve as the official training
room. However, during technical difficulties, the class might be instructed to make use of
the secondary platforms like Ring Central and GChat.

Through each 8-hour training shift, trainees are expected to be logged in to Zoom App
using their Personal Computers. Logging in through smartphones and tablets throughout
the entire shift without the knowledge of any of the trainers is strictly prohibited.

Creating chatrooms and engaging in private conversations outside of the official training
room, on Zoom App or any other platform is strictly disallowed.
1.4 MyTimeIn and Active Track
During the Fastrack phase, trainees are given access to MTI, otherwise known as
MyTimeIn. MTI serves as a MOD proprietary timekeeping site and an essential tool used
to monitor the trainee’s attendance and online presence.

To operate, MTI requires a MOD proprietary software to operate called MyTimeIn Active
Track.

Its functions are as follows:


● Track open/ed websites and applications
● Track trainee location and IP address
● Capture screenshots at random intervals

Both MTI and Active Track are required to be up and running for the entire duration of
each 8- hour training shift. Any attempts to disable, tamper, or manipulate both MTI and
Active Track is a grave offense, and may result in immediate dismissal and blacklisting of
the trainee from the Training Program.

Both MTI and Active Track’s functions are disabled and inoperable outside of the
training period.

2. Attendance and Online Presence

Trainees are required to have 100% attendance for the entirety of the Training Program,
including Client Interview/s, and other MOD-required schedules.

These equate to having no absences, no instances of tardiness, no over breaks and no


idle time within the 8-hour training shift.

These are not only requirements to pass training, but also prerequisites to Placement
Incentive eligibility.
2.1. Tardiness
Trainees are required to log in at any time within thirty (30) minutes prior to start of training.
This will allow enough opportunity to fix any unforeseen circumstances that might hinder
them from going online at the exact start time of training.

A trainee is expected to be online, active, and responsive at the actual start of shift,
otherwise, he/she will be tagged as late despite logging in on time in Active Track.

A trainee is only given two (2) instances of tardiness. Beyond this, he/she will be re-
evaluated and the trainer has a discretion to allow the trainee to continue with training
based on the reason/s, or to ultimately decide to discontinue the training.

2.2 Overbreak
A trainee is given a quick breather to attend to personal needs, of which duration is
dependent on the availability of time and the load of discussions and/or activities. Also,
the same is allowed to take a personal time-off that is good for one (1) hour which is
granted at any time within shift.

A trainee is responsible to come and report back on time. Two (2) instances of failure to
do so will warrant a decision by trainers to discontinue his/her training depending on the
gravity and the duration of tardiness.

No time adjustment is granted for inexcusable and unacceptable reason/s that caused the
overbreak and/or tardiness.

2.3 Absences
In the event that a trainee is unable to attend to any of the required schedules, their
trainer/s must be notified no less than two (2) hours prior to the schedule.

Trainees may contact their trainer through email at modtraining@myoutdesk.com or via


call or text, whichever is feasible and convenient.

2.4 Online Presence


In the event that a trainee experiences technical problems that will hinder him/her from
being online, that trainee must inform any of the trainers regarding the issue the very
moment it occurred, even before attempting to fix it. In such cases, he/she is given a
maximum allowable time of 10 minutes to get back online. Otherwise, it will be taken
against his/her online presence which might lead to discontinuation from training.

2.5 Reschedule
Requests for rescheduling of training start date is permitted, given the reason is
acceptable, such as family or personal emergency. Pertinent documents that support the
absence must be submitted to qualify for a batch transfer.

A maximum of two (2) reschedule requests within the next two (2) classes from the original
batch inclusion is allowed. Otherwise, the trainee is required to re-apply after ninety (90)
calendar days.

3. Productivity
Training is best approached with undivided attention. This will allow the trainee to focus
during discussions and activities which will result in spotless outputs and impressive scores.
This will certainly elevate the chances of passing training.

3.1 Opening of Non-training Related Websites


Opening sites through PCs, cellphones, or any kind of gadgets and surf websites such as
Facebook, Twitter, Instagram, YouTube, etc., within training hours is strictly prohibited.

It goes without saying that opening and surfing pornographic websites, playing both offline
or online games, or watching movies or TV series within training hours is a reflection of
character unbecoming of a MOD Virtual Professional.

Engaging in any of these activities is a significant factor to whether a trainee will continue
on, or be dismissed from the Training Program.

3.2 Sleep
Transitioning to a night shift requires oneself to be committed and disciplined to attain
ample rest. Getting a full 8-hour sleep is suggested during the day, for both the mind and
body to function at optimum levels while on the night shift.
Please note sleeping on-shift is a violation of service terms and could result in termination
from the Training Program, as well as the Independent Contractor Agreement.

