Reference and Recommendation Letters

Business Reference

A business reference is a recommendation provided by a client, vendor or other


business associate or contact.

A reference can be provided for employment, to recommend the business or the


individual who is being recommended to other clients, or, in general, to provide
an endorsement of a contact for business purposes.

Professional Reference

When you're searching a job, seeking a promotion, growing your career, or


expanding your business it is important to have professional references. Those
references should be able to vouch for your skills, abilities and qualifications as
they relate to the jobs you apply for.

A professional reference is typically a former employer, a colleague, a client, a


vendor, a supervisor or someone else who can recommend you for employment. 

Reference Letter Format

Salutation

If you are writing a personal letter of reference, include a salutation (Dear Dr. -----,
Dear Mr. ------, etc.). If you are writing a general reference letter, say "To Whom it
May Concern" or simply don't include a salutation.

Paragraph 1
The first paragraph of the reference letter explains your connection to the person
you are recommending, including how you know them, and why you are qualified
to write a reference letter to recommend employment.

Paragraph 2
The second paragraph of the reference letter contains specific information on the
person you are writing about, including why they are qualified, what they can
contribute, and why you are providing a reference letter. If necessary, use more
than one paragraph to provide details.

Paragraph 3
When writing a reference letter referring a candidate for a particular job opening,
the letter will include information on how the person's skills match the position
they are applying for. Ask for a copy of the job posting and a copy of the person's
resume so you can target your reference letter accordingly.

Summary
This section of the reference letter contains a brief summary of why are you are
recommending the person. State that you "highly recommend" the person or you
"recommend without reservation" or something similar.

Conclusion
The concluding paragraph of the reference letter contains an offer to provide
more information. Include a phone number within the paragraph, include the
phone number and email address in the return address section of your letter, or
in your signature.

Who to Ask for a Reference

Who you ask to give you a reference will depend on your personal and
professional circumstances. It's important to be sure that the people you choose

to recommend you are willing to give you a good reference. You might be
surprised that this isn't always the case. That's why it's important to check before
you use someone for a reference - you want to be sure that there isn't anything
negative in what they have to say about you.

If you haven't worked before or if you have been out of the workforce, you can
use character or personal references from people who know your skills and
attributes as an alternative to professional references

What to Include on a Reference List

Your list of references should include at least three references, along with their
job title, company, address, phone number, and email address.
