Invoice reconciliation is made amazing easy and quick. Before my team was using outdated tools and processes to reconcile invoices. Airbase has transformed this process, and made it easier to request virtual cards and POs for certain paid marketing channels and vendors. Reseña recopilada por y alojada en G2.com.
When requesting POs and virtual cards - there is no way to go back and duplicate a request. For example when a PO request is denied I receive an email notification stating this, and I have no way to access the denied PO. This leads to more work as I would need to request a PO from scratch. lots of dead white space (i.e. "Add approvers" for invoices); when you click "add" for the approvers, it doesn't let you click approve until the bubble leaves and the bubble is literally right in front of the approve button for some reason, even though there's a lot of dead white space. Boundary lines are a light gray and it's hard to see; like checkboxes are tiny and i cant see them when i'm on a construction site and it's bright outside. like if i'm adding an approver for example, and i type someone's name, why can't i click their name and i have to find that tiny checkbox all the way to the right i can't see? i know this is hard for our construction guys who have a harder time with technology.
though all information is there somewhere for invoices, it's hard to find where it is, it's not in one single easy-to-read and clearly labeled central location, and it's often labeled unclearly (i.e, why are other invoices for this vendor linked that are more prominent than the actual project name and information itself?)
Also - why can't i search invoices by vendor or by project for my company as a whole? it makes no sense that i'm blocked to view invoices if this is where all invoices are. just because i didnt approve doesnt mean i dont get calls from vendors asking about invoices as a whole, or i need data from other things to inform my projects.
i think this platform has a lot of potential but i think it needs to be simplified for real-life users who work out in the field and not on a computer (i.e. on a phone or ipad) and do a high volume of work and dont have the luxury of scrolling forever to find things or visiting hidden tabs or links that take you away from the thing you're actually trying to review, or important functionality that's not front and center. Airbase has completely streamlined the way I manage expenses! One of my favorite features is how I can simply take a picture of a receipt, and AI takes care of everything—uploading, saving, and extracting the details automatically. The receipt matching feature is also a game-changer; when I receive a receipt in my inbox, it seamlessly matches it to the correct transaction, saving me tons of time.
I also love the bulk report functionality, which lets me group multiple expenses into a single report, making the submission process much more efficient. Plus, having an Airbase card synced with my Google Pay is incredibly convenient—I just tap to pay, scan my receipt, and Airbase does the rest by automatically matching it to the transaction.

Airbase is a powerful tool, but there are a few enhancements that would make it even better:
A customizable auto-fill feature that remembers how I’ve categorized a specific provider in the past, rather than always relying on AI suggestions.
The ability to bulk edit descriptions, departments, and categories instead of updating each receipt individually.
A memory function for recurring expenses, so it remembers my previous coding and descriptions for consistency.
The option to edit, add, or remove expenses from a report after submission (as long as it’s not approved yet) for more flexibility.
A more user-friendly bill payment dashboard, with clearer visual indicators (e.g., green for paid, red for unpaid) and reminders/notifications for overdue bills to help stay on track.

Airbase is seamless in managing payroll and reimbursements. Gone are the days of manually needing to email someone receipts, or invoices for them to manually setup an wire.
It's made it possible for us to manage how we'd like to be paid (without having to ask HR for manual updates) and reimbursed at the click of a button. The virtual cards system makes it possible to constrain vendors to only charging a specific amount per review cycle, thereby minimizing the possibility of overpayments and unauthorized transactions.
At the same time, we also equip employees with physical visa cards powered by Airbase. There's never been a situation where it's gotten declined, things just work. We run all our expenses through it, migrating it all over was quite easy.
Data extraction from automatically forwarded receipts is mostly bang on as well, there's only been a few situations where we've had to manually edit anything. Overall, very happy with it. Reseña recopilada por y alojada en G2.com.
The reimbursement compilation screen is a bit difficult to navigate. You're supposed to upload receipts, and then compile them into expense reports for reimbursement.

As someone who used to dread expense reports, Airbase has been a game-changer. Seriously, it's like night and day compared to the old manual processes. My favorite thing by far is how incredibly fast and easy it is to submit expenses. I can snap photos of receipts with my phone, and they're automatically uploaded and categorized. The app is super intuitive; I figured it out in minutes.

While Airbase is fantastic, there are a couple of minor things I'd like to see improved. Occasionally, the automatic categorization of expenses isn't perfect, and I have to manually adjust it. It's not a huge deal, but it would be even better if the AI was a bit more accurate. Also, while the mobile app is great, I've noticed that sometimes it can be a little slow to load, especially when I have a lot of receipts to upload. I would say the simplistic UI of airbase is one of the best ive seen over the years of working with reimbursement tools. Some have made it wildly difficult to the point where you get frustrated and wonder if its worth it for small amounts of money Reseña recopilada por y alojada en G2.com.

I’ve been using AirBase for a bit now, and honestly, it’s pretty solid. It makes handling expenses and approvals way easier—goodbye to endless spreadsheets! The integration with QuickBooks is a lifesaver, and the budget controls are a dream. The interface is super easy to use, even if you're not a finance whiz.
Only downside? The mobile app could use a little TLC—it works, but it's not as snazzy as the desktop version.

I find the process of submitting my expense claims quite simple and straight forward. Makes my work on the go much easier.
