ATTENDANCE SOFTWARE PROJECT

1. INTRODUCTION (EXISTING SYSTEM)

Attendance is the concept of people, individually or as a group, appearing at a location for a


previously scheduled event. Measuring attendance is a significant concern of many organisation ,
which can use such information to gauge the effectiveness of their efforts and to plan for future
efforts or in other words it is the act of being present at a place for example , at work . it is the
record of employee how often an employee comes to work , if the employee follows the schedule ,
number of hours worked by the employees and so on .

When the first employee time clock was invented in 1800s, its only purpose to record the time of an
employee entered and left the factory. This mechanical employee time clock would stamp day and
time information on a thick paper card , hence the name ‘time card’ . This first time card gave the
factory owner an actual record of the hours worked by each employee. This protected the business
owner by making sure employees worked the numbers of hours they claimed and protected
employees by making it much more difficult for employees to cheat them out of their wages.

Basically it enables an employee to monitor their employees working hours and late arrivals , early
departures , time taken on breaks and absenteeism.

1. Components of existing system


 LEAVE MANAGEMENT :
Attendance machine was not advanced as compare to today. there was no option for leave
application. So if any employee in an organisations wants any type of leave it can be either
sick or casual then employee will have to submit the application to their reporting head.
there was no option for emergency. Anyhow if any employee failed to submit the
application then they have to pay for it from their salaries.

 PAYROLL MANAGEMENT :
According to previous attendance system, number of days present by the employee was
already calculated from which hr can easily calculate the salaries of each and every
employees but this manual process takes long time with no accuracy .

 TIME MANAGEMENT :
Manual attendance processing lacks tracking of employee presents/ absents & actual
working hours . We provide you a platform where monitoring of real time attendance is
possible. According to the organisation, there is a fixed working hours for each and every
employee. This can be 8 hours or more and is based on the company practice and labour
laws. this may be termed as shift hour, once the work shift is defined , while working ,
employees follows the scheduled in and scheduled out. The actual time at which the
employee starts work is the check in time and the employees ends work is the check out
time.

 EMPLOYEE SELF SERVICE :

There was a large gap between the employee and management ; i.e the workflows of
reporting managers & their team members . we had to came a long way to reach any type
of works i.e give access to their employee & apply leave manually, their attendance ,
approvals from their reporting manager for late coming/early leavings , view total earning
for any month , download salary slips , view expenses. it was also difficult for Managers to
schedule & manage shifts of their team manually.

 DBMS :
Before Attendance software, a specific employee had the duty to maintain all the records of
each and every employees in a company .
It also defines the designations of each employee with their grade and post which shows
their responsibilities and works. It was difficult for the person to maintain all these old
records.

2. Limitation:

 We had to struggle with spreadsheets & documents, manage all our employee data
at one place . Such as if any employee wants any type of leave then employee will
have to submit a written application to their reporting head.
 Manually every process takes a lot of time for doing any type of works.
 The speed of doing any work from a specific person was too slow as compare to
software.
 Before attendance software, such type of works like apply leave manually, download
salary slip , view expenses or some other reports done by their own methods at
different places. So maintain these things were also very difficult at that time.
 We can also find error as well. The works which was done manually can’t be so
accurate as compare to software .

3. Objective :
