Introduction
1.1 Purpose of this Document
This document gives details in to changes made to the original configuration based on the
process definition, documentation of system, sequence to be observed configuration and
templates to be used for transport of the change request.
Any changes to the new configuration in accordance with signed off KDS document / changes
to configuration items should be documented as different version.
1.2 Intended Audience
This document is for internal project distribution. It is to be used to communicate to consulting

members of project SANKALP about guidelines and approach for configuring the system. It
is also to be used by technical team, for the transport of configurable objects; this document
will be used by core team, for learning about system configuration and discipline to be followed
in the same.

1.4 Maintenance Planning Plants
1.4.1 Purpose of configuration
The maintenance planning plant is the plant which does the planning of the
maintenance activities.
The maintenance planning plants must first have been created as normal plants.
If all the plants in your organizational structure are also maintenance planning plants,
then you must include each of these plants as a maintenance planning plant.
You should then always use maintenance planning plants if the maintenance
planning is carried out centrally for several plants in one plant. If, from a PM
perspective, each plant stands alone, then each plant is also its own planning plant.
All the plants, which are mentioned in the KDS document was configured here.

In the step "Assign maintenance planning plant to maintenance plant", you assign each
maintenance planning plant to a maintenance plant.
A maintenance plant can only belong to one maintenance planning plant.

1.6 Define User Status
Status Profile used to control user statuses.

A status profile is created by the user in general status management.
In a status profile you can
• define the sequence in which user statuses can be activated
• define initial statuses
• allow or prohibit certain business transactions

1.7 Create Authorization Keys for User Status Authorizations

In this step you define authorization keys which you can use to set up authorization checks
when you manually set or delete a user status. When the system sets a user status as a
reaction to business transaction, it does not perform an authorization check.

1.9 Define Measuring Point Categories

Measuring Point category is to divide the Measuring Points into logical groups. You always
need measuring point categories if you want to record measurement or counter readings for
a technical object.

1.13 Define Types of Technical Objects

In this step, you define the types of technical objects.
You can assign each piece of equipment and each functional location to a type of technical
object. This allows pieces of equipment that have the same use, for example, to be combined

into groups. You can use this grouping for evaluating your master data or maintenance data.
Also in ETM this controls procedures such as administrator eligibility, pricing and
authorizations for document entry are controlled by the equipment type.

1.14 Define Planner Groups

Planner groups or maintenance planning groups must be defined separately for each planning
plant.
Depending on the size and structure of your company, a maintenance planning group may be
an individual department (for central work preparation), a group of skilled craftsmen or a
workshop.
Every piece of equipment and functional location can be allocated to a maintenance planning
group.
Maintenance planning groups can also be used for evaluation purposes.

1.15 Define ABC Indicators

You can define your 'ABC indicators' with this step.
You can form object categories by means of the ABC indicator.
The characteristics of the ABC indicator can be used as a selection criterion in evaluations.
You can determine which particular values are to be valid as ABC indicators and the meaning
that is given to these values.
The ABC indicator can be entered in equipment as well as functional locations.

1.16 Set View Profiles for Technical Objects

This step enables you to combine screen templates for technical objects.
The data fields for the technical objects are sorted by contents, what are termed, screen
groups.
For each screen group, for example, pieces of equipment, you can define one or more view
profiles.
Each view profile enables you to assign pre-grouped and accompanying data fields to
individual screen templates.
These screen templates can be labelled individually using tab pages.
For example, there are screens for:
• General data
• Location data
• Organizational data
• Structure data
• ETM Data
• Fleet object data
To make the tab pages visible in the maintenance transactions, they must be labelled as active.
You can assign a view profile to each equipment category or functional location category, and
each fleet object type.

locations in this step. The structure indicator determines the edit mask and the number of the
hierarchy levels when you create functional location structures.

1.18 Define Category of Functional Location

You can create different functional location categories in this step.
You can define the following for each functional location category:
• Status profile
• Partner determination procedure
• default value for categories
• field selection
• whether change documents are created
• A key defining the appearance of the dialog box for the object information.

1.19 Define Field Selection for Functional Locations

In this step, you can define the field selection for function locations.
The fields offered here are common data fields for functional locations and equipment.
For this reason, you should always take account of the affected values.
These fields are found in the following objects:
• Equipment
• Functional location
In the second setting, you can define the field selection for the fields which are only found in
the functional location.

