(ADM) Module on Organize for Fitness and Health!

This module was collaboratively designed, developed and reviewed by

facilitator in helping the learners meet the standards set by the K to 12 Curriculum
while overcoming their personal, social, and economic constraints in schooling.

7 Health!

What is It

Organizing a sports event provides enrichment among the younger


generation nowadays where most of them engage in the use of gadgets,
computers and other physically immovable activities. However, organizing the
sports event needs to target the health issue or concern to meet its purpose
and to achieve its learning outcomes.

Developing Instructional Activities:

The Ministry of Education in Columbia has started the observation and


suggested a framework to guide the learners from establishing event suitable
to individual health needs and preferences.

How to organize sports event for a target health issue or concern?

1. Determine your purpose.

Setting your goals is the most important and primary aspect in planning.
It will give guidance to meet your expected outcome.

Determining the purpose will give focus and direction to what you want to
achieve. It will align every detail of the plan on functioning according to what is
projected. Unnecessary matters will be eliminated and will give a smooth-sailing
flow of movement. Uncertainties may occur, hence, the value of its purpose will
lead you back to its primary position.

Knowing each element of the plan can help you strengthen the purpose.
Choosing what is essential and putting what is surprising will give a success to
certain activity. Charm, fame, money and influence are additional package yet
the more leading is the best thing that one can get and satisfy.

2. Listing out things.

Sport event management must qualify every little thing that is needed.
Running a sport event must afford every tiny venture to avoid mishaps and
anxiety. Each committee must provide listings to enable the availability of the
things needed and offer a suitable sports event. It will also minimize the time and
effort to work and look for things. Expenses will also be limited. It will avoid
procuring needless materials and unsolicited positions. Here are some examples
of the list needs to consider in a sports event.

 Captains, Timers, Referees


 Types of Uniforms
 Franchises
 Sports Equipment/Materials
 Soundsystem/Lightings
 Fees for venues
 Sanitation Facilities
 Security/Medics
 Staff
 Media/Press
 Insurance (if possible)

3. Allocation to meet the budget.


After configuring the listing, determine what is essential to secure. A
fixed budget is going to have to extend to make things work. First things first
and prioritize what should be given the most priority. Use the listings. Manage

to meet the staff and committee of the event. Let each committee scheme the
best significant utilities.

Then, as you have picked the most essential among the listings, the
allocation of funds will be specified accordingly. To foresee the event, will lead
a truthful assumption to what is going to happen in the event.

4. Prioritize the venue.


Outdoor Events
Dealing with outdoor events is a crucial yet satisfying activity. Spacious
and convenience creates an outdoor event more fun and exciting.

However, outdoor events must be given an alternative plan. The


weather condition must be given a big consideration. The setup of the sound
systems and the lightings and even the camera system should be planned
ahead. There is closed venue such as an arena or complex where outdoor
events can be arranged. Still, it must be prepared ahead of time. Reservations
are expected and fees, charging for it.

Indoor Events
Indoor events are just the same with outdoor events. The preparation
may be diminutive yet the availability of the place is also limited. Setting up
ahead of time should be considered.

5. Foods are life-saving.


The partnership can help to abate the load of expense. Many local food
caterers or stalls will take at the chance to supply to such a large audience,
since they are also profitably benefit on it. This will lessen your budget
allocation and preparation of procurement. The registration to sell in the event
will also add up to the fund. After all, the opportunity to serve at your event
is a big business opportunity.

6. Marketing is part of the plan.


Promoting a sports event needs effort and presentation. In modern
days, there are different platforms where promotion can be employed. Here
are few platforms where you can market the event promotion:

Local Partnerships
Local partnerships can be certain to places where a lot of people come
and go. They can also be part of the event. This is also a give and take
condition where each party will benefit.

Social Media
Filtering your target market can now be made in social media
platforms. Facebook, Instagram, Tumblr, Messenger and Twitter accounts can
be an aid to narrow down your target qualified audience. There is a group page
where interested people can be found. Posters and streamers can now be
possible without spending amount of money and can get people closer without
having a close contact with each other.

