Make Up Beds

Information Sheet 1

Different Types and Sizes of Linens, Pillows and Bed Sheets

Sheets, blankets, pillowcases, and bath items come in different sizes according to
the sizes of the mattresses and their use. Other items are chosen because of their
appearance and price.

Careful selection according to standard size and color is considered in purchasing

these items because the labor cost to sort them will be high. The careful selection of
standard size makes purchasing, counting, sorting and maintain inventories easier. Sizes
can be color-coded for easier sorting. Sheets are usually available in different sizes and with
color-coded hem threads.

4
Types of Bed Linens
Bed mattresses are covered with bed linens. These are made of different coverings
which include the following:
Description Items / Supplies
Bed pad is a soft, thin layer of padding, secured with a band attached
on its four corners that goes directly on top of the mattress. This is used
to protect the mattress and gives extra comfort to the guests.
Flat Sheets are soft, light and smooth surfaced fabric gives the
comfortable feel of the bed to the guest. Normally white in color and

This is used not just to provide comfort to the guest, but also maintains
the correct body thermostat.
Bed cover is a heavy sheet placed on top of the bed which is used to
protect the linens and make the bed look more presentable.
Under blanket is a mattress protector that is placed under the bottom
sheet. It is used to protect the mattress from stains and the moisture in
its soft layer added between the sheet and mattress provide extra
warmth to the guest
Duvet covers are put into the covers with minimum handling of the
cover for hygienic reasons. The fastening should ideally be at the
bottom so that they are not uncomfortable for the guest.
Pillow cases are placed on the pillows, the fold must be over the
pillow, and placed on the bed with the open side facing the middle of
the bed or away from the guest if possible.
Standard (20” x26”), Queen (20’’x 30”), and King (20” x36”)
Bedspread is used on top of the made bed, including over the pillows.
Depending on the design and decorative effect of the duvet, a
bedspread may or may not be put on top of a duvet.
Valence, also called as base cover or night frill, covers the mattress
base.
Duvets are made of synthetic filling or natural materials like down or

Proper Procedures in Conducting Room Check, Turn down and Make Up Beds and
Cots

Guest room check, make up of beds and turndown services are essential activities of
the standard cleaning and maintenance protocol in hotels. The objective is simply to
maintain cleanliness and orderliness of guest rooms at all times, whether occupied or
awaiting for occupancy.

Conducting a Room Check

Room check is part of the standard tasks of the housekeeping staff. Room check
must be done with caution and tact. In some hotels, the floor area supervisor, together with
the room attendant perform a routine room check in every guestroom purposely to check:
If the guest room is still occupied;
If the beds in the guestrooms were slept on;
If there are unregistered joiners who occupied the room;
If the guest is out and the room is ready for make-up;
If the guest has soiled clothes for laundry;
If the guest is in good condition- neither sick nor high in drugs, etc.

Procedure
I. Secure room assignment sheet to have the list of assigned room numbers and status
of rooms to be cleaned.
II. Take note of room status to plan the order of cleaning and approach to room serving.
Prioritize according to this order:
1. Reserved rooms with early check-ins.
These are normally empty rooms which need very little tidying and setting the room
for early guest arrivals.
2. Guest has requested for specific service schedule.
Some guest prefer their room being cleaned on a specific time of their convenience
either on time they are not around so it is ready up their arrival or during they are in the
room so they can look after their personal belongings while being serviced.
3. Rooms with VIP guests.
VIP rooms need to be prioritized at all times except of course there is a specific
request from other guestroom or urgency due to arriving guests. It should always be
timely maintained to make the guest that they are very well treated and prioritized.
4. Check-out rooms.
These are the rooms of which guest has officially checked out, therefore, it is vacant
and ready for thorough cleaning to make available for new incoming guest.
5. Occupied rooms.
These require the most critical servicing of rooms since the guest might be in the
room and observing the process, interaction and more information may be expected
from the attendant as much as the risk of having the personal things of the guest all
over the room.

7
III. Take note of Do-Not- Disturb (DND) rooms
DND rooms should be reported for checking after a specific time based on the
policy set by the management. This is being done to check on the guest welfare and
ensure that the guest would not overstay.
1. Verify if the guest is extending his stay, or if the guest is due for another day the FO
shall check on the guest.
2. In case that there’s no response to FO call, the attendant may be asked to check
the room.
Procedures are as follows:
Knock on the door two times
If no response, open the door start with a greeting and enter to determine the
status of the room
If a guest is in, make yourself known and advice that part of the SOP is to
check on them if call remained unanswered in the afternoon. Ask the guest if
the room can be cleaned at this time
Report to FO on what happened on room check especially if guest is not
around
3. If cleaning service is still declined make a note in the room report and follow
company policy.

