Overview
General
The Alcatel 4635 is a voice mail system which is integrated in a shelf in the Alcatel 4400 PBX.
The Alcatel 4635 messaging system is used to exchange, with a correspondent (person, mailbox
or fax machine), information in the form of voice messages or faxes, store these messages or
faxes and restore them on demand to the recipient.
The Alcatel 4635 software is supplied in a standard version (voice mail) to which different options
can be added. These options include:

specific mailboxes
conversation recording
automated attendant
This documentation is intended for system administrators in charge of updating the voice
mailboxes, preparing reports and optimising system management.
Alcatel also provides training courses for these system administrators, available from the
commercial service.

Note: The different functions are obtained using the specific mailboxes detailed in 4-2.

Basic functions

The voice service guides the user during the different operations by menus and voice prompts.
The instructions are sent by pressing the keypad keys on the telephone set.
If the user has a reflex set, the dynamic function keys opposite the labels displayed during the required
facilities can also be used.

The boards comprising the Alcatel 4635H messaging system (greyed) are shown above in the
Alcatel 4400 PBX main ACT shelf. They can also be placed in a peripheral shelf.
In both cases, these boards must be placed in the same shelf.
The basic hardware configuration comprises:
-
1 VPM35 (Voice Processing Multiple35) board, for connecting an IDE hard disk.
Optionally, 1 or 2 MSBI (Mass Storage Board IDE) with one or two hard disks each (1.4GB
or 2.16GB capacity). They contain the software, voice guides, database and messages.
1 to 8 SPA3 (Speech Processing Auxiliary) boards. They each offer 8 channels with simultaneous access to the messaging system.

Overview
Optionally, 1 ATB2 board (or ATB31 where fitted with 2 MSBI boards). Backplane complement, for the IDE bus interconnection between VPM35 and MSBIs.
1 V24 cable connecting the VPM35 board to a VT100 type console, called SMT (System
Manager Terminal), which must remain dedicated to the Alcatel 4635H messaging system.
You can use the Alcatel 4400 PBX system console to emulate the VT100 terminal. The cable
can also be connected to the switch box, for remote maintenance. A printer connected to
the console is used to output reports and statistics.
1 special Ethernet cable for connecting the VPM35 board to the customer LAN.

The installed capacity expressed in hours is that of the zones used for caller message storage.
This is the physical capacity of the disk, minus the zones used by the software, voice menus and
the database.
The authorised capacity is a part of the installed capacity, limited by the configuration.
The free capacity represents the remaining usable zone. This is never equal to the value installed
because of the personal greeting messages.
The free storage space percentage is monitored: a secondary alarm message is sent when the
level reaches 20%: a primary alarm message is sent when the level is null.

Notification parameters
Notification of a messages waiting consists in calling the subscribers periodically to signal the
presence of messages in their mailboxes, during a programmable time period. Such notification
may be configured for all messages or for urgent messages only.
Normally, sets connected to the Alcatel 4400 PBX are equipped with LEDs for internal notification.
However, a subscriber who is out of the office can request notification on an internal set of his
choice or on an external number.
The temporary validation of this notification can be carried out using the personal options of the
mailbox.
Depending on his class of service, the subscriber may also modify the time periods and/or
telephone numbers which are to receive notification.
The sites receiving the external calls can also be restricted, internal, local external, long-distance,
international.

This menus used to set a standard time period, the type of messages that must be notified, the
conditions for carrying out the calls and describing the authorised adjacent zones.
The time period set on this screen is an example for calls during office hours.
Type of message : 1 = all messages; 2 = only urgent messages.
Notification interval. 1 = 1 hour; 2 = 2 hours; 3 = 4 hours; 4 = 1 day; 5 = immediate; 6 = never.
On each LOCAL AREA line, you can place 8 authorised area codes.
Each line has a corresponding group name (A to F), that is found in the class of service allocated
to the subscriber mailboxes.
The last line concerns the statistics. It can contain 8 area codes for adjacent zones which will be
counted in the local calls.

Overview
To subscribe a user to the Alcatel 4635 messaging system, you must assign the user a voice
mailbox. This is defined by:

There are different types of voice mailbox, offering specific functions. An voice mailbox
can be individual (attached to a set) or collective. Certain types are standard, while others depend
on the software options installed (see 4-2).
The definition of a mailbox is completed by a series of parameters, called the class of service,
restricting or increasing the possibilities available by the type of mailbox. A class of service may
be common to several mailboxes.
Management can be simplified using ready to use subscriber profiles which are an association
of a type of voice mailbox and a specific class of service according to the required
profile (see 4-3).

