CodeBot For SAP SuccessFactors Frequently Asked Questions

General

1. Who was CodeBot for SAP SuccessFactors created for? Implementation and
Support Partners? Clients? Both?
a. CodeBot for SAP SuccessFactors is a powerful tool designed to give both
Partners and End User Clients more efficiency and control when using SAP
SuccessFactors. Click here to see more of our Benefits in a slide deck!
2. What Modules are covered?
b. We cover all SAP SuccessFactors’ Modules except Onboarding 1.0, Workforce
Analytics, and Employee Central Payroll. WFA and ECP are on our roadmap.
Our list of available Workbooks includes: Employee Central, Recruiting,
Onboarding 2.0, Employee Profile, Role Based Permissions, Robotic Testing,
Picklist Management, Translations, Import/Export Data, Integration Center,
PM/GM, Compensation, Configuration UI, LMS, Succession, and Migration.
3. Is CodeBot for SAP SuccessFactors compliant from a security perspective?
c. Yes. CodeBot does not touch any Personally Identifiable Information (PII) (GDPR
compliant), and CodeBot is ISO27001 certified.

Set Up

4. How long does it take to set up CodeBot?


d. Set up is typically 10 to 15 days. This covers all technical requirements to
connect to the system as well as initial training and onboarding into the system.
5. Does CodeBot only work with Google Drive / Google Sheets?
e. Yes. You need to be able to access Google Drive in order to utilize CodeBot. T
The addition of the Microsoft 365 platform is on our RoadMap for end of Q2,
2022.
6. I have created a Google Drive account, but I still can’t access the workbooks.
f. Follow along with this video for help in creating a Google Drive account.
Remember you can also use the Forgot Password prompts from within Google.
Finally, sometimes you’ll just need to create a new iteration and access the
workbook after the iteration link has been created.
7. What are Iterations? What are Workspaces?
g. Iterations hold unique links to the Configuration Workbook. They hold editable
information like the SF username and the Company ID. The iteration is also
where the Action Menu is located allowing you to share, clone, and edit
iterations, as well as perform other actions. Workspaces are collections of
iterations. These can be grouped by quarter, company, end-user, etc. Both
workspaces and iterations can be shared among authorized users.

Errors

8. I’m getting an Error. What should I do?


h. First, Click the “i” icon to show your progress. From here, you’ll have visibility into
the log notes. The log notes may tell you all the information you need: incorrect
password, item not found in the system, SAP SuccessFactors is not responsive,
etc. In many cases, there will be a screenshot associated with your error that
provides helpful context.
9. Execution Completed with Errors… What does this mean?
i. This error generally means there is something wrong with the configuration a
user has entered. CodeBot will always execute as many changes as it can. If one
piece of the execution is causing an error, CodeBot will label that as an error,
then carry on to finish the execution. This item will be labeled “Error” in the
iteration window andthe workbook will remain functional. Simply perform Request
Reprocess, and you’ll again have access to normal functionality.
10. I keep getting a password error, but I am entering the correct password, why is
this happening?
j. There are many credentials to keep aligned. When running an execution, the
password prompt is looking for your SAP SF user password (which should be
uniquely different than your CodeBot password). Please also ensure all the other
credentials are correct: Data Center, Company ID, IAS HostAddress, SF
Username, S-ID, and potentially SSO.

Utilization

11. Can you run multiple executions at the same time?


a. Yes. Multiple executions can operate simultaneously. You can do this on different
Company IDs, the same Company ID, with multiple CodeBot users, etc. It is
possible to overwhelm the SAP SuccessFactors instance and the only
consequence of this is that your execution might fail, requiring you to rerun it. For
this reason, we recommend limiting your simultaneous executions to 3 per
instance.
12. What happens if multiple users are all making changes simultaneously?
k. CodeBot will make each change in sequence based on the exact time of each
execution.
13. Are there times configuration changes are best performed manually in the
system?
l. Yes, users develop their own preferences for their specific use cases. Creating
Business Rules in EC and Permissions in PM/GM are examples where users
often chose to work in the system UI instead of the CodeBot workbooks.

Google Sheets

14. Can I change the names of the Workbooks in Google Sheets?


m. Yes. The link will between the iteration and the Google sheet will not be
damaged if you change the name of the Google Sheet.
15. Where can I add notes to my team within the Workbook? Will this damage the
Configuration?
n. Do not add rows, columns, or cells to add notes on the main parts of the
workbook. This will cause errors. If necessary, you can add new Columns all the
way to the right of the sheets and notes can be added there. We recommend
using the Insert Note / Comment feature in Google Sheets instead.
16. Can I save these workbooks offline? Share with team members that don’t have
CodeBot licenses?
o. Yes. Under the File Menu you can Download and/or Share the workbooks.
17. If I click the Google Sheets link from the iteration window, it opens the workbook
in a new tab. Is every new tab a new workbook?
p. No. Each new tab is just a copy of that same workbook. Google will refresh
changes to one tab, to all the tabs (mostly) live. If you do want to clone the
workbook, you can do that from the Clone Iteration Button in the Action Menu.

Role Based Permissions

18. In RBP - Permissions tab, do I need to fill in every permission in the column when
adding a new role?
q. No. Blank cells default as False.
