“Letter Writing”
Direction : One very functional part of learning English is knowing how to write letters or
business correspondences, so kindly give what is asked.
Formal Letter: These letters follow a certain pattern and formality. They are strictly kept
professional in nature, and directly address the issues concerned. Any type of business
letter or letter to authorities falls within this given category.
Informal Letter: These are personal letters. They need not follow any set pattern or
adhere to any formalities. They contain personal information or are a written
conversation. Informal letters are generally written to friends, acquaintances, relatives
etc.
Official Letter: This type of letter is written to inform offices, branches, subordinates of
official information. It usually relays official information like rules, regulations,
procedures, events, or any other such information. Official letters are also formal in
nature and follow certain structure and decorum.
Social Letter: A personal letter written on the occasion of a special event is known as a
social letter. Congratulatory letter, condolence letter, invitation letter etc are all social
letters.
Employment Letters: Any letters with respect to the employment process, like joining
letter, promotion letter, application letter etc.
As a refresher during my college days, way back in my 2 nd year of college, 2nd semester, I
took up a Purposive Communication subject as part of my block subjects and of course our
instructor had given us a task whereas we will be able to do the Business Letter Writing and it’s
six parts. First is the heading. The heading contains the return address with the date on the last
line. It's sometimes required to include a line containing a phone number, fax number, or e-mail
address before the date. Between the address and the date, a line is frequently skipped. Second
parts of a business letter is the recipient's address which you are sending your letter to and
make it as complete as possible so that it reaches its goal. Third is the salutation or greeting in
a business. Fourth part of a business letter is the body. The body is the message of your letter.
Fifth is the complimentary close in which a brief and courteous conclusion to your letter. The
close begins one line after the last body paragraph, with the same rationale as your date. Sixth
is the signature line in which you can skip at least four lines after the close for your signature,
and then type out the name to be signed. And lastly, the enclosure when you have any enclosed
documents such as resume and you can indicate this by typing “enclosures”.
3. Pick one type and format. Then, WRITE or COMPOSE your own letter as part of a business
correspondence.