Type 0:
This voice mailbox type is commonly used in the messaging systems. It has the
maximum number of possibilities. It allows answer mode and messaging mode.
Type 0 can also be used by certain collective mailboxes.
Type 54: Adapted for the Groups/sub-groups function (transmission and reception of messages within a group).
Type 6:
General distribution list voice mailbox. Allows subscribers to send the same message to several voice mailboxes.
Type 29: Dial by name voice mailbox. This allows callers who do not know the number of
a recipient to enter the name via the numbering keypad.
Type 30: Voice mailbox used for the automated attendant function. The caller provides a
number or a recipient name.
Type 34: Voice mailbox for automatic transfer to a previously defined set.
Type 35: Same as type 34, but with the possibility to forward to two different sets according
to the programmed time.
Type 1:
Playback ICBM, information centre voice mailbox. Allows the caller to listen to
announcements or general messages in the form of voice messages or faxes. The
messages are established and modified by messaging system administrator collaborators, designated when the mailbox was initialised.
Type 2:
Playback and answer ICMB. Same as type 1allowing the caller to respond by
information, which will be communicated to the collaborators voice mailbox
(author of the message).
Type 3:
ICMB voice mailbox with greeting message cycle. Same as type 1, but only able
to contain voice messages (6 max.), which will be played in sequence, with
progression to the next message after each call.
Type 4:
Communication voice mailbox. Used to broadcast a message to a group of subscribers or all the subscribers if no group is defined.
Type 5:
Type 7:
Voice mailbox used for the fax on demand transmission function. The caller indicates the recipient fax machine.
Type 10: Questionnaire voice mailbox (OctelForm). Contains a series of questions, to which
the caller responds. All the replies constitute a single message, recorded in the
type 11 associated mailbox .
Type 11: Transcriptor voice mailbox (OctelForm). Associated with mailbox type 10, used
to consult messages transmitted by latter.
Type 12: Questionnaire voice mailbox (OctelForm). Identical to type 11, except that replies
are by DTMF codes (external PC software required).
Type 21: Hotel room voice mailbox when the sets have no DTMF numbering.
Type 28: Collective set voice mailbox. Mailbox allocated to a set shared by several users,
each having a type 0 individual voice mailbox associated to it. It announces to
the caller the list of the different names and the caller makes a choice by entering
a digit from 1 to n.
Type 31: ECP voice mailbox. Announces a selection menu, to which the caller responds by
entering a digit from 1 to 9, enabling it to transfer to the different voice mailboxes
of an information centre.
Type 32: Same as type 31, but in addition the caller has the possibility of also entering a
station number.
Type 33: Same as type 32, but in addition the caller has the possibility of also entering a
voice mailbox number.
Type 45: Collective voice mailbox for reception or distribution of fax (used by the FaxStation,
FaxBroadcast and FaxAgent applications).
Type 60: Voice mailbox for surveillance. Identical to type 0 (password cannot be modified
by subscriber group)
Type 61: Voice mailbox for automatic tests (AMIS network callback).

Profile overview
The system proposes pre-defined user profiles in order to simplify management:

advanced profile : destined for an experienced user who makes extensive use of the
messaging system.
The 10 classes of service (CS) presented in the table below correspond to a user profile that
is combined or not with the Network and Fax options.
(The 10 classes of service 30, 31, 32, 40 and 42 are only used by the Alcatel
4635H version).

Depending on the case, the type of voice mailbox associated with the class of service is 0 or 53
(see 4-2).

Profile management
Once the user profile has been defined (Traditional, Simplified or Advanced), locate in the previous
table ( 4-3-1) according to the required configuration (without option, with network, fax or
network + fax option):

the class of service number (CS 10, 20, 30, 40, 11, 31, 12, 22, 32 or 42)
and note down these two numbers which will be needed in the management menus.
Example: For a traditional user profile and standard software installation (without option), the type of voice
mailbox is 0 and the number of the class of service is 10.

To create a voice mailbox from your profile, just ADD a voice mailbox 0 or 53,
indicating the associated class of service and the parameters concerning the
subscribers.

displayed by default. If appropriate, enter another mailbox type and validate.

The parameters which MUST be completed are detailed below. Additional parameters are shown

The number and type of mailbox are entered automatically.

Mailbox name:
This must be that of the subscriber, followed by the first name, from 2 to 20 characters. These
names are used to identify a subscriber when the call by name option is used.

Department:
7 characters maximum. Used in the statistics.
Subscribers extension:
By default, this is the mailbox number. If the latter is not the number of the set, change it.
This number is used for notification.
Operator extension:
Enter a number between 1 and 30 corresponding to one of the time periods defined in
Configuration of generalities menu 1.2. If there is no time period defined, this can
be the attendant set number or a secretary set number.
Class of service:
Assign a class of service number, retained for this mailbox.
Initial password:
The password displayed is a random number, automatically assigned on mailbox creation.
For greater simplicity, it is normal for the messaging system manager to replace this code
by the set number. On initial access, the subscriber must replace the initial password by a
code of his choice.
Operator schedule:
Enter the attendant time period defined in Generalities for this set.
Note: Since the classes of service used for the profiles are already created, no modification is required.
However, it is possible to modify the parameter values to meet specific requirements. In this case, follow
the verification/modification of a class of service procedure (see 4-4-1-2) indicating the number of the

Generalities
There can be up to 64 classes of service (CS), designated by a number from 1 to 64.
The CSs can be created by modifying the default value of the existing parameters. Some
parameters can only be coded if the function that they control corresponds to an installed software
option.
The standard classes of service 1 to 6 contain a name designating the type of user:

CS 4 Sales staff (with a number of messages and storage duration greater than CS 3)
CS 64 Reserved for the two mailboxes for the messaging system manager.
These job titles are given as an example only. You should consider the level of telephone activity
of a subscriber when determining this.
Some CS parameters can be modified. The default values of classes of service 1 to 64 are detailed
in 4-4-1-3.
Specific classes of service are also created for standard management, see 4-3.
Note: All subscribers can have class of service 1 (maximum backup duration). However, if you grant all
subscribers maximum played message backup duration, you will reduce the total available storage capacity,
this capacity being common to all users. Therefore, you should assign the class of service that is the most
appropriate for each user.

this class of service will be modified.