3.3 Systems and Work Location


Prior to attending training, a trainee must have undergone a thorough evaluation of his or
her technical devices and equipment with an assigned Systems Check Specialist, including
but not limited to internet connection stability and speed, work surroundings, computer
peripheral devices, etc.

During the entirety of the training period, trainees are expected to work only at the approved
location, using the approved gadgets, devices, and equipment.

Inability to comply might warrant discontinuation from training as determined by the


trainer/s.

4. Dishonesty

Any dishonest or unfair activity by a trainee to gain an advantage is a reflection of character


unbecoming of a MOD Virtual Professional.

Engaging in any of these activities is a significant factor to whether a trainee will continue
on, or be dismissed from the Training Program.

4.1 Cheating
Opening of notes, asking help from a classmate, referrer, or housemate, during activities
and/or exams, is a sign of cheating.

4.2 Soliciting notes, thoughts, and knowledge


A trainee who is referred by a current or former Virtual Professional of MyOutDesk must
not solicit nor receive assistance from the latter.
4.3 Correspondence and Communication during Exams
Trainees are prohibited to communicate with one another during tests, exams, quizzes,
and/or activities. This includes but not limited to texting, calling, emailing, or any forms of
chatting with the intent to share notes, cheat, or assist others to pass training.

4.4 Feigning Technical Issues


During written and/or oral exams, a trainee fakes technical issues like internet problems,
audio connection concerns, and the likes, with the flat-out, pure intentions of gaining access
to notes, handouts, scripts, etc. while being disconnected.

5. MyOutDesk Intellectual Property, Resources, and Proprietary


Materials

Below are activities that are prohibited from being performed:

5.1 Zoom, RingCentral, and GChat Apps


• Sharing of Zoom, RingCentral, and GChat App credentials and access to non-MOD
entities.

5.2 MOD Gmail


• Use of MOD Gmail to send and receive personal email/s.
• Use of MOD Gmail to exchange or distribute MOD intellectual property, resource,
and proprietary material.
• Use of MOD Gmail to register to website and accounts that are not analogous to
MOD-related requirements
• Sharing of MOD Gmail credentials and access to non-MOD entities.

5.3 Third Party Recorders


• Unauthorized recording, uploading, and sharing of any class discussions, coaching
sessions, roleplay sessions, and client interviews.

5.4 MOD University


• Unauthorized downloading, copying or printing of training materials.
• Sharing of training materials to non-MOD entities.
• Sharing of MOD University credentials and access to non-MOD entities.
5.5 MyTimeIn and Active Track
• Unauthorized installation of MyTimeIn and Active Track to a device that is not
approved by a Systems Check Specialist.

6. Payment of Service and Bond

6.1 Training Allowance Payout Policy


Training Allowance is provided for full 8-hour Fastrack training shifts.

Cutoff Period:
• Work rendered every 26th to the 10th of the month will be released on the 20th of
the same month in PST (Pacific Standard Time).
• Work rendered every 11th to the 25th of the month will be released on the 5th of the
following month in PST (Pacific Standard Time).

When a trainee’s inclusive dates of training overlap the two aforementioned cutoff periods,
the pay will be released on the nearest payout which shall include the portion of the training
that fell within the previous cutoff period.

6.2 Training Allowance Eligibility


• Must have accomplished and submitted all HR Requirements and Placement
Essentials in order to receive.
• Completed and passed Fastrack Training (Failure to pass training nullifies the
Training Allowance)

6.3 Training Allowance Rate


$12.48 per 8-hour Fastrack training shift. Payment is released in Philippine Pesos.
Exchange Rate is determined by the Billing Team.

6.4 New Hire Bond


• $100 Training Bond will be deducted on the nearest payroll date from start date with
a client, in $25 increments on the first four (4) payouts.
• Resignation or termination prior to reaching 1 year with a client will merit the full
deduction and forfeiture of the $100 Training Bond

6.5 Bank Account Requirements


• Security Bank is the official bank used by MOD of crediting payments for services
rendered.
• For the first payout, consideration is given by allowing the use of Security Bank’s
EgiveCash issued by MOD to allow VP to receive his/her pay in this method. Moving
forward, VP must secure an account with Security Bank so as not to delay crediting
of subsequent payments.
• Junior accounts are not accepted as per bank policies.
• In cases where a VP cannot open his or her own Security Bank account,
consideration is also given to nominate an account that’s not under the payee’s
name. It would however require a notarized Special Power of Attorney from the
account holder to authorize MyOutDesk in transferring the pay to the nominated
account.
