General Business Activities:

Annie’s sweets and pastries is an online-based bakery store located in Apugan,

Irisan, Baguio City Philippines. The business can cover around La Trinidad , Tuba and

Baguio City and they can be contacted by the means of their Facebook account and

phone number. They sell products such as fruit pies, tarts, cookies, cupcakes, cakes and

cheesecakes. Their best selling product is the assorted flavored cheesecake. In terms of

service, they provide catering service and house to house service. As of now the business

is in good condition and is gaining an average of Php1, 500 a week.

Background and development:

Mrs. Angaga started baking as a hobby in the year 2017. Later on, she got

pregnant and decided to resign from her work to take care of her son. Due to the

increasing expenses in the family, she decided to start baking goods and selling it to her

neighbors and her friends. To further increase her knowledge and enhance her skills, she

took a vocational course in Cookery at Chets Academy Baguio City, Benguet on April

2018. The first service opportunity of the business began with the delivering cookies

cupcakes and sweets in school canteens in 2018. She then decided to enroll again for

Bread and Pastry NCII on April 2018 in the same culinary school she went before. Thirty

Thousand Pesos was the total capital of the business. This includes the equipment and

ingredients bought. In 2019 they decided to sell cakes which make their business grow

more.

“To be the sole provider of satisfaction for every sweet tooth with the products of

Annie’s Sweets and Pastries in Benguet province.”

Vision of the Company:

“Annie’s Sweets and Pastries will continue to bake the finest goods, served with

happiness, one order at a time.”

Business Rules

Since Annie’s Sweet and Pastries is a Sole Proprietorship business, the business rules are

only limited to the owner/baker. In addition, the products of Annie are homemade giving her the

freedom to do the things she wants with her business. But certain rules and regulations are being

strictly followed by Annie.

These are:

 Products that are close to its expiration date must be sold first and expired pastries must not

be sold to customers and must be disposed of.

 Ingredients’ expiration date must be strictly observed and make sure that no ingredient will

be put to waste.

 Proper dress code should be followed. Using a hair net, face mask and hand gloves is a must.

 Products made must be well refrigerated to extend the product’s shelf life.

Business Operations

The customer will request an order personally or through phone, then after that the

worker will list their desire orders and then do a confirmation for their finalize order. After that

they provide a schedule or processing time for customer order. If the customer agrees, they will

process the product immediately. When the product is finish, they will update the customer and

tell them that their order is ready to pick up. They’ll wait until the customer will arrive. Once the

customer see the product and feel satisfied, they will give the receipt to the costumer and then

accept the customer fee. The owner also accepts a refund, if ever the customer has a problem or

isn’t satisfied to the product.

CHAPTER II:SYSTEMS ANALYSIS

Problems Statement

 Limited Audience

The company’s means of advertisement and promotion doesn’t cater to a big number of

audiences. Moreover, the customers of the business are only limited to the owner’s friend and

friends of friend. The business wastes potential customers and clients, which leads to low

expectancy of profit. Having limited audience may also lead to the downfall of the business for

competitors might be able to take advantage of the business customers. In addition, it would

severely damage the business in the long run for its limited customers will not be enough to

sustain the company’s expenses.

 Absence of past records

The company does not record any present orders. Thus, no records are saved for the past.

The business is not able to compare data for accounting purposes and be able to determine

factors affecting the business’s strengths and weaknesses. The business is not able to undergo

such analysis and it only depends on its constant and stable way of management. No

improvements are being implemented and no further research is done.

 There is no list of orders for the audience to choose from

The business doesn’t have any proper list of options for the customers to choose from.

The customers/audience will not be knowledgeable of what they would be buying. Lack of such

a list would decrease the purchasing power of the customers for they are not able to determine

what they would buy. Moreover, the business would not be able to determine the least and best

product they could offer to the people.

system of Annie’s Sweets and Pastries.

Proposed Solution

In order to provide solutions to particular problems mentioned, the researchers proposed

a system design. The primary concern is to build up a site for the business that would include

the following:

1) The company’s profile, services offered and interactive system that would allow a

customer-owner interaction;

2) Advertisement and promotions that would be a medium to cover a wider scope of

audience; and

3) An administrative system for the owner to automatically record data from orders using

the site. With the proposed system, customers will be able to see the different services

and products that are being offered by the company.