Tips for Entering Guestrooms

At all times before entering a guestroom whether for room make –up, room
check or room service, make it a habit to check if there is someone inside
1. With your service equipment ready, Knock twice gently on the door with your
knuckles or press the doorbell (whichever is used). Do not use your room keys or
sharp object when knocking as they can create loud, irritating sound.
2. Announce “Housekeeping”. If no one answers, knock again 3 times or press the
doorbell give allowance of few seconds in between knocks or doorbell until the
guest responds.
3. If no one answers, and there is no DND sign, carefully unlock the door slowly and
enter the room then announce “Housekeeping” again to do a room check or room
make-up whatever is your purpose.
If the guest is in sleeping or did not respond, slowly leave the room and return
later.
If room is chained or double locked, report to the supervisor
While working if guest returns, politely ask the guest to verify that they are
registered to the room.
4. Do not enter if there is a DND (Do Not Disturb) sign. But when the DND card has
been there for a long period, more than 12 hours, the supervisor should call the
guest through the phone to check his condition and to ask him if he wants room
make up service. Once he/she responds, identify yourself and apologize for the
disturbance. Tell him/her that you want to know if he/she wants her room to be
serviced.
”Good afternoon Mr./ Ms. This is _______ from housekeeping. I’m sorry for
disturbing you. I just want to know if you want your room to be made up.”

8
5. If the guest is in his room and you are there for the room make up, greet and
apologize for the inconvenience and ask if it is alright for you to clean the room and
ask permission for the room make up.
”Good morning sir/madam. I’m _____ from Housekeeping. May I make up or clean
your room now?’”
6. If the guest is not yet ready for the service, ask when he wants the service done.
“Would you like us to do the make up later? At what time sir/ma’am?’ Please hang
the make up sign when you are ready for the room cleaning.”
7. Jot down the exact time of request in the productivity report. If it is beyond your duty
hours, endorse the request to the next shift. Use the logbook.

Tips for Doing a Room Check

1. Follow the procedures for entering guestrooms.
2. If the guest is in his room and there is no DND sign, wait for him to open the door.
Greet the guest and introduce yourself
“Good morning Mr. Guest, I’m the Housekeeping supervisor doing a routine
room check. I just want to check if you have any concern or if everything is in
order in your room.”
If the room has not been cleaned, ask him/her if she wants the make up done?
“Sorry to disturb you. Would you like us to clean your room now?
3. If the guest appears to be irritated or disturbed, apologize and explain why you have
to do the room check Say: ”I’m sorry to disturb you sir but we need to do a room
check if only to insure that everything is in your room is in order and also to check if
you have any special request or concern”.
4. Do not insist on entering the room if the guest shows resentment or directly
expresses that he/she does not want to be disturbed at all.
5. Discreetly try to find out if there are unregistered joiners who slept with the
registered occupant. This has to be reported to the Front Office and a bill for “Extra
Person” shall be charged to the guest during the check-out.
6. Also check the status of each room and indicate it in the room status report (see
code on room status).
7. Check for unusual things in the room like guest is sick or intoxicated or high with
drugs and need some help. Offer assistance when needed.
8. Also ask the guest if has clothes for laundry.
9. Check for garbage that needs to be disposed and dispose them.
10. After the room check, thank the guest and wish him a pleasant day. “Thank you
sir/ma’am. Have a nice day. Please call us should you need any assistance.

Points to Remember
1. Assignment sheet was secured before the start of room servicing.
2. Cleaning order was based on the priority listing.
3. Reasons for knocking the door or buzzing the doorbell on guestroom before
entering:
Protect the privacy of the guest
Prevent embarrassment of the employee
4. House policy is followed when DND is still up until afternoon.
5. DND room was logged on the assignment sheet.
6. All has been entered at least once daily by an attendant.

Make Up of Beds and Cots

Bed making is a task that needs to be done using a
standard procedure to ensure consistency. Hotels may
differ in their procedures depending on the star rating,
expected productivity level or standards, and trainings
received by housekeeping attendants. Beds in all rooms
must always be checked for cleanliness, whether or not
these be used or unused. Beds must be resheeted with
fresh linen as well.

