Chapter I

Introduction
Technology is the most important advancement, a necessity in bringing about
progress as we move along in this computerized world. This is the base of all the
study to where help the improvement or development of the technology itself with the
traditional technology people incorporate the process with some manual work. It
requires more effort which makes it slower than it supposed to be.
Traditionally, library systems are implemented manually. Forms are given to
Librarian and they fill them of using pens. Afterwards, the school administrators
process them manually and complied on large bulky file cabinet. Indeed, the manual
Library system is very costly, time consuming and tedious. While on modern
technology it is faster, more accurate and reliable.
The modern technology offers advance system where makes the job easier for
the end user. Also it accommodates the present or better the future needs of an
individual or a company. Technology today has made life easier and better. As we
look at the technologies, these are all great but we already that all of these have a
disadvantage to our lives so please use it carefully and think of it what is can cause
to you or to the other people.
We already met the changes of the technologies and it became stronger and
upgradable, some of our technologies are great example, cellphones and computer
they continuous enhance and enhance to limit their boundaries. We can say that our
world today is upgrading and it cannot stop because of the developers around the
world, so the modern technology now is can help other people what they wanted as
long as the technology can do it.

Background of the Study


Library Management System is a library management software for monitoring and
controlling the transactions in a library. It is designed to meet the need of all
information seekers. This project focuses in providing complete database for the
library which will help to minimize the duplication of data, get rid from manual filling
system and it makes the processing of data very easy without waste of time.
Library Management System is also a software application to maintain the
records related to book purchase, stock maintenance, book search, catalog, book
issue, book returns, fine collection, and all necessary requirements for the Library to
manage day to day operations. The goals of this project are to define entities,
attributes and their relationship to create a database that can be easily manage by
admin. This aim to develop a system that can manage the transactions in a library in
an efficient and effective way.
An efficient computerized library management system will enhance the
effectiveness of the library. A good library management system should enable
librarian to manage library resources in a more effective way to save time and effort.
This system helps the librarian to manage a library in easy way & it avoids all types
of human mistakes. Students can also easily login & access books, according to
their requirement.

Statement of the Problem


The case study titled Library Management System is library management
software for the purpose of monitoring and controlling the transactions in a library.
This case study on the library management system gives us the complete
information about the library and the daily transactions done in a library.
We need to maintain the record of new books and retrieve the details of books
available in the library which mainly focuses on basic operations in a library like
adding new member, new books, and updating new information, searching books
and members and facility to borrow and return books.

It features a familiar and well thought-out, an attractive user interface, combined


with strong searching, insertion and reporting capabilities. The report generation
facility of library system helps to get a good idea of which are the books borrowed by
the members, makes users possible to generate hard copy.
The following are the brief description on the functions achieved through this case
study:
End-Users:
Librarian: To maintain and update the records and also to cater the needs of the
users.
Reader: Need books to read and also places various requests to the librarian.
Vendor: To provide and meet the requirement of the prescribed books.

Objective of the Study


General Objective
To create and develop a computerized library system in National University.
Specific Objectives

To have a library management system that will show the

books borrowed and their due dates.


To create a secure log in tool for the librarian, and the

assistant librarian according to their purposes and needs.


To create a file maintenance module that can add, delete and

update books and or students information.


To quickly search the book needed by the students.

Significance of the Study


The system will benefit the following in some aspects:
To the Students. The system will make it easy for the students to know if the
books they want to borrow is available in the library. And later on they will be

reminded on the due date of their borrowed books and be updated of the fine they
have to pay in case of late return.
To the Library Personnel. It will lessen the time for them to have the list of
those students who havent return the books yet. By then they are enable to monitor
the available books and have the necessary details for the school library.
To the University. The library management system is to provide quality data in
the university in a timely fashion through systems that are completely integrated.
This will provide opportunities for operational efficiency.
To the Future system developer or researcher. This system might serve as a
reference for them to conduct their project and solve their problems.
To the Developer and Researcher. This project will enable us (developer and
researcher) to enhance our knowledge and skills in studying, proposing and
designing a system.

Chapter II
This chapter summarizes ideas that were given by past researchers. A
synthesis of those ideas has carefully been done and where possible a comparison
was made. The literature was reviewed in line with the objectives of the study.