The proposed site will require an IT specialist for a professional build-up of the system. It

will also need various business data that will be used for the components of the site. The system

will be incurring expenses such as indirect labor from the IT specialist and advertising and

promoting expenses that would be included at the income statement of the company. Moreover,

when implemented the expenses would then be compared for the data next month if the proposed

solution would be effective and efficient for the business.

Non-Functional Requirements

A non-functional requirement defines the criteria of a system which includes operation

capabilities and constraints that would help enhance its functionality. In order for the proposed

system for Annie’s Sweets and Pastries business attain its best performance, the following must

be observed:

a) The system shall be able to display a menu at all times to facilitate manual order taking;

b) The system shall be capable of restoring itself to its previous state in case of failure (e.g.

system crash);

c) The system doesn’t require the users to log in, in order to access the site.

d) The system should have a good scalability (e.g. reduce the page load time, number of

errors, time to implement changes, and the cost to update the site);

e) The system should have a Planned maintenance - Changes and fixes on your website or

web content management system (WCMS) - adding new components to your authoring

environment, implementing a new page layout, changing branding elements such as

colors, logos, etc. and so on; and

f) The website should be easy to navigate.

Functional Requirements

Functional requirements specify the behavior or action the system should do. It also

describes the services offered by the system. The following are the functional requirements of

the proposed system for Annie’s Sweets and Pastries business:

a) Sales should be generated every week;

b) It provides audit trailing;

c) It provides easier transaction and communication for both user and owner;

d) It provides a menu where the users could actually choose from; and

e) It serves as an advertisement and promotion for the company.

Scope and Delimitation

This study will focus on improving the system of a particular online-based business

which is Annie’s Sweets and Pastries. Profit Optimization and Data Organization are the main

function of the system that will be put up for the business to utilize. It will only be conducted

within the 3 municipalities: Tuba, La Trinidad, and Baguio City. The duration of the study will

last from March 2020 to May 2020. Data evaluation will use the recorded order information of

the first 20 customers from the system.

Feasibility Analysis

Schedule Feasibility

Set a time for the meeting about the details of the website, some of the topics are; how

will the website look like, how will it operate, how can we make the website easy to understand,

etc... The estimation on how long it will take to create the website is 4 to 7 days; this step

includes designing the website, making the website, and making final changes to the website.

Next is figuring out how the advertisement page will look, what information should be listed on

the website, creating a proper menu and list the steps on how the process of ordering in the

website. The meeting in general will take about a week or more for the details to be finalized and

approved. Finishing the whole system implementation and the time for the staff to adjust to the

new system would take about 2 weeks to a month.

Technical Feasibility

Worldwide retail online sales had already reached approximately $1 trillion by the end of

2010(Goldman Sachs 2011). More than 60% of US online users made a purchase online in 2009

(Forrester Research 2009). Online marketing is still growing up to this day. However, regardless

of the rapid growth in online shopping, many customers indicate that they are unsatisfied with

their online purchase experiences (Luo et al. 2012). Since it is said that a lot of people are

dissatisfied with their experience in online shopping, planning the website will have to be given

more effort so the business will not increase the statistics of unsatisfied customers. Hiring a

professional website designer should be the answer on how to make the website, we will let the

website designer pick what software to use in creating the website, after the details have been

told, the correct software will then be picked by the designer. For the staff, they will be taught on

how the website will work and how to operate it so they can adapt to the new system.

Operational Feasibility

Lately, online shopping has witnessed a remarkable leap forward (Chiu et al. 2014, Kim

et al. 2006, Luo et al. 2012) with sales growing more than 19% a year (Internet Retailer 2011)

and has become an important distribution channel or business model for many companies (Chiu

et al. 2014). Online marketing and selling has been a very huge success based on the studies of

their companies. Since the current system of the business is using pen and paper to record the

sales, and no way to order online, the new proposed system will be the answer to the problems

that the business currently have. The two websites that will be created will increase the

advertising prowess of the business; it will also be able to record the totality of the sales, and the

trends of the amount of sales with respect to time.

