Summary
The objective of this document is to assist consultants in setting up the Early Warning
System (EWS) Functionality in SAP Materials Management. The business process flow
and the required settings are discussed in this document.

Prerequisite
The basic knowledge of SAP MM is required to make use of this document in real
practice.

Overview
The Early Warning System is based on the key figures of the Logistics Information
System (LIS) and can be used for all applications in Logistics. It is enables us to search
for exceptional situations and in this way helps us to detect and rectify potential problem
areas at a very early stage.
We can define these exceptional situations in the form of Exceptions. If you would like to
monitor the warehouse stocks. You define an exception which shows the materials with
a stock of more than 100 pieces (For Example). With the aid of a workflow, you can
define a process to inform the responsible MRP controllers, whenever stock will go down
to 100 Pieces.

Purpose
The aim of this document is to provide an understanding of the Early Warning System
(EWS) process in SAP Materials Management.
Early Warning System is particularly suitable for monitor the stock of any material or
group of materials at regular intervals.
Decision-makers can use the Early Warning System to make specific selections in
accordance with their own information needs, and also to monitor weak points in the
area of Logistics.
EWS Settings
Chose the Menu Path as seen in the screen and based on the module select the sub
menu for the module
Select respective Module and in each module there is an Early Warning System.
Go to Menu Exception under Early warning System and chose Create
Give a meaning Full name and description for your exception and select an Info
structure. Under each module there pre defined info structure chose the relative
structure and press ENTER
Chose the Option Characteristic, you will get the predefined characteristic here.
Select the characteristics for which the Exception is to be fired.
The selected Characteristics are displayed. For each of the characteristic
selection can be made here. For example I have selected Plant & material.
For each of the characteristic here you can maintain the required values.
For each of the characteristic you have to maintain the required value.
Click on icon requirements. Requirements are used for giving the numeric
values against the characteristics
Select the required Key Figures from the given list
The Selected key figures appear here. For example I have selected Total stock.
For each of the selected key figure some threshold values are to be given.
After Completing the key figures selection and assigning the suitable threshold
value to trigger a mail whenever stock goes down to specified value, select the
Follow-Up Processing.
Select ‘active for periodic analysis’ check box, if you want to have a periodic
analysis.

Select the check box of ‘send mail to’ & mention here the User id of MRP
Controller or Inventory controller in order to send a mail for execution of the
exception.
This menu is selected only if you want to have a periodic analysis.
Go to transaction MCY7 & press create for creating a variant for the exception.It
will call a screen, just give a meaning full name and save.
Schedule is used for scheduling the exception in background.
Go to transaction code MCYB & select the Option Schedule.
Select the required options for the scheduling the exception in background. After
running this exception in background, system will trigger mail to defined user on
the basis of defined threshold values.
