The SACCO Secretary is responsible for ensuring smooth administrative operations within the SACCO, including
taking accurate minutes of meetings, maintaining records, and assisting with correspondence. They work closely with
SACCO management to support effective governance and compliance with all SACCO policies and regulations.
Key Responsibilities
1. Record Keeping and Documentation
Maintain accurate records of all SACCO meetings, including board meetings and annual general meetings.
Prepare and organize documentation for meetings, including agendas, notices, minutes, and reports.
Ensure timely distribution of meeting minutes and follow-up on action points.
2. Administrative Support
Handle day-to-day administrative duties, including managing correspondence, filing, and archiving of SACCO
documents.
Assist with the preparation and organization of SACCO documents, forms, and records.
Ensure compliance with all SACCO policies and relevant regulations.
3. Member Communication and Support
Act as a point of contact for SACCO members, addressing inquiries and providing information as needed.
Assist in preparing notices, reports, and other communication materials for SACCO members.
Facilitate the organization and smooth running of SACCO events, such as the Annual General Meeting (AGM).
4. Compliance and Governance
Ensure that SACCO activities and record-keeping meet regulatory standards and governance best practices.
Coordinate with SACCO board members to ensure compliance with bylaws and policies.
Assist in maintaining confidentiality of SACCO information and safeguarding sensitive records.
5. Reporting and Documentation Support
Prepare and compile regular reports for SACCO management and board review.
Collaborate with other SACCO staff to ensure accurate and timely submission of statutory documents.
Support management in documenting and tracking SACCO policies, procedures, and operational processes.
This role ensures the efficient functioning of the SACCO’s governance and operations by providing essential
administrative and clerical support.