This function is optional and requires the creation of common mailboxes, bulletins or
distribution or even external resources. This parameter sets the access possibilities. Leave as
= 0 by default.

The number and type of mailbox are inserted automatically.

Mailbox name:
This must be that of the subscriber, followed by the first name, from 2 to 20 characters. These
names are used to identify a subscriber when the call by name option is used.
Department:
7 characters maximum. Used in the statistics.
Subscribers extension:
By default, this is the mailbox number. If the latter is not the number of the set, change it.
This number is used for notification.
Operator extension:
Enter a number between 1 and 30 corresponding to one of the time periods defined in
Configuration of generalities menu 1.2. If there is no time period defined, this can
be the attendant set number or a secretary set number.
Calling group:
Leave as 0 if no group number has been defined.
Class of service:
Assign a class of service number, retained for this mailbox.
Initial password:
The password displayed is a random number, automatically assigned on mailbox creation.
For greater simplicity, it is normal for the messaging system manager to replace this code
by the set number. On initial access, the subscriber must replace the initial password by a
code of his choice.
If = Y, on initial access to the mailbox, the subscriber will hear a prompt for changing
the initial password, recording his name and, depending on the profile, changing the
greeting message.
If the parameter = N, the subscriber must access the mailbox personal options himself
in order to carry out these changes.
Initialise outcalling:
Notification of a message waiting by set call can be initialised by the messaging system
manager or, depending on the class of service profile, by the subscriber. Enter Y or N.

Pager type:
If = 0, no pager. A number between 1 and 6 returns the numbering sequences defined in
Configuration of generalities menu 6.1.
Caller prompting:
The assistance prompts can have different levels of detail:
Mailbox language:
This is the language used by the mailbox when playing the menus for the subscriber. The
value can be 1, 2, 3, 4 or 5 depending on the languages installed. After entering the number,
the selected language is displayed.
Bulletins:
Up to 5 voice mailboxes accessible by the subscriber who listen to their contents when he
consults his personal mailbox.
Application mailbox:
Designates the application mailbox to which the subscriber will have access by dialling 6.
Express address:
Address of a mailbox within a group if the latter is defined.
Alias address:
Substitute address if, for example, the internal number is different from the mailbox number
or if a second access to the mailbox is required (e.g., for recording a fax in the mailbox).
Extension mailbox:
If several users (9 maximum) share a set, each one having a type 0 individual mailbox, enter
the number of the common type 28 mailbox.
Operator schedule:
Enter the attendant time period defined in Generalities for this set.

Subscribers who are recipients of messages sent off-line by this mailbox can receive them but

Generalities
When messages are frequently sent to a subscriber group, rather than designating the mailboxes
of these subscribers one by one, you can indicate, as destination address, a distribution list
containing the addresses of these subscribers.
A subscriber can be authorised by his class of service to create personal distribution lists. This
class of service fixes the number of lists that are authorised and the maximum number of mailboxes
in the list.
The subscriber is sole user of his lists and manages them via the administrative options.
The Alcatel 4635 messaging system administrator can also create general distribution lists which
can be used by subscribers. In order to be able to use the general distribution lists, a subscriber
must have the ACCESS TO SYSTEM DISTRIBUTION LISTS option in his class of service validated
Y.
A general distribution list is a type 6 mailbox to which the list of recipients has been associated.
In common with all mailboxes, it has an address and a name. The sender drops a message in
his own mailbox and designates the type 6 mailbox as destination.
On creating the type 6 mailbox, the administrator designates a manager for this mailbox and
grants an initial password for the mailbox. The manager must initialise the mailbox (password
and name) and can draw up, delete or modify the list using the menu options of this mailbox.
The manager of this mailbox type can also add another password called the access password
to restrict use of this list to certain subscribers.
The recording of the list names can be carried out either in the manager's mailbox or the
administrator's mailbox.
A distribution list can include the addresses of local mailboxes, addresses in an OctelNet network
or addresses in an AMIS network.
In a distribution list, addresses of other lists can also appear. This means there is a main list
containing sub-lists.
There is only one list assembly level. You cannot place a list in a sub-list or place a main list in a list.

