“Letter Writing”

Direction : One very functional part of learning English is knowing how to write letters or
business correspondences, so kindly give what is asked.

1. List down the different types of letters and their characteristics

 Formal Letter: These letters follow a certain pattern and formality. They are strictly kept
professional in nature, and directly address the issues concerned. Any type of business
letter or letter to authorities falls within this given category.

 Informal Letter: These are personal letters. They need not follow any set pattern or
adhere to any formalities. They contain personal information or are a written
conversation. Informal letters are generally written to friends, acquaintances, relatives
etc.

 Business Letter: This letter is written among business correspondents, generally


contains commercial information such as quotations, orders, complaints, claims, letters
for collections etc. Such letters are always strictly formal and follow a structure and
pattern of formalities.

 Official Letter: This type of letter is written to inform offices, branches, subordinates of
official information. It usually relays official information like rules, regulations,
procedures, events, or any other such information. Official letters are also formal in
nature and follow certain structure and decorum.

 Social Letter: A personal letter written on the occasion of a special event is known as a
social letter. Congratulatory letter, condolence letter, invitation letter etc are all social
letters.

 Circular Letter: A letter that announces information to a large number of people is a


circular letter. The same letter is circulated to a large group of people to correspond
some important information like a change of address, change in management, the
retirement of a partner etc.

 Employment Letters: Any letters with respect to the employment process, like joining
letter, promotion letter, application letter etc.

2. What are the formats of writing a letter?

There are 3 formats of writing a letter


 Block Format- all elements of the letter are aligned to the left margin of the page in block
format. It has a clean and straightforward appearance. A double line space separates
paragraphs.
 Modified Block Format- differs from block style in that the date, sign off, and signature
lines begin at the centre point of the page line. The first five spaces of each paragraph,
as well as the subject line if one is used, are indented five spaces. Paragraphs may be
divided by a single or double line space, depending on the length of the letter.
 Semi-block format- is similar to block but has a more informal appearance. All elements
are left-aligned, except for the beginning of each paragraph, which is indented five
spaces. Paragraphs are separated by a double line space.

B. Parts of a letter in proper order (refresher)

As a refresher during my college days, way back in my 2 nd year of college, 2nd semester, I
took up a Purposive Communication subject as part of my block subjects and of course our
instructor had given us a task whereas we will be able to do the Business Letter Writing and it’s
six parts. First is the heading. The heading contains the return address with the date on the last
line. It's sometimes required to include a line containing a phone number, fax number, or e-mail
address before the date. Between the address and the date, a line is frequently skipped. Second
parts of a business letter is the recipient's address which you are sending your letter to and
make it as complete as possible so that it reaches its goal. Third is the salutation or greeting in
a business. Fourth part of a business letter is the body. The body is the message of your letter.
Fifth is the complimentary close in which a brief and courteous conclusion to your letter. The
close begins one line after the last body paragraph, with the same rationale as your date. Sixth
is the signature line in which you can skip at least four lines after the close for your signature,
and then type out the name to be signed. And lastly, the enclosure when you have any enclosed
documents such as resume and you can indicate this by typing “enclosures”.

3. Pick one type and format. Then, WRITE or COMPOSE your own letter as part of a business
correspondence.
