Tell Your Story

You only get one chance to make a first impression. The cover letter is your personal narrative, your
story about why you are applying, and how you will fit the position and contribute to the company.
Consider the letter an extension of your resume which reflects your knowledge of the employer’s needs.

Tips:

• Each cover letter you write needs to be customized to the posting


 Personalize the letter to express your interest in the available position
 Grab the reader’s attention using a memorable opening line; introduce yourself,
your credentials and your potential to the organization; show how you would fit in

• Review each job posting for keywords related to skills, knowledge and experience;
notice the “must haves” and key responsibilities (highlight them as a reminder)
 Demonstrate your abilities by emphasizing your competencies (knowledge, skills,
abilities), talents and accomplishments which help establish your credibility –
provide specific examples
 Use variety in your sentence structure (or bullet statements) and use
transition/linking words to connect ideas
 If possible, highlight your cultural fit by showing the company how well you would
mesh with their culture
• Always send a cover letter with your resume unless the employer states otherwise

• Save a copy of the job posting as you will need to review it before an interview

Organization / Layout:

• Use a business letter format, one page in length, left aligned, same font size as your
resume if possible, single spaced text, double spaced between sections
• Aim for three to four concise paragraphs or a combination of paragraphs, bullets or T-
style (see examples in this guide)
• Keep your letter between 300 and 400 words - remember that recruiters typically
spend less than 10 seconds to review job applications

Cover Letter Format
Typically, cover letters have the following sections:
1. Your Contact Information
• Include your name, address, phone number, professional email address and
LinkedIn URL.
2. Date Cover Letter is sent

3. Company Address
• Include contact name (e.g. Jess R. Jones or (K. R. Jones), their position title,
organization name and full address
• If a name is not provided in the job posting, research the company website
and/or LinkedIn to determine a contact to address your letter to (department
head or manager, a recruiter or human resources representative)
4. Reference or Subject Line
• Include job title or the competition number (optional)

5. Greeting / Salutation
Whenever possible open the letter by using a person’s name. Don’t assume someone’s
title should be “Mr. /Ms. /Dr.” – instead consider using one of the following forms:
• Omit the courtesy title: “Dear Mr. or Ms. [last name]” instead, write “Dear” or a
generic salutation “Attention”
• Specific Receiver: Use “Dear First and Last name (e.g. Dear Kelly Jones or K. R.
Jones).”
• Unknown Receiver (option): “Attention: Hiring Manager or Attention
Hiring Committee or Attention Human Resources Manager:”
• Avoid “To whom it may concern:” or “Dear Sir or Madam:”

6. Opening Paragraph
• Your first line should grab the reader’s attention. Some ways to open the letter are to
promise a benefit, identify a need or compliment the company. Tip: check here for
examples - attention grabbing cover letter examples
• Why are you applying? What position or type of work are you applying for? Where
did you see the job posting? Briefly explain why you want to work for this company
• If someone who knows the employer referred you, give the name of that person

7. Body of the Letter:
• Why you? What sets you apart from other candidates? Highlight your strongest
qualifications, demonstrating how these qualifications will benefit the
employer. Give detailed examples of experience.
• Why do you want to work for them? Demonstrate your knowledge of the company.
Three specific formatting styles you can use in the body of the letters:
 Paragraph style (1 – 2 paragraphs – enables you to communicate in the context of a “story”
of what has happened, who you are, what value you bring to an organization.)
 Comparison-list style – also known as a “T”-style letter (directly comparing your
qualifications to the posting and allows you to quickly and assertively respond to the
specific requirements of a job.)
 Bullet style (with introduction and closing paragraphs surround the bullet-point statements)
8. Closing Paragraph
• Thank the employer in advance for their consideration and that you are
looking forward to meeting with them soon. Include your phone number
and/or email address
9. Signature
• End with “Sincerely,” or “Yours truly”
• Sign your full name “Kelly R. Jones” (option: insert your electronic signature)
• Type out your full name: “Kelly R. Jones”

Types of Cover Letters


The most common types of cover letter are:
• Application Cover Letter - (most common):
used by most job seekers and is written and
targeted towards a specific job posting
• Prospecting Cover Letter: up to 80% of jobs
are never posted or advertised; written by a
job seeker to a company of interest inquiring
about open job postings.
• Networking Cover Letter: a casual letter
(email) from a job seeker to a former
colleague, mentor, friend or other contacts
and informs the recipient that they are job
seeking and asks for their help.

• Give the person a reason to read on. Give them a memorable introduction. Why are you interested in the
position? Do not start with “My name is…”
• What’s important to mention? For example: what type of position (i.e. co-op, f/t, or p/t) are you seeking?
Your experience in the field (years/months); being a student at Douglas College in (name of program)
• Explain how you learned about the position or the organization, e.g. through the Douglas Career Centre
job board or the Douglas College Co-Op Job Board, company website or referral name.
• Important: Why them? Research the company’s values, mission, etc. Make sure you demonstrate how
you can add value to their organization through your unique experiences, your personality and/or your
outlook/philosophy.
Second / Body (Sell) Paragraphs, Bullets or T-Style (see samples) – Why you?
• Call attention to elements of your background, education, leadership, and/or experience that are relevant
to the position you are applying for. Use two or three examples that showcase your background and skills.
• Express what skills and attributes you have to offer (e.g. paid or unpaid). Reflect your personality,
motivation, enthusiasm and communications skills.

Final / Closing Paragraph - What’s the next step?


• Thank the reader, request an interview and the best method to contact you. Provide any additional
requested information that has not yet been addressed, such as your availability date.

Employers look for evidence that you can contribute to the workplace with the skills they
need. This includes course work, academic projects, paid and unpaid work, co-op placements,
extra-curricular activities, study abroad experience, campus and community activities,
student and professional organizations, leadership roles, and from personal interests.