It is possible to reserve general distribution list usage to certain subscribers. This is done using
the class of service parameter (visible on page 2 of menu 7): ACCESS TO SYSTEM

Access can also be restricted by an access password which is only communicated to certain

A report is made up of one or more standard reports combined in a group. The reports in a
same group can be of the same type, differing by the options or belonging to a service.
Three report groups can be defined, each group being able to contain up to 20 variants. A report
can be saved: for subsequent use, just designate the group and request output.
It is possible to create a special request which will be automatically erased after printing or to
use a variant, to modify it without saving, and then request printing. The original variant will

It is possible to search for the mailboxes containing more than n messages or mailboxes which
contain messages older than n days or messages where the duration exceeds n minutes.
For example, to search for any misuse of the storage facility, search for the mailboxes where the
total storage duration exceeds n minutes.
These criteria can be combined in order to obtain the required report. In the menu above, the
criteria are validated either by Y (yes) or by minimum values = 0.
Therefore, when the message options criteria are highly selective, you can extend the number of

General
Principle
You can create an information centre using voice mailboxes named information mailboxes.
The caller hears one or more messages left by one or more authorised collaborators. This
information can be in voice message form or in fax form.
If there are several messages of very different types, you can create a mailbox menu. The caller
selects a number from 1 to 9, corresponding to one of the information mailboxes. Each mailbox
contains an or several specific messages. The caller can return to the menu for another choice,
if this option is programmed in the Information Center mailbox.
The information mailboxes are type 1, 2 or 3. Each mailbox is assigned a manager. The
manager initialises the mailbox and draws up a list of collaborators who are authorised to consult
or drop messages. He can also request to be notified when a message has been added.
The collaborators record or delete a message via their own mailbox. The mailbox manager is
the only person who can access the mailbox directly.
Only the mailbox manager and the collaborator issuing a message can delete this message.
Mailbox type 1 is only used to listen to the voice messages or printout the faxes (in voice mode,
it can be used as an ordinary answerphone).
Mailbox type 2 allows the caller to answer by a message which will be automatically sent to the
voice mailbox of the collaborator who issued the message.
Mailbox type 3 is only used to listen to messages cyclically. It can contain up to six messages
which are read in turn, changing position with each call (can be used for advertising type
announcements).

The menu mailboxes are types 31, 32, 33. Mailbox 31 allows a choice from 1 to 9. Mailbox
32 offers in addition the possibility of designating a set number. Mailbox type 33 also allows a
voice mailbox to be designated. The * code can be validated for end or switch to another mailbox
(depending on the configuration).
A mailbox menu manager is designated. After mailbox customisation (password and name), the
manager must record the greeting message which constitutes the spoken menu. Then, for each
choice, he must designate the corresponding destination information mailbox.
The manager can also record customised help instructions. If the caller does not enter a choice,
he will hear these instructions or else be transferred to a telephone set designated in the mailbox.
The mailbox menus can be chained so that the choices can be broken down into several stages
(4 hierarchical levels maximum), designating as destination another type 31 mailbox. This mailbox
must be personalised before it can be designated.
In a mailbox menu, pressing the * key can be authorised to return to the previous menu or
terminate the communication.
The information mailboxes can be chained to another mailbox, by designating a destination
mailbox, for example the menu mailbox, to authorise another choice.
If there is no indication of the destination, after completing its function, the information mailbox
will terminate the communication.
Example of an information centre using voice mailboxes only
A personnel department offers the employees an information centre concerning the procedures
to be carried out (for example, change in civil status, contact with insurance administrative, etc.).
A function is also available to reserve meeting rooms, training rooms, company cars or taxis.

The main menu mailbox is type 31and its address 3100 appears in the repertory. Mailbox 2009
is type 1 and is ex-repertory. Their manager is Mr Smith whose personal mailbox is 3012. He
initialises the mailboxes and creates the selection menu in 3100.
The four type 1 mailboxes (2011 to 2014) are voice only and have an address which is not in
the repertory. Their manager is also Mr Smith.
After initialising the mailboxes, Mr Smith assigns a collaborator to each of the mailboxes:

Mrs Williams for mailboxes 2013 and 2014 personal mailbox 3029.
When a caller replies to one of these mailboxes, the collaborator will be notified. The manager
adds his or her number as collaborator in order to be able to consult the messages.
Note the destination addresses in the information mailboxes. Return to the main menu for mailboxes
2011 to 2014, to the secondary menu for mailboxes 2015 to 2017.

If this is not the case (parameter N), your configuration does not allow you to create information
centre mailboxes.
STAGE B
Create a class of service for type 1 mailboxes.
Many parameters are not relevant for this type of mailbox. Only modify those parameters described
in the following pages.
For type 31 to 33 mailboxes, the system automatically assigns class of service 60. There is no
need to carry out this modification.
STAGE C
From this mailbox, it is only possible to access mailbox configuration of one lower hierarchical
level (if there is one).
You are therefore advised to begin by creating mailboxes of the lowest hierarchical level, followed
by the those of the next level until you reach the main hierarchical level.
This procedure allows you to permanently have recipient mailboxes and thus to carry out
configuration in one stage.
Create type 1 mailboxes. The menu is almost the same for type 2 mailboxes.
Create type 31 mailboxes. The menu is quite different from that of a subscriber mailbox. Certain
parameters only appear for this type of mailbox.
You can only designate a recipient mailbox if it exists.
Therefore, in example in 7-1-1, mailbox 2009 must exist, in order to be designated as destination
by pressing the * key in mailboxes 3100 or 2001. 3100 must exist to be destination of 2011.
You can define the mailbox without designating a destination and complete this later.

