1 – SCOPE
This procedure is aimed to define the parameters of EKPPT Project design and construction
documents set up with AUTOCAD software version 2004 and ulterior.
It defines the minimum parameters that have to be set up in the software, so that the documents
established by the different designers and work entities involved in the EKPPT Project are coherent in
between them, and have uniform appearance from conception to archiving.
The numbering, filing, issuance, approval and transmittal process of those documents are defined in
the following associated procedures:

3.1. DRAFTSMAN
Any draftsman involved in the Project in CJV structure, Allocated works structure, or
Subcontractor’s and Designers.

The graphic files are in format AutoCAD version 2004 (or ulterior) in English, with a DWG
extension.
All drawings shall be made with respect to the ISO standards for formats.
Only ISO A0, A1, A3, and A4 formats shall be used in the EKPPT Project. Any other
different paper such as A1 plus…. etc, will not be accepted.
A specific zone shall be reserved at the bottom part of each drawing for the “Title Block”, which
will be composed of the title and number of the document (according to procedure AKQ G
00002 “Numbering of documents”), and some blocks defining the Originator, the revision and
date, the title of the design, etc.
The “Title blocks” to be used are given as samples according to the format of the document in
Appendix 1 of this procedure. The corresponding DWG files are part of this procedure.

The name of the DWG files for electronic transmission shall be structured following the
common procedure AKQ G 00002 “Numbering of documents”.
The name of the file permits to identify the document completely. It must be written
without blanks, dots or any separator.

Characters 1 to 3 shall always define the Originator and are the same as those
used in the “Numbering of documents” procedure digits,
The fourth (4) character is the separator “ _ “,
The following characters 5, 6, 7….. will be defined by the Originator and will be
explained in the layer’s name table.
The proper name of each layer shall be in English and shall be as short as possible. It
is defined by the Originator (characters 5, 6 etc), but its definition shall be described in
the layer’s name definition table.
Each Originator shall prepare his own layer’s name table which shall accompany every
official submission of design documents. In the layers’ name table the definitions shall
be in English language at least. Non official submission will be accepted without the
proper layer’s name table.
NOTE: All drawings shall be purged of un-used excess layers before saving and exiting.

Characters 1 to 3 define the Originator and are the same as those used in the

The fourth (4) character is the separator “ _ “,
Characters 5 to 7 define the nature of work and are the same as those used in
the “Numbering of documents” procedure digits (example: RDW for road
geometrical design, HYD for hydraulic, TOP for survey and topographic elements,
etc.),
The eighth (8) character is the separator “ _ “,
Characters 9 to 10 indicate the type of view according to the following principles:
− PV for plan view
− TS for transversal section
− LS for longitudinal section
− CS for cross-section
The block name following this prefix shall identify clearly the content of the block
structures information.
For example, a plan view giving concrete structure information (i.e. a bridge) originated
by the designer XYZ shall have the following name:
In both cases, the angles are oriented according to the trigonometric direction (counter
clockwise).
All cartouches and frames are placed in the “paper space” (TILEMODE = 0).
All the rest shall be placed in “model space”.
All XREF insertions shall be made with X, Y = 0, 0, scale=1, and angle according to
general CSU.
XREF names must always begin with an X and be inserted in the drawing under the
same block name.
A recapitulative table shall be part of the drawing and define the XREF used.
4.4.6 – Blocks
All blocks shall be created only on layer 0, and be composed of simple entities.
It is strongly advised to use only three pen thicknesses, each one being more or less
the double of the preceding. For instance, 0.18 mm, 0.35 mm, and 0.7 mm with an
additional thickness of 1.2 mm for exceptional cases.
The contour of each hatched zone shall be placed on an inactivated layer in order to get
it easier if necessary.
4.4.9 – Colors
Colors used shall be chosen so that the result is correct on paper even for monochrome
print.
Specific use of color for specific layers could be defined on a later revision of this
document.
- Levels are expressed in meters with a three (3) decimal precision and with the “ - ”
sign in front when necessary. Example: 10.345. The reference level must be shown or
referred to in the drawing.
- Angles or grades or slopes are expressed with at least two decimals or more when
required.
- Arrows for slopes shall be quoted according to the following principles:
• Descending: arrow in the descending direction and text of type:
“slope 3.50%”
• Ascending: arrow in the ascending direction and text of type: “ramp
3.50%”
• Embankment: line with text type: “Embankment 2/1”
(2= horizontal distance, 1= vertical distance). If different, it
shall be clearly stated (e.g. 1 = horizontal distance).

The saving shall be done in the general UCS (User Coordinate System) with a zoom to the limits
of the zone to be printed.
If the document has a “paper space”, then it shall be saved in this space in the general UCS and
in extended way.
It is important that the saved drawing corresponds exactly to the part that is concerned. It is
completely forbidden to save several times the same document with different document
numbers and change only the part to be printed.
It is compulsory that the DWF file that is created is exactly the same than the Hard
Copy transmitted document (XREF visible).
The DWG file must be saved using the "e-transmit" Autocad command that creates
automatically, a zip file including the DWG file and all the others files linked to the drawing (e.g:
Xrefs, plot style table (ctb or stb files), images, fonts and line types...).

It is recommended to have the same size for Xref and dwg, so as to minimise the weight of dwg
electronic file with useless Xref. So it is important to cut Xref to reduce the size of the file.
In case of road design and more generally of linear project design, the drawing file (DWG file)
shall concern a complete area, figuring completely in the model space of the DWG file. For
easiness in this project a complete area should be a Geographical Unit.
This drawing (DWG file) shall be treated as an XREF file and have its own number. It shall be
registered in GESDOC only electronically.
It is strongly advised to create the XREF files of a drawing by keeping them in the same
repertory than the drawing (same root) in order to ease the future opening of XREF files by
future users of the Document Storage System.
In this DWG file, the different layouts shall be treated as independent documents, each one of
them having its own number (reference) and its own proper printing file (DWF). They shall be
exactly the same than the Hard Copy transmitted documents.
The DWF files and corresponding Hard Copy documents will be the Contractual Reference
documents regarding dispatching, reviewing, and approval. They shall be the reference for
construction.
The DWG file will be used for working purposes. It will be the particular user’s responsibility to
verify the status of this file when used.
When presenting a complete study (file of drawings and other documents) for review, or
approval, it is possible to reference it as a separate document by using the Document Type FIL
in block 1 of “Numbering of documents” procedure.
Physically, this reference will only correspond to the Box containing the documents, or just a
front page, but it could eventually be used as representing the totality of the documents
included in (if needed).
Ideally, the XREF DWG file given for working purposes and representing a GU can be registered
as FIL type document and contain only the electronic DWG file.
NOTE: After the creation of a drawing in another program (e.g. ODOS) and its conversion to
Autocad, the “recover” shall be performed by the Originator, if needed.
