QUESTION;
Describe Desktop publishing software.
Publishing is the process of producing publications such as newspapers, cards,
pamphlets, pictures, calendars, books, etc that has special text and graphical layouts &

designs. Traditionally, publishing involved drawing and writing manually on wooden
or metallic boards. The artwork would then be painted with ink and pressed on papers
to produce a printout. Today, the art of publishing makes use of Personal computers &
small printers that are able to print high-quality text and graphics. All the publishing
processes can be done on a desk in the office or at home.

Desktop publishing refers to the process of producing publications by designing their


text and graphics layout using special desktop publishing software installed on
personal computers. The text and graphical objects can then be inserted, edited,
formatted and printed. Examples of desktop publishers; Adobe PageMaker Adobe
Photoshop - mainly used for editing & formatting photographs. Adobe illustrator -
used for creating complex freehand artwork such as drawings & logos. CorelDraw.
Microsoft Publisher. Ventura. and Harvard graphic.

Desktop publishing (DTP); refers a types of soft were that help in creating the
electronic form letters report, document, presentation, book, card, certificates
brochures and newspaper by various computer program. It helps in creating document
with the use of page layout software on the given computer. It also used to create
document with the use of page layout, software on the electronic gadgets for example
card, for special occasions such as wedding, birthday, certificate, completion of
certificate, course, academic certificate. Calendar used to show dates and by
companies to advertise their product. brochures or posters- for publicity.

Evolution of DTP Software

Earlier, DTP was specifically meant to cater to printed matter but modern DTP allows
for even more forms of electronic content. A modern DTP software can be your word
processor, graphic design tool and publishing tool, all rolled into one package. With
the explosive growth of smartphones and mobile PCs, the way people consume
information has changed dramatically over the last decade. Modern DTP software
enables content output that caters dynamically to all screen sizes, without the need to
republish the same for each device or form factor.

Types of DTP Content

The content created by DTP software can be broadly classified into two
categories

i. Electronic Pages
ii. Virtual Pages

Electronic pages commonly refer to websites, manuals, eBooks, digital archives,


presentations, etc. which are normally not printed but are shared digitally. This
tutorial is an example of an electronic page which can be opened in a browser.

Virtual pages on the other hand are electronic pages created in the DTP software
which are eventually published as printed pages. Virtual pages allow the author to
visualize exactly how the printed page will look and can help in easy editing. The
process is called WYSIWYG which stands for, ‘What You See Is What You Get’.
This means all the changes and formatting that are made will be exactly replicated in
print.

Comparison of desktop publishing, graphic design, and web design:

Desktop publishing is the process of using the computer and specific types of
software to combine text and graphics to produce documents such as newsletters,
brochures, books, and web pages.

Graphic design uses text and graphics to communicate an effective message in the
design of logos, graphics, brochures, newsletters, posters, signs, and other types of
visual communication.

Web design is a spin-off of graphic design and desktop publishing that focuses
exclusively on visual communications for display on websites and mobile devices – to
include text, graphics, sound, animation, and video.

Someone who does print design may or may not also do web design. Some web
designers have never done any type of print design.

The following are types of desktop publishing (DTP)

Graphical based, it used for editing and formatting graphic objects like pictures. For
instance, adobe Photoshop.

Layout based; it used to create different page layout designs for pictures and text for
instance adobe page maker, also type of desktop publishing software available in the
market. Here are some of the most popular types.

Adobe design; adobe design is the one of the most popular desktop publishing
software application used by professional to create complex publication such as book,
magazine, and newspaper s. it offers advanced layout and design tool as well as
integration with other Adobe product such as Photoshop and illustrator.

Microsoft publisher; Is an desktop publishing software application that is popular


among small business and home users. It offers a range of pre-designed templates and
easy-to-use layout and design tools.

Quark Xpress; professional desktop publishing software application that is widely


used in printing industry. It offers advanced. Layout and design tools and is
particularly useful for creating complex publications with multiple pages.

Scribus; this is a free and open source desktop publishing software application that is
available for windows, macOS, and Linux. It offers a range a layout and design tools
and is particularly popular among small businesses and home users.

Affinity publisher; relatively new desktop publishing software application that is


gaining popularity among professionals. It offers advanced layout and design tool.
And particularly useful for creating complex publications such as books, and
magazine.

Canva; is a cloud- Based on desktop publishing software application that is popular


among non-designers it offers a range of pre designed templates and easy to use
layout and designs tools and is particularly useful for creating social media graphics
and other online content.

Features of DTP software.

i. Text can be entered directly into a DTP publication. Alternatively, the text can
be entered into a Word processor and then copied into the DTP document.
 Graphics can be created in a separate program, then incorporated into a
Desktop publishing program.
 A Scanner can also be used to copy images, such as photographs and
drawings, into a Desktop publishing document. A Scanner is a device
that reads text and images into a document.
ii. A DTP program gives you more control over the graphics in a publication.
You can:
 move - change the position of a graphic on a page,
 size - make a graphic larger or smaller,
 Rotate - turn or spin a graphic, and
 Crop - trim part of a graphic.
iii. Has a wide range of Fonts & print sizes that can be merged with useful
symbols, such as arrows and stars.
iv. Has Columns of various widths, in which the text is fitted automatically using
sensible hyphenation. The columns can also be reorganization automatically.
v. Enables Scaling and cropping of publications so as to fit the available space.
vi. Page numbers can be inserted.
vii. Enables production of multiple page documents.
Steps in using a DTP System.

i. Prepare your text and illustrations with a Word processor or a Graphics


package. Alternatively, use a Scanner to input text and graphics from other
sources.
ii. Using the DTP program, develop the format of each page. Your screen
becomes an electronic paste board with rulers, column guides and other
page design aids.
iii. Copy the text and illustrations into the page format you have designed in
the DTP program. The DTP program will automatically move the excess
text to another column or page and also help size and place illustrations
and headings.