Playback
The manager can listen to the information messages which have been dropped by the
collaborators. He can also listen to these messages for a type 2 mailbox, but in this case cannot

General configuration
Independently of the configuration specific to each option, there are menus for a configuration
which is common to all the fax options.
This configuration is carried out on three successive pages which are displayed automatically.
Cover page
For fax output, you can enter a personal header page. This is optional and is set in the class of
service. The latter can also indicate whether the VAT (top line, containing the usual indications)
is to be used on its own.
The header page is not sent in the case of a fax on demand, information centre.
A header page is made up of fixed data defined by the administrator, such as a logo and the
name of the sender department and variable data provided by the messaging system, such as
recipient name, sender name, number of pages.
Groups are used when several companies share the messaging system. There can be a different
page for each group. When the groups are not used, group 0 signifies all the mailboxes on site.
From the MAIN MENU, enter 1, validate, then choice 4 and validate again.
A group community number is requested (0 for this example).

Blocking / authorisation table
This table is used for the Fax on demand function of an information centre. It is used either to
authorise fax transmission or to inhibit transmission to certain directions.

When the Alcatel 4635H messaging system detects that the call is from a fax but not knowing
the recipient, the message will be recorded in a collective mailbox.
The message will then be printed on a local fax machine. The output can be automatic or on
demand. A person in charge must be designated and by interpreting the text, this person must
direct the fax to the recipient in question. If printout is automatic, he must make sure on a regular
basis that all the faxes have been printed and, in the event of an incident on the local fax machine,
must designate another device number.
A fax collective mailbox is type 45. The Alcatel 4635H messaging system can have two collective
fax mailboxes when this feature is used intensively. In case of saturation in the first mailbox, the

Node Number
This is a number from 1 to n (200), used to associate the definition menus of a same node.
It is only of interest locally. However you may choose to designate a node by the same
number on different sites. Number 0 is the number of the local node.

VPMOD ID
Set locally in menu 0 generalities configuration. It appears in all the menus. Avoids confusion

Dialing Sequence
Coding of the numbering prefixes. Example: to call Bordeaux, this is: #0N. In this item,

Delivery times
To reduce costs while optimising message transmission between nodes, OctelNet sends several
messages in a single call during selected periods of the day, which where possible, take advantage
of off-peak rates, but take into account priorities.
The calls are made within these periods at intervals which can be parametered. Between the call
intervals, the messages are stored in the waiting queues which can be consulted.
The periods retained are called time windows.
Five time windows can be set for working days and five others for weekends or public holidays.
The intervals differ according to the type of message, urgent or not, and the user category, normal
or priority, which is set in his class of service (OctelNet priority level).
There are five possible transmission priorities:

A - Category reserved for administrative messages, in case of use of the NameNet option.
These priorities are classified here in increasing order. If a category is not specified, it assumes
the priority level immediately below. If for example the non urgent/priority subscribers category
is not defined, the messages will be routed with urgent/standard subscribers category.
There are eight possible interval values called frequencies:

0 - immediate.
1 - 15 minutes.
2 - 30 minutes.
3 - 45 minutes.
4 - 1 hour.
5 - 90 minutes.
6 - 2 hours.
7 - 4 hours.
The windows are defined by a start and end time. If the times are identical, the window is
permanent.
The time windows of different categories may overlap during certain periods. So, after the
transmission of a message, the system will look to see if any other messages with lower urgency
are waiting and will send them provided the windows overlap at this moment.

In the previous example, for public holidays, windows 1 and 2 overlap between 10 and 18
hours. If a non-urgent message is sent at 9:15, it will wait until 10 oclock before being sent. But
if an urgent/priority message is recorded at 9:30, it will be sent immediately and the non-urgent
message waiting will follow in the same call. After 18 hours there is no overlap and any nonurgent message recorded after this time will wait until the next day, even if an urgent message
is sent.

Node prefixes
When a subscriber has recorded a message, he designates the recipient using a node prefix
followed by n digits designating the voice mailbox in this node.
The system will convert this prefix into a numbering sequence followed by the call number and
the n digits of the mailbox number. This sequence and the call number are described in the node
profile menu 15.1.3.1.
Depending on the sites, the number of digits can be 3, 4, or 5. This is shown in column D in the
menu below.
The same node can be designated by different prefixes, according to a numbering plan defined
by the client. 200 prefixes can be defined and their length can be between 1 and 10 digits.
Where possible, use short prefixes which are more mnemonic. In the example below, the number
of the French dpartement where the site is located is used as the code.

General
AMIS - AUDIO MESSAGING INTERCHANGE SPECIFICATION - is an exchange protocol
between heterogeneous voice mail systems which has been established by a group of
manufacturers and users.
AMIS-Analog uses the DTMF codes for signalling and addressing and sends the messages in
analog form.
This protocol is destined more particularly for medium-sized messaging systems where the internode traffic is relatively low.
Although it does not offer all the possibilities of an OctelNet type network, AMIS allows messages
to be answered. Therefore there is identification of the calling node and source voice mailbox.
When a message cannot be routed or accepted in the destination node, the protocol is used to
return the reason for the failure to the sender.
It is also possible to refuse incoming call messages from certain callers, the latter being identified
by their number, or to accept messages only from callers designated in a list. The control table
for calling numbers can be rendered active/non-active by the messaging system administrator
and can be easily modified.
The communication between two nodes can be set up via a private or public network. Calls can
be authorised only via the local, trunk or authorised international network. Some users may be
refused according to their class of service. The refusal can cover: network access or access
restricted to local calls, not authorised trunk calls or international calls.

