2 REFLECTION ON PROJECT MANAGEMENT

2.2.1 CHALLENGES

1. Budget constraints (hard to find sponsorship)

Running a programme requires a lot of money. With the programme we run, this is
also not an exception. Nowadays, everyone is trying to maintain their way of life during these
terrible economic times, it is quite difficult for us to obtain sponsorship from specific parties.
But we also try to get a sponsorship with our efforts and teamwork. Not much but we get a
sponsorship even though not enough to our budget. We also not have enough time to collect a
sponsorship because we have only about one month to get all the equipment to be ready
before the programme started.

2. Time Constraints (lack of time)

Time is of the essence. Our team includes students from various place, so it is difficult
for us to meet to discuss about this program. As a result, we can only have to meet in google
form platform to resolve our problem by time to time. The issue of creating groups on
WhatsApp's social media platform is resolved in this way. WhatsApp and email are how we
communicate. As a result, the group can grow through technical medium and can stop having
to act like a real entity. Other than all the preparation will handle alone by the team member
among the small units that have divided by our Team Leader.

3. Difficulty to handle the participants

As we know that our participants of this program are students from 5 years to 16 years
old. So we have to used such as methods to handle them because the team not consists the
team members as about their age. The issue is that the facilitator has trouble caring for the
group participants because of their varying ages. The programme hosted for them must
function well for them to receive the benefits they are due, thus it is important that the
instructions are presented to them clearly.
BENEFITS

1. Community Involvement
By doing this program in orphanage, it has makes us feel a greater sense of
belonging by keeping up with other people. This has help to boost our sense of
belonging and responsibility by being active in helping orphanages and orphans. On
top of that, this program able to open our mind to other viewpoints which help us to
become a better accustomed to society. This program also allows us to connect with a
community that need our help and support to make it a better place. Even helping out
with the smallest tasks can make a real difference to the lives of people, animals, and
organizations in need. It really open up our eyes to be more grateful in life and help
each other.

2. Build Commitment in Ourselves


Another important that we learnt from this program to build commitment in
ourselves. Each of the members is the group was assigned a role and tasks to help in
running the program. All team members have made a valuable contribution to this
program and we were very dedicated to make this program successful. Before we
assign them with a role or task, we had a discussion around each team member’s roles
and responsibilities. We identified and understand their natural talents and strengths
with aim to align roles and responsibilities around everybody’s strengths and interests.

3. Develop Good Teamwork


Lastly, by having this activity together in a team, we have developed a good
teamwork. This program also a great way to bond with our team as it feels good to get
bond over something other than in work or class setting. Other than that, this activity
has improved our teamwork skills with an opportunity to improve our communication
skills, collaboration and provides a larger capacity for brainstorming different ideas.
This is not only contributes to a more holistic approach to learning but can help group
productivity as well. In a nutshell, we have learnt so much from this group project
by improving our skills and learn about each other.
RECOMMENDATION ON PROGRAM

Although the orphan program has been a success, there are some things that can be improved
for the organization's future and the orphans' future. Due to a lack of time as a result of
waiting for confirmation of permission from the authority, the preparation of expenses for the
collection of sponsorship where there is a lot of bureaucracy to apply for corporate companies
was quite strict. As a result, some improvements are needed to make a program like this more
beneficial and impactful.

Time management for sponsorship


To run a program with high costs, preparations for collecting sponsorships must be done
sparingly and carefully. This is due to the fact that each corporate body has its own procedure
for applying for sponsorship. Event organizer must increase social media promotion to ensure
that sponsorship information reaches a wide audience. The location should be chosen as soon
as possible after receiving the assignment from the lecturer, so that the committee has enough
time to collect sponsorship.

Mental Health Awareness Program


The children and teenagers who live at the Tunas Harapan Orphanage are growing up. Every
child’s experience and trauma are different, and it can be difficult for them to express their
emotions to others. Counselling elements can be included in the program by the organizer to
increase knowledge about mental health and to expose them to how to face and solve
problems correctly. For example, the organiser could invite a counsellor officer from the
Malaysian Ministry of Health to speak about early mental health exposure.

Food preparation
Food selection for program involving children should be carefully planned, as it is well
known that children are picky about nutrition. The food provided must be nutritious, tasty,
not spicy, and appealing to the children's tastes. The organizer can provide a menu with kid-
friendly items such as bun, chocolate cakes, and fruits. One of the causes of a lack of food
variety is a cost constraint. In order to prevent food damage, early morning preparation is
necessary due to the distance between the committee house and the program venue. Food
handling should be done on a regular basis.