iv. Format the pages on the screen to look the way you want them, then store
them electronically on your hard disk. If necessary, print them on a Laser
Printer to produce the finished printed material.
Printing terminologies used in DTP.

i. Ranner – the main headline across the top of the page.


ii. Cross head – a small heading used to break up text into easily readable
sections.
iii. Bullet – solid dot printed before pieces of text in order to add an emphasis.
iv. Cast off – a calculation as to how much space the text will use on a page.
v. Footer – a line of text at the bottom of each page giving the publications title,
author’s name, etc.
vi. Masthead – details of the person involved in printing the publication.
vii. WYSIWYG (What You See Is What You Get) – this means that, the
presentation on the screen is exactly what you will get from the Printer.
viii. Jigging – moving text around by means of DTP software.

The following are advantages.

 Easy to use
 The time it takes to design and for publication is greatly reduced.
 Files could be sent electronically using email services to the editor or client for
the approval process
 Once approved the final layout could be sent directly for publication.
 This software could be used to control some forms of computer aided
manufacturing equipment used in sign making.
 Handles for more graphical elements than a word processor. Word processing
software certainly has place but desktop soft publishing software has taken
over from it in almost any project where different fonts, pictures, layout and
graphics going to be involved.
 Easy import- text and graphs can also be easily imported from outside
sources. You can bring together disparate elements such as images from

scanner, frames shot by a digital video camera, text written in word processor,
graphics created using your favorite drawing software.
 Time efficiency – DTP significantly reduces the time required to produce high
quality documents. The ability to edit and make changes on the fly accelerates
the design process.
 Accessibility to non-designers - desktop publishing software is designed to be
user friendly making it accessible to individuals with varying levels of design
expertise. This democratization of design tools empowers non designers to
create professional quality materials without extensive training.

Disadvantages of DTP

 Expensive tools; one of the main disadvantage of desktop publishing is the


relative expenses of the tools themselves. Many companies such as Quark
Xpress or adobe InDesign, Photoshop, frame maker or illustrator.
 Lack of large scalability; Sometimes struggles with very large scale, highly
complex projects that is because these projects frequently require paying
attention to more than just the presentation and content of a project. The two
areas which DTP software handles so well in order to cover reusing content in
other projects, keeping the different types of output a project requires
consistent, the overall structure of a projects.

Uses of desktop publishing

 Creating professional-looking documents such as brochures flyers, newsletters

reports.

 Designing and formatting books, magazine and catalogs.


 Designing and creating advertising materials such as posters, banners and
billboards.
 Developing educational materials such as textbooks, workbooks and
instructional guides.
 Producing marketing materials like product packaging, labels business cards.
 Creating corporate, communications materials such as annual reports,
presentations and corporate identity packages.

 Designing and formatting, promotional materials for events such as
invitations, programs and events signage.
 Creating visually appearing and effective social media graphics and
advertisements.
 Designing and formatting resumes, coves, and other professional documents
for job seekers.

COMPONENTS OF DESKTOP PUBLISHING

 Software specialized desktop publishing software like Adobe, in design,


Quarks press, or Microsoft publisher is used to create and design the layout of
the document.
 Text, Text is a crucial component of any publication, including body text,
headings, captions and other types of written content, Desktop publishing
software allows for text editing, formatting and styling.
 Images/ Graphics, Images and graphics enhance the visual appeal of
publications, Desktop publishing software allows for importing, editing, and
arranging images within the document.
 Layout, Layout refers to the overall arrangement of text and graphics on a
page, Desktop publishing software providing tools for designing the layout,
including options for columns, Margins and alignment.
 Typography, Typography involve the selection and styling of fonts for text in
the publication, Desktop publishing software allows for choosing different
fronts, size, styles, and formatting options.
 Color, Color plays a significant role in design of publications, Desktop
publishing software offers tools for selecting and managing colors including
options for text backgrounds and images.
 Templates, Templates are pre-designed layouts that provide a starting point for
creating documents. Desktop publishing software often includes a variety of
templates that can be customized to suit specific needs.

FUNCTION OF DESKTOP PUBLISHING.

Layout and design; desktop publishing allows users to create visually appealing
layouts for document such as brochures, magazine, flyers, newsletter, reports, and

another. Users van control elements like text size, font, colors, images, and page
structures to create polished designs.

Typography; with desktop publishing, users have extensive control over typography
including fonts, spacing alignments, and text formatting. This level of control can
help create visually appealing and easy to read documents.

Graphic design; desktop publishing software often included force renting and
software allows users to import images and graphic directly into their documents and
manipulate them for design purposes.

Print output; desktop publishing software is optimized for creating document that
are intended for print users can set up page sizes, margins, bleeds and other print
specifications to ensure that the final output meet printing requirements.

Templates; many desktop publishing program offers pre designed templates for
various types of documents. These templates provide a starting point for users and
make it easier to create professional looking documents with minimal efforts.

Ease of revision; desktop publishing allows for easy editing and revision of
documents. Users can make changes to text, images, layout, and design elements
quickly and see the results in real time.

Publication of digital documents; in addition to print publications, desktop


publishing supports the creation of digital document for online distribution, users can
export document in various digital formats such as PDF for sharing online via email.

Cost effective; desktop publishing can be a cost effective solution for creating
professional looking documents in house, reducing the need to outsource design work
to external agencies.

Conclusion; desktop publishing has changed through technology advances over the
past twenty years at great speed, these change have made production a lot more cost
effective, production less time consuming and foster delivery of product to public
distribution.
