What is Formatting?
Formatting means to organise text in such a way that it
becomes more attractive and easy to read.

Text without Formatting Text with Formatting

Let’s start the lesson by having a look at “What is formatting?”

Formatting means to organize text in such a way that it becomes more attractive and easy
to read.

In the table given, you can differentiate between a text which is not formatted (the one to
your left) to a one which is formatted (the one to your right)

From the Microsoft Word 2016 Interface which we had already demonstrated in Video
Lesson 1, select the Home Tab to obtain all the icons used for text Formatting

We will start with Text formatting

The most commonly used formatting icons are:

Bold –make your text bold – an example given that the word is printed darker and thicker
than the normal one

Italic- Italicize your text – the example shows the characters are evenly slanted towards the
right

Underline- Underline your text – the example shows that an horizontal line is drawn under
selected text

Next we’ll talk about

Strikethrough – cross something out by drawing a line through it- the example shows a line
which is drawn in the middle of the selected text

Subscript- Type very small letters just below the line of text.- the example given H20 shows
the no. 2 which is placed just below the normal text line

Superscript – type very small letters just above the line of text – the example given (date
12th march) shows the no. 2 being placed above the normal line of text

Moving on to

Text Effects and Typography – add some flair to your text by apply a text effect, such as
shadow or glow – in the example given outline and glow effect have been shown

Text Highlight Color – make your text pop by highlighting it in a bright color – our example
shows as if it has been marked by a yellow highlighter
Font Color – change the color of your text- as you can see we have used the red color

We’ll proceed with


Change Case- Change the selected text to uppercase, lowercase or other common
capitalizations – in the example given we have used normal case to UPPER CASE

Decrease Font Size – make your text a bit smaller- we have used size 16 in our example

Increase Font Size – make your text a bit bigger – we have increased the text size to 32

Finally we’ll talk about

Clear Formatting – remove all formatting from the selection, leaving only the normal,
unformatted text

As shown from Bold, Italics ,underline and red Font to normal unformatted text

Font size- change the size of your text- examples given are size 14 and 28

Font – pick a new font for your text

Now Let’s practice some of the text formatting techniques


From your computer desktop, Click on the Microsoft Word Short Cut Icon as shown.
This will launch Microsoft Word.

As you can see, you will obtain a series of templates


Choose on Blank Document to create a new one.

This is the interface of Microsoft Word!


We will explore this font formatting ribbon shortly and in the next video lesson we will talk
about paragraph formatting.

We type the following text :

Birthday Party Invitation


Date: 20th April 2018
Venue: Royal Road Port Louis
Theme :Princess Sofia
Dress Code : Pink

We will use the formatting ribbon here to enhance our document

First select the text you want to format.


I am selecting Birthday Party Invitation by dragging the cursor from left to right.

You will observe that you will get a mini formatting toolbar, having frequently used
formatting icons.

Now from the Home Tab, click on Bold and Underline.


Change the font to Baskerville Old Face as being shown.

You can either increase the font size by clicking here or you can also decrease the size of
your text here.

We will increase the font size to 18.

For change case icon, the following menu appears, we choose Upper case to get the text in
Capital Letters.

Now click on font colour to select purple from the available set of colours.

We proceed by selecting the other remaining text and chose Italics, which will slant your text
to have a nicer look.

Change the Date to Bold.

The last two lines are selected, as Pink is not available from the set of colours, click on more
colours here and chose pink. We also increase the font size to 14.

We try the strikethrough option, which will draw a line in the middle of PINK.

On the date, the 20th ( th) is superscript, we can also see subscript option will look like.

Lastly on the theme, we add some text effects by choosing outline.

The document appears to be more attractive than that it was when we typed it.

To save the document, click on the file tab and select Save As from the backstage view.

From the different locations given to you, click on My Documents.

The Save as window will appear. Type Birthday party invitation as the file name and click on
save.

To Close this document, click on the File tab. Select Close.

This window will appear on screen where we need to chose the location to where we want
to save this document

Choose my documents folder from all the locations given to you

Give appropriate name


to the Document

13 Click on Save

We will obtain the Save As window, where we have to give the document a relevant name so
that it can be retrieved later.

Here we named it as :word processing lesson 2

Click on SAve