The access number is that of the local node messaging system, which must be sent when contact
is made with the remote node.
For access to the public network, note the separator character # between the country code,
regional prefix and the telephone number. This format is mandatory in the AMIS protocol.
The country code, here 33, must be indicated regardless of the countries where the nodes are
located.
For access to the private network, the 0## sequence precedes the number. This is also a mandatory
format.

When a user sends a message to a subscriber in the AMIS network, he indicates the number of
the remote messaging service, for example 00155667676 or 00298003030. The number is
read back, then after confirmation, the user indicates the number of the destination mailbox.
To check that the user is authorised this type of call (trunk, international), the messaging system
identifies the prefix (001N, 00N, 000N, N being any digits which follow) and consults the class
of service of the mailbox.
If the user is authorised, the messaging system uses the corresponding sequence to establish the
call. The prefix and sequence may be identical but must nonetheless be indicated. If the user is
not authorised, the messaging system plays a refusal message.
Ten sequences can be defined. The type (second column) can be:

Note that for the private network (type 4), there is no prefix. The node code and the set number
form a whole (N).
The prefix (third column) specifies the content of the numbering that the user must dial for each
of the types defined above.
The number of digits (fourth column) is the total number of digits in the prefix plus the number of
digits in N. (TOT is not the mandatory number but a maximum).
The sequence column represents the number that the messaging system must dial.

After recording a message it may, amongst other things, be sent to an AMIS node using the ##
sequence. You are prompted for the telephone number of the node and after the announcement
and confirmation, the mailbox number. You can designate another mailbox in the same node by
1, or by 2, backtrack and designate another node or non AMIS address.
In AMIS, there is no delivery option: urgent, private, standard, confirmation or off-line delivery.
Only advice of non-delivery exists.
When you have received an AMIS message, you can send a reply message in the same way as
for any other message (by entering 8).

subscriber is informed of this by a voice message.

IP OCTELNET

General information
This is the OctelNet protocol digital version, available in release 2 in the Alcatel 4635H/J system.
The IP OCTELNET function allows customers to connect their voice mail system to the company
IT network via the TCP/IP protocol, thus allowing voice messages and faxes to be exchanged
via long distance networks (WAN).
Private or public networks supporting the TCP/IP protocol can thus be used to connect up to 1000
Alcatel 4635 systems between them throughout the world, with all the functions provided by
message exchange via OctelNet.
A digital OctelNet network is as flexible as an analog OctelNet network, but has additional
advantages in terms of cost, speed of transfer and facility of use.
Such systems can thus transmit voice and fax messages via the IP network to other Alcatel 4635J/
H (R.2) systems or Octel voice mail systems which have the Aria 2.0 software version, a network
board and the IP OCTELNET function.

The transfer time is reduced even further to 1/20th by using a 10 megabit Ethernet point-topoint connection.
Under these conditions, therefore, (10 megabits), a one-minute voice message can be transmitted
in less than 3 seconds. Transfer time is also dependent on other variables: time taken to establish
connection, volume and number of messages supported by the connection and network load.
Preservation of ports
IP OCTELNET uses the LAN voicemail interface for network connection without using the ports,
thus leaving them available for other applications.
Increased security
Digital message data is encrypted according to a proprietary algorithm, which ensures security
of transfer and avoids the danger of pirating, in IP network/protocol mode.

prolonged absence will hear the following voice guide: Your voice mailbox cannot receive any
new messages unless your greeting message in case of prolonged absence is deleted.
If subscribers record a greeting message in case of prolonged absence but do not block their
voice mailbox, messages continue to be delivered. The server informs the sender subscriber in
the following manner: your message to (name or node number) (name of the subscriber of the
remote voice mailbox) sent on (date/time) has been delivered. However, the recipient has activated
his greeting message in case of prolonged absence. To repeat, press 1. To erase and continue,
press 2.
Tip # 18: Faster execution of the steps
Press # to indicate that an entry is complete after entering your password, destination or
personal distribution list number. The server will not have to wait to determine whether you have
finished entering the digits.
Tip # 19: Recording voice messages again
When you call someone, you are forwarded to a voice mailbox and record a message. Press
# to indicate that your message has terminated. Press 1 to accept the recording as is. Press
2 to listen to your message. Press 3 to delete the message and record a new one.
Tip # 20: Playback replies
When you receive a message, press 8 and record your reply. You can listen to your reply
before sending it by pressing 1. To send your reply, press # .
Tip # 21: Sending copies of messages received
If you have received a message that you want to share with other company employees, press
6 at the end of the message. The server prompts you to record an introduction. You can then
enter the number of the voice mailboxes of the subscribers to whom you want to send the message.
However, if the message is designated private, you cannot send copies of this message.
Tip # 22: Sending messages
To send a message, press 2 from the main menu. Record your message. Press # to terminate
the message. (You can also press 1 to listen to your message before pressing # ). Enter the
destination which can be the number of a voice mailbox, personal distribution list number or the
number of a general distribution list. You can also press # and then spell the name of the
recipient. After entering the destination and pressing # , the server prompts you to enter other
destinations. Listen to the destination confirmation and then press # to confirm the sending of
the message.
Tip # 23: Dialling by name
If you have forgotten the number of voice mailbox of a subscriber when you are about to send
a message, press # to use the dial by name function. The server prompts you to spell the
surname of the recipient. The server will playback the name of the recipient as soon as it has
received enough characters to associate this name with a voice mailbox or else will playback
a list of subscribers if there are several combinations possible.