1.20 Maintain Equipment Category

In this step you define the description for an equipment category and assign a reference
category to this equipment category.
You use the equipment category to define the characteristics for an equipment master record.
Using the control characteristics, you can decide how many and which equipment categories
you require.
The following control characteristics are available:
View profile for master data maintenance
Number interval and number assignment (you can choose between numerical and
alphanumerical numbers)
Update of a usage history
Installation options at functional locations
Verification documents for master data changes
Usage as production resources/tools
Status Profile
You must define for each equipment category whether a usage history should be written.
Field selection is defined using the equipment reference categories.

1.21 Define Number Ranges

In this step you can define the number assignment category in the step equipment categories.
You must allocate a unique number for each equipment master record.
You have the following options:
• internal number assignment
In this case, the SAP System assigns the numbers.
• external number assignment
In this case, the user assigns the numbers.
You can define both an internal and an external range for each equipment category. The same
number ranges can be shared by several equipment categories.
Recommendation
SAP recommends that you use internal number assignment.
As you can select pieces of equipment according to different criteria using match codes, you
do not need to use a descriptive external number as a general rule.
Activities
1. Define the number assignment category (internal and/or external) for each equipment
category.
2. Set up a group for each different number interval.
3. Define the number interval for each group.
4. Allocate each equipment category to a group.

1.22 Usage History Update

You define the equipment categories for which you want an ongoing usage history to be kept
in this step. Changes to certain master data fields will be logged in the usage usage history.
You define the fields concerned for each reference category.
Example
Using the usage history, you can, for example, define those changes to the account
assignment data (e.g. cost center) are always documented in the system via the usage history.
This means that a change to the cost center in the equipment master record will always be
documented by the system in such a way that you can display the equipment master record
with the data contents at the time of the change to the cost center at any time.

The order planning indicator is used for selection and statistical analyses in the Plant
Maintenance and Customer Service Information System.
Three order planning indicators are predefined by SAP:
• Planned order. You should use this indicator for order types, for which tasks can be
anticipated.
• Unplanned order. You should use this indicator for order types, for which the task
cannot be anticipated, but also need not be performed immediately.

In the order header data screen, you find some central data fields for the notification, which
you can maintain completely if desired.
Because the notification is created automatically by the system, here you can define the order
types for which these functions should be used and which notification type the system should
use.
Note that for all notification types which you enter here, an internal number assignment is
strictly necessary.

Requisitions

for purchase requisitions for maintenance and service orders.
For the document type, you can choose whether you always want to generate purchase
requisitions for standard purchase orders, contracts or other document types of the purchasing
system.
Purchase requisitions for PM/SM orders must always be assigned to PM/SM orders. This
means that you must change the standard setting for the account assignment category only if
you defined a new account assignment category for order-account assignment in Customizing
for the purchasing system..

In this step, you define the partners for service and maintenance processing.
The following partner types are defined in the system:

• Contact person
• Vendor (vendor number)
• User
• Personnel number
• Organizational unit
• Position
You can define partner functions centrally for all the applications in Logistics and assign a
particular partner type to these.

1.77 Define Control Parameters for Completion Confirmations

In this work step, you maintain the control parameters for completion confirmations in
maintenance orders.
You can set control parameters for each order type.
Using the completion parameters, you define:
Which data is proposed for entry
The severity with which inspections should be performed
How the completion confirmation processes are controlled
To do this, you can proceed as follows:
Default values
You can propose that completion confirmation data which is still open be entered. For the
activities, the SAP System then proposes the difference between the specifications and the
values already confirmed. Otherwise, the default values are proposed each time as completion
confirmation data.
Display confirmed data/display specifications
For information, you can display both the data already confirmed and the specifications.
Default value final completion confirmation
Here you can define whether a partial completion confirmation, a final completion confirmation
or a final completion confirmation with charging of open reservations should be proposed.

In this section, you can allocate value categories to PM cost key figures predefined by SAP.
The value category generally groups several cost element accounts together.
For the PM key figure system, you can again aggregate several value categories under one
PM cost key figure.
You can allocate one or more value categories to each PM cost key figure using the settings.
Which value categories are grouped together under which key figure depends on your chart
of accounts.