Foreign Literature
Library Systems
According to Stephen, Maeve & Philips (2007), in a traditional sense, a
Library is a large collection of books, and can refer to the place in which the
collection is housed. Today, the term can refer to any collection, including digital
sources, resources, and services. The collections can be of print, audio, and visual
materials in numerous formats, including maps, prints, and documents, microform,
CDs, cassettes, videotapes, DVDs, video games, e-books, audio books and many

other electronic resources. The places where this material is stored can range from
public libraries, subscription libraries, private libraries, and can also be in digital form,
stored on computers or accessible over the internet. The term has acquired a
secondary meaning: "a collection of useful material for common use." This sense is
used in fields such as computer science, mathematics, statistics, electronics and
biology. They add that, a library is organized for use and maintained by a public
body, an institution, a corporation, or a private individual. Public and institutional
collections and services may be intended for use by people who choose not to or
cannot afford to purchase an extensive collection themselves, who need material.
In addition to providing materials, libraries also provide the services of
librarians who are experts at finding and organizing information and at interpreting
information needs.
According Robertson (2007), libraries often provide a place of silence for
studying, and they also often offer common areas to accommodate for group study
and collaboration. Libraries often provide public facilities to access to their electronic
resources and the Internet. Modern libraries are increasingly being redefined as
places to get unrestricted access to information in many formats and from many
sources. They are extending services beyond the physical walls of a building, by
providing material accessible by electronic means, and by providing the assistance
of librarians in navigating and analyzing tremendous amounts of information with a
variety of digital tools.

Disadvantages of Manual Library Management System


According to Burke (2007) Manual Library Management systems, operating
systems are vulnerable to human error. For instance, a librarian who misfiles a
borrower's records or indexes a book incorrectly slows down the process and wastes
students' time. Manual systems are also slow to operate. Instead of using a
computer to issue and take back books, locating and updating a card index is slow
and laborious. Manual systems are unable to store large amounts of data efficiently.
With manual systems Librarian spend a lot of their time on mechanical, clerical tasks
rather than liaising with library visitors.

Requirements of an Electronic Library Management System


Roitberg (2000) asserted that key requirements are manpower, technical
support, organization and management, hardware, software, networking, training,
etc. Determination of specific capacities is beyond this project.

Local Literature
According to Eden (2011), views that most libraries are forced to work with fewer
staff because of the having a more improved and modernized system for their library.
According also to the study, the library administration need to emphasize to their staff
that the organization has a vested interest in providing them with the tools and
training they need to assist the organization in the new information marketplace.
These may include search engines, circulation systems, and the online public access
catalog.
According to Lopez (2002), University of the Philippines Mindanao when UP in
Mindanao accepted its first batch of students in 1996, the Main Library collection was
integrated with the core collection of the School of Management (SOM) Library at the
Stanfilco Bldg., Ladislawa Avenue, Buhangin, Davao City. The Filipiniana and
General References were housed together with the College of Arts and Sciences
(CAS) collection in Room 2 of the Philippine Coconut Authority. In the Second
Semester AY 1996-1997, the CAS Library moved to its main campus in Bago Oshiro.
Upon the recognition of UP in Mindanao by the Board of Regents (BOR) as a
constituent unit (CU) of the UPSystem, the CAS was split into two (2), namely:
College of Humanities and Social

Sciences (CHSS) and the College of Science and Mathematics (CSM). The Main
Library transferred to the newly renovated building where the main collection was
set-up beside the books of the CHSS and the CSM. In July 2002, the library
established the Library Educational Media and Information Technology Office
(LEMITO). The LEMITO handles the audio-visual services, internet and the
connectivity of the library. It currently holds office at the Elias B. Lopez Hall
Dormitory. Later, the Main Library collection which grew from 100 titles to 6,191
volumes at the end of May 2004, and was transferred to the Administration Building
today, the Main Library occupies the former UP in Mindanao Cultural Center
(UPMCC) building.

Foreign Studies
According to Charuasia (2010), connotes the term library with use of automatic
data processing machines to perform routine library activities. It implies a high
degree of mechanization of various routine and repetitive tasks &operations and
processes are left to be performed by human beings. The study stresses library
automation as the application of computers and utilization of computer based
products and services in the performance of different operations and functions or in
the provision of various services and output products. In addition to computer
advancement, telecommunication and audio-visual technologies gives away to new
possibilities in information processing.
According to Back & Bailey (2010), explored the design space of mash-up
techniques for the faultless inclusion of information from Web services into websites.
They considered the cases where an Online Public Access Catalog (OPAC) is either
the target of such addition or the basis of the information being included. They

focused on client-side techniques in which each users browser contacts Web


services directly because this approach lends itself to the creation of HTML widgets.
The widgets allow the integration and customization of Web services without
requiring programming. They also described in detail the functionality and use of
several widget libraries and Web services we built.