Email
Email serves as a long-term process of interaction. It may take a while
to reach your catered audience, yet it can go even to the farthest place. For
primary event you are not required to use such, but in an annual sports event,
this platform is a useful source to seek and reach the enlisted former
participants.

7. Interact with the community.


Seeking the assistance of the community may serve as a good comfort
to sustain proper connection to the people and the environment. The possible
connection to sustain friendly environment to charm to every guests and
participants. Appropriate designation of contacts is a brilliant basis to achieve
success in a sports event.

8. A good eye for sponsors.


Sponsors make the event possible. They are the most essential
ingredient in every event, whether you’re planning a competition, a charity
game, or something related to it, sponsorship is an archetypal piece of the
sports event managing. Here are a few keys to a jetty reaching of sponsors and
getting the most out of the organization:

 Get the loop – Cast your loop and reach the wider and the longer it could
get. Look to your possible sponsors. Big or small, can be a huge support.
 Get innovative – Sponsors can fill in every blank space. Ask and you
shall receive. Be straight to request. Hesitation is a “no, no”.
 Facsimile – Sponsors who already funded the same event as you are
organizing can be very easy to ask for the needed resources. It will be easy
for them to understand the potential needs of the event.

9. Consult with a legal expert.


Safety measures implicate security. There are uncertainties that may
occur during the event, particularly in sports. Do not let into reservations that
could lead to trouble by seeking worries to liabilities. Having such waiver and
element of black and white paper in consultation with the legal expert, this

will be the organization’s shield to attain rightfulness and common
understanding in an organized sports event.

Remember, a wise man once said, “while we’re on the subject of injury: Make
sure to have a first aid kit (or a medic for larger events) on hand.”

10. Free is an easy help.


Volunteers are good outsource to make the event less expensive. Since
every moving individual needs to have been paid to work yet volunteers can
do it committedly because of passion and willingness. Sports event for charity
or school organizations can easily find volunteers. Parents can serve as
volunteers. They don’t demand time as long as their children are part of the
event. They even share money and effort to make the event worthwhile.

11. Prize Insurance.


Insure your event, yet, little did we know that prizes can be insured too.
The prize indemnity insurance, also known as “Hole-In-One” insurance. The
typical prize insurance is 3 to 15 percent of the prize value. This can be
possible in a large scale event where prizes are at stake.

“Prize indemnity insurance is indemnification insurance for a


promotion in which the participants are offered the chance to win prizes.
Instead of keeping cash reserves to cover large prizes, the promoter pays a
premium to an insurance company, which then reimburses
the insured should a prize be given away.” (Wikipedia)

12. Spreading the news.


Coverage During the Event
To be known, media coverage has a greater role. Stories, word of mouth
is your top wager for rising each and every year. Starting with the basics such
as school papers, local news broadcasting can bring it all to distance. It can
help to record the ‘what about’ of every game in the event and can make
possible comparison year over years. This will also serve as reference for
advancement.

Pre-Event Coverage
The event editors can give guidelines to let the event be announced and
promoted. In local event, writing and editing makes the usual news. The usual
announcement is based on how local editors are applying such rules or format
for an event to be advertised.

13. A referee is not free.
Sometimes in the event game, everyone wants to play a role. Especially
if they are treating to win their bet team. The sports event that each involve
individual seems to know every rule which they just assumed for the benefit
of their winning team. Remember that the referee has the last say, but it
should always be an expert. Don’t let the budget be conical just to save
expenses when you are actually losing the value. Integrity and trust must be
imposed in sports event.

14. Map it all out.


Before the big day, calling all out the involved personnel must be
realized. It is a must that everyone involves should be looking in just the same
screen. There must be the do’s and don’ts that everyone should know and
understand. The blueprint of the event should be known. This will smoothly
run every detail and will give a sure success in the event.

Success is just the outcome. Following the golden rule and becoming
positively to all your plans is the armor of great success. But as long as you
keep these tips for sports event management and do it the same way as its
expected, you’ll be in calm and confident no matter your event purpose.
