Scheduling Prompt

● Apollo is a remote-first company. Because of this, a lot of our communication is verbal,


over Slack, Notion or Google Suite. One of your main responsibilities will be scheduling
and coordinating interviews with Hiring Managers, Recruiters and candidates. Given that
you will need to coordinate logistics for a group of people, it’s important to schedule
meetings accordingly. Please make a copy of this document and answer the following
prompts below:
- Prompt 1: As a Recruitment Coordinator, it can sometimes be challenging to find
times that work with the candidate and other stakeholders to conduct interviews,
meetings, etc. What is your experience with managing multiple calendars? If
none, explain how you would get around these challenging scheduling clashes
when they come up.

- My experience primarily lies in managing calendars on Microsoft Teams and Outlook. These platforms offer
various features that facilitate the sharing of calendars with the hiring manager or anyone within the company.
This allows for the ideal coordination of working hours, availability, and any scheduling restrictions necessary to
arrange interviews. Additionally, considering the potential diversity of time zones among candidates and hiring
managers, it is essential to have a reliable time zone converter readily accessible. In my experience, I have
founded important to maintain open lines of communication with all parties involved in order to coordinate
interviews that accommodate to everyone's needs successfully—always respecting the availability by avoiding
scheduling conflicts with their other commitments, unless explicit permission is granted to do otherwise. Finally,
it is vital to confirm the interview arrangements and follow up with the candidate until the interview date. This
way I can effectively manage calendars, check time zone differences, and ensure a smooth and efficient
interview process.

- Prompt 2: You have just had a discussion with a potential candidate who is perfect
for a role that your team is needing to fill, the Recruiter is away until next week
but you know that this candidate is fielding multiple offers. What would you do in
this scenario to avoid the possibility of losing the candidate?

For this kind of situation, it's important to try to engage with the candidate, confirming their preferences and
personalizing the recruitment process. It's important for me to show the candidates that I understand and can
accommodate their changing needs and preferences if necessary. This helps to build and establish a
connection and trust.
Also, I would make sure to highlight the benefits we offer, such as flexible working hours, career development
opportunities, and performance-based bonuses are great examples. Aligning the candidates' preferences with
our offer, making the position as appealing as possible.
Building strong communication is crucial throughout the entire process. so, I would provide multiple lines of
communication, showing a great disposition to resolve any doubts and actively gathering feedback from the
applicant if possible.
Finally, sending frequent emails and messages, along with providing quick recommendations before any
assessments or interviews, greatly helps the candidates feel more confident and valued. Above all, my main
goal is to ensure that the candidate has a positive experience from start to finish, prioritizing their satisfaction to
make the entire process as smooth and enjoyable as possible.

- Prompt 3: A candidate applied to an open role at Apollo for an Account Executive.