Local Studies
According to Lou (1986), a survey on the computer application in 223 libraries in
Metro Manila. The study revealed that they prioritize the three library functions to be
computerized as cataloging, indexing, and circulation. However, the plans for
automation for the libraries cannot be implemented due to financial incapability of the
libraries, and the lack of funds from the government. Despite of this drawback, the
libraries are not turning their backs unto the automation of their libraries.
According to Agena (2008) made a study about the collection usage of the
students of the Jose Rizal University in a period of three years using the quantitative
and qualitative approach. The goal of the study is to assess the usefulness of the

faculty of students to their library and it been revealed that it is generally important
for them to go to the library for their academic needs.

Chapter 3
Definition of Terms
Authority files
Lists of preferred headings in a library catalogue, which are maintained and applied
to new items to ensure consistent access..
Authority record
The authoritative form of a heading used in a library catalogue for names, series,
subject etc and assigned to new items as they are added to the library collection.
Authority records are based on cataloguing standards.
Automated library system
An automated library system (ALS) is another name for Integrated Library System
(ILS) or Library Management System (LMS).
Back-up
A procedure or device to make copies of data, which may be used to restore the
original after a data loss event from the server or hard disk.
Cataloguing
The process of creating a bibliographic description, including subject headings and
classification numbers, for resources being added to the library collection. Details of
resources are recorded as catalogue records on the librarys Integrated Library
System (ILS) providing access for all users.
Circulation
The systems used to issue and return items from the librarys collection.

Client
When used as a computing term, client is a software application or system that
accesses a remote service or server on another computer system by way of a
network.
Clipboard
A temporary storage location on a computer where cut or copied material is held until
it is pasted into another location.
Copy cataloguing
The process of locating an existing catalogue record for the resource to be
catalogued and making a copy of that record, often by downloading it into an
Integrated Library System (ILS).
Data conversion
The process of translating data from one form to another, usually from card to
machine-readable format, or from one library software package to another.
Database
Collection of records systematically stored on a computer.
Dewey Decimal Classification (DDC)
Dewey is a classification system that organizes books on library shelves in a specific
and repeatable order that makes it easy to find any book and return it to its proper
place. The system is made up of ten main classes or categories, each divided into
ten secondary classes or subcategories, each having ten subdivisions. DDC has
been adapted for use in school libraries.
Download
The process of copying a file from a remote computer to your computer, e.g. copying
a file of catalogue records from SCISWeb to your computer.
Drive
A partition of the computer or server where files can be saved or retrieved, e.g. C
Drive, H Drive, Hard Drive.
Export
To convert a file from one application format to another, or to move data out of one
file with the purpose of importing it into another file.
Integrated Library System (ILS)
A library database system, which facilitates the organisation, management and flow
of information across an organisation. An ILS usually comprises a relational
database, software to interact with that database, and two graphical user interfaces
(one for staff, one for borrowers). Integrated modules include cataloguing,
circulation and Online Public Access Catalogue (OPAC). Also known as Library
Management System (LMS).
LAN (Local Area Network)
Networks, which cover relatively small areas.

LMS (Learning Management System)
An LMS is a software application for the administration, documentation, tracking and
reporting of self-paced, e-learning courses. Includes features for online collaboration.
MLE (Managed Learning Environment)
A managed learning environment (MLE) is a collection of software tools and digital
content that supports learning. Three of the main software tools are the Student
Management System (SMS), the Learning Management System (LMS) and
Integrated Library System (ILS).
OPAC
Online Public Access Catalogue (OPAC). The user interface of an Integrated Library
System (ILS). Borrowers search the library catalogue to locate books and other
materials.

III. Description of Method

WATERFALL

The waterfall model is a popular version of the systems development life cycle model
for software engineering. Often considered the classic approach to the systems
development life cycle, the waterfall model describes a development method that is
linear and sequential. Waterfall development has distinct goals for each phase of
development. Imagine a waterfall on the cliff of a steep mountain. Once the water has
flowed over the edge of the cliff and has begun its journey down the side of the
mountain, it cannot turn back. It is the same with waterfall development. Once a phase
of development is completed, the development proceeds to the next phase and there is
no turning back.
Description
Requirements statement of work(SOW) contract is created all approvals and signature
collected. Also the functionality matrix is constructed

The proponents gathered all information through interview the librarian includes
the company profile system flow chat (borrowers record book reference slip) and
their facilities.

bug fixes.

The development of the final system will be based on the prototypes. The
proponents have chosen the following in developing the proposed system

Test to implement the proposed system to the client/company.

The final system will be deployed and implemented in the Drummond light
Academy the system will involve by the admin which is the librarian and the
student

Maintenance

The proponents will be in charge for the enhancement of the system.