Good presentation is also important to be able to make lasting impressions. It should

not only be pleasing to the eye but it should also guarantee a comfortable sleep.

Replace bed linen in accordance with establishment standards and procedures

Replenishment of Linen
1. All soiled linen items should be replaced with fresh ones.
Bed sheets, pillowcases should be replaced daily
Towels, hand towels, washcloth and bathmat should be replaced daily if they are
soiled
Blankets and bed covers should be immediately replaced once they are soiled
All linen items used by sick guests should be replaced daily whether soiled or not, and
should be segregated (in plastic bag) from the rest of the linen items
2. Curtains should be replaced once soiled.
3. Request for additional linen items like pillows, blankets, etc. will be granted if they are
available. Once delivered, it should be immediately logged down by the supervisor or
room boy.
4. All linen items should be properly folded and installed in the right container. Shower
curtains (if made of plastic) may not be replaced but should be washed and cleaned
daily during the room make-up. If a different curtain material is used, wash and dry it at
least once a week.
5. New occupant shall be provided with a new set of linen even if the ones used by a
former occupant are still clean looking.
6. The number and quality of linen to be used shall depend on the price of the room.
Deluxe and Suite rooms require linen of superior quality.

Labeling and Turning of Mattress

As part of the preventive program of Housekeeping, mattresses must be
examined periodically to determine their age, condition and durability. Likewise they shall be
turned at least four times a year to prolong their life.
Procedures:
1. Each mattress is marked with the purchase month and year before its installation in a
guest room.
2. Each mattress is labeled at the top and bottom on both sides with the month in which it
should be turned like: January, April, July, October. Labeling by month is preferred to
coding with numbers.
3. The housekeeper should inspect the mattress from the top or bottom of the bed. If it will
be from the top, place the label as shown in Figure A. If it will be done from the bottom,
label as shown in figure B.
A B
January October October July

April July January April

4. When a mattress is turned by a Housekeeper, she should also vacuum both mattress
and box-spring thoroughly, check whether a repair or replacement is required and note
down observations in a report. She should also turn the box spring from the left side to the
right side to ensure even wear.

21
Selection and Care of Bed Linen
1. Bedspreads:
Throw-over bedspreads requires less delicate material than fitted covers. Most
materials that are suitable for curtains can be used for bed covers. In calculating the
required quantity, the pattern should be taken into consideration.

Fitted bedcovers have a center panel which is of the same size as the bed surface.
An extra flap is added at the top of the cover so that this portion can be folded to cover the
pillow. Choose bed sheet materials that are easy to wash. They should be grease resistant
in as much as guests often sit or lie on the beds. Besides, hotels rarely change the
bedspread. A soft, loose woven fabric is not advisable for a bed cover since its shape
easily gets distorted. A shiny satin type of fabric will be better. The material should also be
fire resistant, especially when there are people who smoke in their bedroom.

2. Bed pads
A bed pads acts as padding between the mattress and the sheet, giving the guest
additional comfort, especially when the mattress is buttoned. It also serves as under
blanket, giving the body additional warmth as it absorbs excessive body moisture. Bed
pads also protect the mattress from any spillage or soiling. In modern hotels, a bed pad is
flat, with quilted cover that goes over the mattress. They are made from white terylene filing
which can be laundered easily. Bed pads should be laundered regularly as they may
contain a lot of soil or even bacteria.

that follow.

Juana just started her venture in the hospitality industry as a trainee for three months.
She was assigned in the housekeeping department. As a trainee, she worked alongside a
room attendant whom she shadowed at work. During her first day, she had observed that
her room attendant would prepare all the equipment needed prior to going up the guest’s
room. Whenever they were at the door, the room attendant would tend to knock three times
and announce his presence. Whenever the guest would open the door, the room attendant
would be all smiles and courteously greeted the guest. Before going into the room, the room
attendant would ask the guest’s permission to come in. They then made up the room and
conducted post make up inspections. When both of you were done, he asked you the
following questions:

1. Why is there a need to prepare all the materials?

2. Why is there a need to observe two knocks, three announcement rule?
3. Why do we greet the guest and ask for permission to come in?
4. Describe the procedure for room check, turn down service, and make up bed.
5. Why is there a need to inspect the mattress?
6. How often do we turn the mattress?
