Time sheets, as tool to capture the time the employee is at work, are collected in batch and then
entered into the payroll database – stored on a magnetic disk.
After the data is entered, data are verified by running an editing software. The same will confirm the
input data by referencing it to the Employee Master File and Cost Center Master File. The inputs are
tested for any clerical and errors. Confirmed errors are then directed to the Error File.
Those edited transactions are updated one by one by a program and then sent back to the Master
Files (Employee Master File and Cost Center Master File) – in accordance with the fields the data
belong.

B. From the diagram above, identify three types of errors that may cause a payroll record to
be placed in the error file.
These errors include (1) Invalid employee number (2) invalid cost centers and (3)
incorrect batch or control – not corresponding with the totals determined by the program.
