Day -1

Importing data from Excel:


Step 1: Open the PowerBI desktop

Step 2: Click on GetData

Step 3: Choose Excel WorkBook

Step 4: Browse and select the Excel File

Step 5: Select the Superstore.XLSX file from your local hard disk which shared to the students

Step 6: Select Orders from the list of files, click on LOAD button

Step 7: Orders will be loaded into your PowerBI desktop workspace

Column Chart:
1. Click on the Stacked Column chart in the visualization pane, so that it will open the blank
column chart in the Workspace
2. Now we have to choose which field is to be on x-axis and y-axis respectively
3. We are choosing Subcategory into X-axis and Sales into Y-axis. It means we want to create a
column chart between Subcategory and Sales. Simply drag and drop the respective fields
into x-axis and y-axis
4. If you observe the Subcategory is ordered in ascending order of the sales values

5. Adding different formatting to the chart like colours, fonts etc…. For that go to the Format
Visual tab in the Visualizations
6. Let us say if we want to increase the size of the x-axis data Go to X-axis in the format tab,
increase the font size in it
7. To change the Title of the chart, go to General sub tab in Visualizations, click on Title, you
can change it accordingly

Stacked Column Chart:


1. Click on the Stacked Column chart in the visualization pane, so that it will open the blank
column chart in the Workspace
2. Drag and drop Subcategory into X-axis and Sales into Y-axis, just as we did in previous
column chart
3. Drag and drop region into the legend field

4. If we Observe, we have 4 regions, the chart has 4 different colours.


5. The Legend will be useful to select any single region or all regions
6. If we add data labels to the above chart, it gives more useful information to us. Go to Format
visuals, Toggle the Data Labels to On
Pie Chart:
1. Click on the pie chart in the visualization pane, so that it will display a blank pie chart in the
workspace
2. It is always better to choose less than or equal to 5 categories in pie chart, so that it looks
better
3. Drag and drop Region into Legend and Sales into values

4. It displays Legend in the Right-hand side in the above pie chart


5. Best practice is to add Regions at the data of the sector, so that we don’t need to compare
the colours and the corresponding Regions, so that we can get rid of the legend in the visual
6. Click on the format visual, go to Detail Labels. Change the label content to all labels
Donut Chart:
1. Click on the Donut chart in the visualization pane, so that it will display a blank Donut chart
in the workspace
2. It is very difficult to create donut chart in Tableau , but very easy in PowerBI
3. Drag and drop Region into Legend and Sales into values

Funnel Chart:
1. Click on the Funnel chart in the visualization pane, so that it will display a blank Funnel chart
in the workspace
2. Drag and drop Sub-Category into Category and Sales into values
Ribbon Chart:
1. Click on the Funnel chart in the visualization pane, so that it will display a blank Ribbon chart
in the workspace
2. Ribbon chart is almost similar to Sankey chart
3. Drag and drop OrderDate into X-axis and Sales into values
4. Now it looks like a column chart

5. To get the Ribbon chart, we have to drag the region into legend
Include and Exclude:

1. Let us create a simple column chart with sub-category on x-axis , sales on y-axis and region
as legend

2. Include and Exclude works like a filter


3. For example I want to compare the Phones in the West Region with East Region Machines.
Select West region in the phones , use CTRL key and select Machines in the east region
4. Select any selected part and click on include, so that it will display those two only
5. To go back click on remove filter button
6. If we don’t want any of the reports to be excluded, simply select the reports using CTRL key
and select any one of them, click on exclude, so that those reports will be excluded from the
chart

View and Export Data:

1. Create a stack column as in the chart 1


2. Enable data labels in the format pane
3. Now let us find all the records of Storage of West Region
4. Click on the corresponding cell and right click, click on show data point as table

5. If we want to export this data into a CSV file, click on the 3 dots in the top left corner, click
on export data
6. You can store this in your local desktop