messaging system accesses in three levels: priority access, standard access and illegal access.
Access:
Entry point in a function, voice mailbox or server.
ACD (Automatic Call Distribution):
Equitable method of call distribution between the members of a same hunting group. See also
Hunting group.
AMIS:

Announcement distribution:
General messages distributed in the subscriber voice mailboxes after the general distribution
message and before the regular messages. They are distributed from a type 4 voice mailbox
to a specific subscriber group.
Answerphone mode:
Operating mode in which the server carries out a 3 step answerphone function: (1) answers
the calls routed to the server, (2) plays the personal greeting message from voice mailbox of
the called subscriber or the standard greeting message of the server including the name
recorded for the called subscriber, (3) records and stores the message of the caller to be
played back later by the recipient.
Automated attendant:
Server function which answers calls and prompts the caller to dial a set number or to spell a
name. When the caller has entered the number, the automatic attendant will transfer the call.
Automatic Call Distribution:

Automatic transfer:
Function which routes a caller to an attendant in certain conditions. For example, if the caller
calls from a rotary dial telephone and cannot respond to the message guides of the server.
The transfer can be supervised or not.

Call processing:
Automatic attendant. This function extends the server possibilities and includes, in particular,

Caller:
A caller is an internal or external correspondent, subscriber or not, who wants to reach a
called party and who is connected to a mailbox.
Class of service:
The definition of a box is completed by a set of parameters, called the class of service, which
restrict or increase the possibilities offered by the type of box. A class of service can be
common to several boxes.

Document which has been faxed to a fax response voice mailbox and which can be consulted

Function allowing a subscriber to address a message to another subscriber by dialling the
destination voice mailbox rather than the number. The administrator can de-activate dialling
by class of service name if he feels that this form of addressing is inadequate.
Dial by NameNet name:
Network message addressing method by spelling the remote subscriber name.
Direct access:
FaxCall application caller access method, without passing via the ECP menu message guides.
DTMF:
Tones produced by the telephone keypad keys. Each key sends single tones. The DTMF mode
is used to send digital signals (from a keypad set) by transmitting specific frequency pairs.

General distribution lists:
These lists are created by the administrator in order to convey the same message to several
pre-set voice mailboxes. The number of the distribution list then becomes the message
destination. Each general distribution list is a type 6 voice mailbox, established in menu 8.
General distribution:
Message recorded by the system administrator. A general distribution message is extended
by all subscribers as soon as they access their voice mailbox. This message cannot exceed
one minute or be interrupted by the subscriber.
Generic character:
Symbol (%) used in certain FaxCall application fields to represent a range of numbers to
select. For example, to select digit 10, then all numbers from 100 to 199, finally all the
numbers from 1000 to 19999, etc. just enter 1%. You will obtain the list of all the numbers
starting with 1.
Greeting message:
Message recorded allowing the caller to identify to where his call has been routed. The
greeting message is the first message heard by callers if the number dialled is busy or does
not answer. Greeting messages can be recorded by the subscriber or else generated by system.

Group:
Community of interests established for a set of subscribers (example: the subscribers in the
same department of a company). The reason for a group is to simplify interaction between
the subscribers who are members of the group. Each group can have its own announcement
voice mailbox, automated attendant, express addresses, etc.

Help message:
Phrases heard by subscribers or callers explaining where they are in the server and what
options are available to them.
Hunting group:
Group of lines or network lines having the same addressing initial digit. Starting with the first
line of the group, the PBX will examine the station or network lines in this group and route the
call to the first free line in the group.

Voice mailbox for storing information, announcements or faxes made available to subscribers
and other external correspondents (see chapter 4, voice mailboxes types 1, 2 and 3).

Message waiting notification:
Function allowing the server to call subscribers to inform them that there are new messages
waiting in their voice mailbox. Subscribers receive these calls on the number indicated and
according to the time defined. The notification of calls activation/de-activation operation is
a voice interface option.

Message-guide:
(1) Voice messages intended to guide subscribers regarding the various options. There are
three levels of message guides in voice messaging system mode (standard, detailed and
abbreviated), that subscribers can select. (2) Expression or phrase appearing on the
management terminal screen proposing choices for the administrator or supplying information
regarding the state of the server.
Multiple greeting messages:
Voice interface option allowing subscribers to record separate greeting messages according
to the circumstances: when busy or on no answer.

