DOCUMENTATION OF PROJECTS

a. identify and familiarize on the process flow of


formulation of NSTP-based community
project/activities
b. plan and propose community project
OVERVIEW ON PROJECT DEVELOPMENT

WHAT IS PROJECT DEVELOPMENT?


Project Development

Is the process and the facility of planning, organizing,


coordinating and controlling the resources to
accomplish specific goals. The process takes a
transportation improvement from concept through
construction.
The Project Cycle

 Is the sequence of phases that


a project goes through from its
initiation to its closure. The
number and sequence of the
cycle are determined by the
management and various
other factors like needs of the
organization involved in the
project, the nature of the
project, and its area of
application.
 Identification - Most projects enter the first phase of the project cycle
with little or no structure. Ideas that start in the back of the mind start to
bubble up into potential projects. Project leaders usually issue a request
for proposals or a call for submissions, in order to discover the most
effective solution to a particular problem.
 Preparation - This phase of the project cycle requires leaders to research
both the needs and the impact of a project. The preparation phase
often includes brainstorming sessions that result in “pie in the sky"
estimates instead of true cost/benefit analysis. Effective preparation also
includes laying the groundwork for the evaluation phase of the project
cycle. Without agreeing on specific goals or outcomes, participants
have no reliable way to measure the success of their project.
 Appraisal - During the appraisal phase of a project cycle, leaders
negotiate for resources while setting timelines. Depending on the
scope of a project, leaders must determine whether hiring or
outsourcing human resources will play a role during the
implementation phase. Other resources, like technology, require
budget estimates and impact statements during this phase. The
appraisal phase of the project cycle ends once a clear plan with a
timeline, budget, and expected outcome is ready for submission to
decision makers.
 Presentation - project need, goals and expected outcomes,
budget and timeline.
 Implementation - While implementation represents just one phase
of a seven-step project cycle, it frequently takes the longest
amount of time. During this phase a project manager actually takes
the steps to lead a team through the process developed during the
previous four stages.
 Monitoring - is a task that happens throughout the project cycle.
Building a monitoring stage into a project cycle can involve
measuring independent benchmarks or scheduling formal progress
meetings. Monitoring focuses more on individual tasks or personnel
in order to make adjustments. Projects often shift between
implementation and monitoring phases multiple times during a
project cycle.
 Evaluation - Highly functional organizations use the evaluation
phase of the project cycle to answer three important questions:
 What went well during the project?
 What didn’t go so well?
 What would project leaders and team members do differently
during future projects?

Phase 1 Pre-immersion

This phase regard the identification of the community where the students will be
immersed at.

1. Groups or community to be chosen belong to deprived, depressed and


underprivileged.
2. willingness of local groups and community leaders to work with you on
community projects.
3. Anticipated activities and demands fall within your available resources and
ability to meet them.
4. Presence of development agencies and other support institutions providing
assistance to the areas.
5. Stable peace and order situation.
6. Accessibility. Successful community immersion also relies on how quickly and
often you can visit the community.
Phase 2 Entering the community

 To ensure success in entering the community, it is necessary to have community mapping


of the target area.

Phase 3 Community Integration

 Integration is a continuous wherein the trainees come into direct contact and become
involved with the community people.

Phase 4 Community needs assessment

 Is the process wherein problems, issues and concern of the community are identified
through the use of several tools for assessment.
Project Proposal Making

 What is a Project Proposal?


 A project proposal outlines your project’s core value proposition. It
sells value to both internal and external stakeholders. The intent of
the proposal is to grab stakeholder and project sponsor attention.
Once you have people’s attention, the next step is getting them
excited about the project.
Questions to Consider When Writing a Project Proposal
There are several key operational and strategic questions to
consider, including:

 Triple Constraint: How can we address the triple constraint of scope, schedule and cost?
 Core Problem: What is the core problem we’re trying to solve?
 Resources: What resources will be available?
 Timeline: What timeline are we working within?
 Budget: What budget do we have to work with? How does this affect our goal setting?
 Strategic Goals: What are the strategic goals and how does our proposal align with those
goals?
 Responsible Parties: Who are the people responsible for the project? What are their goals and
motivations?
 Client Benefit: How will the client benefit from the completion of our project? What is their
primary goal?
 Project Deliverables & Success: How will success of the project be measured? What
deliverables do our stakeholders expect to see at closure?

Is a process that includes planning, putting the project


plan into action, and measuring progress and
performance.
Project Management

Is a process that includes planning, putting the project


plan into action, and measuring progress and
performance. It is the application of processes, methods,
skills, knowledge and experience to achieve specific
project objectives.
Process of Monitoring

 Is an assessment of the process of a program or intervention. Process monitoring fall under


over all evaluation program.
 Monitoring is checking progress against plans. The data acquired through monitoring is
used for evaluation.
 The monitoring process involves observing the task involvement of respective groups of
center of participants.
Evaluation Process

Is a process that critically examines a program. It involves


collecting and analyzing information about a programs
activities, characteristics, and outcomes. Its purpose is
make judgements about a program, to improve its
effectiveness and /or to inform programming decision.
Documentation and Reporting

 Documentation is a set of documents provided on paper, or online,


or on digital or analog media, such as audio tape or CDs. Examples
are user guides, white papers, on-line help, quick-reference guides.
Paper or hard-copy documentation has become less common.
Documentation is often distributed via websites, software products,
and other.
 Reporting is a statement describing in detail an event, situation, or
the like, usually as the result of observation, inquiry, etc.