The table above indicates the estimated expenses in setting up the new system of

business. It includes the labor fee, website creator software payment and the materials used for

the manual which totals up the amount of Php5, 850.

The table above shows the amount of sales with the implementation of New System for

the first month. It also includes the commission or the amount spent for the system investment.

The total sales are Php15, 350. These values will be used to compute for the return of

investment.

ROI = (Net Profit/Total Sales)*100%

= (Php9, 500/Php15, 350) *100%

= 0.6189*100%

= 61.89%

The return of investment percentage is 61.89%.

Payback Period Computation

The total initial expenditure of the business, including the expenses on the build-up of

new system, is Php 77, 350. The system is expected to require Php10, 000 annually for the

maintenance costs. The expected annual payments from customers is Php50, 000.Thus, net

annual positive cash flows are expected to be Php40, 000.

Payback Period = Total Initial Expenditure/Net Annual Positive Cash Flow

= Php 77, 350/Php 40, 000

= 1.934

Therefore, the estimated payback period of the business is 1.9 years.

Tangible Benefits

 Increased Revenue

- Based from the amount of weekly sales during post-implementation of the newly-

built system, the average amount is around Php 2,375 per week. This is 58.33%

higher than the average income generated by the existing system.

 Productivity Gain and Reduced Workload

- Automated transactions require lesser time and effort than manual transactions. This

would allow the business to cater a larger number of customers since all the processes

and cash flows would be managed and organized by the system automatically.

Intangible Benefits

 Trade Name Promotion and Identifying Partnerships

- Online based advertisement is more functional advertisement system which has a

faster and easiest way to let the people know about your business. Having a

partnership/collaboration to some certain vloggers and bloggers can help to boost the

number of audience.

 Data Accuracy and Information System

- Internet based inventory has a better data accuracy and information system it has a

better management of business information’s and costumer information’s. Also it

keeps track of the past records avoiding discrepancy in the data management of the

business.

The Home tab will serve as the default tab for the customers. It displays some of the

products and advertisements of the business.

The About Us tab displays the background information of the business as well as the

mission and vision of the company.

The Products tab will display all the products and the services of the business in an

organized way using categories. It will allow the customers to choose orders systematically.

Another service offered by the business is the ‘Create your own’ where the customer is allowed

to customize his or her own cake at a reasonable price.

After choosing, the orders will be displayed in the My Order tab. It will allow the

customers to finalize their order before submitting it. This is also where the order will be filled-

up with necessary information that will be recorded as stored data of the system.

CHAPTER IV: CONCLUSIONS AND RECOMMENDATIONS

Conclusions

Annie’s sweets and pastries have not been using any kind of method to record their sales

which can result in a business exhausting the budget; leading to spending more than what is

coming in. Also only few people have known about this business so they only have limited

costumers. Therefore the researchers proposed the Online Website System (OWS) for the

business. After implementation of the new system, the researchers have generated the following

conclusions:

1) Sales generated by the business increased by 58% higher than the old revenue;

2) It allowed the business to cater more customers in a time-efficient manner;

3) Data retrieval was easier, more organized, and more time-saving than the old system;

4) It widened the scope of potential customers through various advertisements and

promotions;

5) Workloads are reduced and the usage of paper materials is lessen since transactions are

already automated; and

6) It opened opportunities for potential investors of the Annie’s Sweets and Pastries online

business.

Furthermore, Online Website System (OWS) also ensured that the data stored will have a

backup in case of any error/corruption that will occur, considering that the area, where the

business is situated, is affected by the rotational brownout within Baguio City.

Recommendations
The study was only limited to the improvement of data organization, order processing,

finance management, and business presentation through the implementation of Online Website

System (OWS) to Annie’s Sweets and Pastries business. Further research regarding the

following is recommended for the further development of the said business:

1) Occurrence of various backlogs and proper website maintenance of the system;

2) Possible cyberattack to the data stored in the system; and

3) Impact of establishment of a physical store of the business to the existing system.