Nested lists:
Lists contained in another list.
Network fax (Alcatel 4635H):
Function used to send fax messages with a voice introduction over an OctelNet network.
Network:
There are two types of inter-site exchange protocols. AMIS, a simplified analog protocol
offering heterogeneous messaging system inter-connection, and OCTELNET, an analog/digital
protocol with more features, but which can only be used between OCTEL messaging systems,
including Alcatel 4635.
Night service mode:
Telephone system operation including instructions for forwarding calls reaching the main
number when no attendant is available.
Non subscriber:
Persons to whom no voice mailbox has been assigned on the server. Non subscribers may
be located on site or off site and do not require a telephone set on the premises.
Notification of non receipt:
Delivery option instructing the server to send notification to the sender voice mailbox if the
message sent to another subscriber has not been received within a predefined period. The
interval for notification of non reception is established for the entire system by the administrator.
Notification:
A subscriber can be informed of messages waiting in his voice mailbox. This notification can
be via an LED on the users own set or by an internal or external telephone call. The subscriber
can then validate this notification by call or not.

Octel Centralised Server Administration (CSA):
See CSA.
OctelForm:
Optional application. An OctelForm form comprises a series of questions recorded by the
questionnaire manager. They are distributed to a caller in a given order. The answers to the
OctelForm questions can be obtained verbally via a type 10 voice mailbox or by pressing
the keys on a DTMF keypad telephone set via a type 12 voice mailbox. A type 11 voice
mailbox, called a transcriptor, collects the replies and processes them.
OctelNet:
See network.
Open system mode:
Operating mode allowing non subscribers to leave messages directly in voice mailbox of the
subscriber without calling the subscriber. The non subscriber dials the server access number,
then the number of the subscriber set. The open system mode is a subset of the answerphone
mode.
Ordinary fax (4635H):
Used to send a fax to a subscriber voice mailbox.
P
PBX:
Telephone switching equipment located in the offices of a company and designed to process
incoming, outgoing and internal calls.
Personal distribution list:
Distribution list created in the voice mailbox of a subscriber for his own personal use. This
type of list is used to send the same message to multiple destinations and is only recorded
once. Depending on the class of service, each subscriber can have up to 15 lists, each list
containing a maximum of 25 subscribers. These lists are numbered from 11 to 25.
Port group:
Functional block of access gates. Assigning gate groups is used for selective forwarding to
an attendant when a subscriber or external caller needs help. The gate groups are included
in statistics reports.

Ports:
A port is an access channel to the messaging system. By configuration, the ports can be multifunction or restricted to certain functions. For example, certain ports can be reserved for
incoming calls.

Real-time:
Data processing mode that processes the data as soon as they are received by computer, rather
than storing them for later processing.
Residential subscriber:
Subscriber with restricted functions (usually, the subscribers family) able - with certain
restrictions - to send messages to the host subscriber or receive them on his behalf, using a
special sector of the subscriber voice mailbox. Residential subscribers cannot access other
server functions. The host subscriber listens to the residential voice mailbox messages before
any other messages.
Rotary dial telephone:
Telephone set using numbering by rotary style which does not produce DTMF tones. Rotary dialling
produces pulses corresponding to the number dialled.
Routing:
Sending a copy of a voice message or fax message to another subscriber.

Secondary fax machine:
Substitute fax machine in the case where the subscriber does not want to use the main destination
fax machine. For example, if a subscriber is away on a business trip, he can define the fax
number of his hotel as the fax substitute secondary destination. The choice of secondary fax is
made via the voice mailbox print sub menu.
Selective transmission:
Available with Octel Index I and II. This function allows administrator to define three transmission
levels for a subscriber, application or group. Defined in the class of service, the three levels are:
no transmission authorised (reception voice mailboxes only), transmission authorised in the group
only and transmission authorised to the entire system.
Simplified access in answerphone mode:
Function allowing subscribers to call their voice mailbox in answerphone mode by pressing the
simplified access key during greeting message playback, then dialling the password after the
message guide.

Transfer under supervision:
The server monitors the call to determine whether the called set is free, busy or not answering.
In the last two cases, it will resume control and propose the appropriate options to the caller.
Transfer without supervision (blind transfer):
The server does not monitor the transfer of the call from the caller. If the called set is busy or does
not answer, the caller will just hear the busy tone or the no answer tone or voice mailbox greeting
menu.
Type of message:
There are three types of message: new, archived and delayed delivery.
Type of voice mailbox:
Voice mailbox type established by the administrator in menu 8. The type of voice mailbox
determines the mailbox function.

UCS:
PBX device for passing calls to a hunting group in a cyclical manner, so that each line receives
approximately the same number of calls.

VAT (Value Added Text):
Information added at the top of the fax page, including the fax number, date, time and page
number.
Verification of messages not listened to:
Subscribers hear a message guide which prompts them to listen to new messages that they have
not yet listened to, when they access their voice mailbox.
Voice mail mode:
General messaging system functions allowing all subscribers to exchange messages or information
with other subscribers without being in direct telephone contact. During the same server call,
subscribers can send messages, listen to messages sent by other subscribers or left by external
correspondents, answer messages and send copies of messages to other subscribers.
Voice mailbox:
Place for voice mail and fax message reception and storage on the server. A voice mailbox
allows subscribers to receive and exchange messages without being in direct telephone contact.
Special type voice mailboxes support special functions (see chapter 4).
Voice processing:
Technology used for recording and storing audio messages for subsequent retrieval. Voice
processing uses a telephone network established as communication means to exchange
information between system users. In voice processing, the telephone is the entry point to the server.
