CLASS: YEAR 5 WEEK: 4 TEACHERS: Austine, Kefa and Diana

SUBJECT: ICT TOPIC: Microsoft Excel. SUB-TOPIC: Calculations

Activity: Manipulating data in Ms Excel. (Sum & Average)

Using basic formulae and functions

Formula- is a mathematical expression to solve mathematical problems
Functions – is an in- built formula used to perform complex calculations
Note: in excel formula or function must start with an equal sign (=)
Mathematical functions include:
Sum () adds all the value in the selected range of cells. e.g. = sum (A4:D4)
Sum if () conditionally adds the specified cells according to the set criteria e.g.
=sum if (A3:A10,”>=100”) only will return a value if, and only if, the sum is
greater than or equal to 100.

Product () multiplies all the values in the argument. E.g. =product (7, 4, 5)
Returns a value
Quotient () returns the integer portion of a division syntax =quotient

1
(numerator, denominator) i.e. =quotient (8,2) return 4
SORTING
Arranging data in descending or ascending order
Procedure
1. Highlight the range of cells that you wise to sort
2. Click data then sort
3. Select field to use when sorting
4. Select the sorting order either descending or ascending order

FILTERING
Is a quick and efficient method of finding and working with subset of data in a
list? A filtered list will only display the rows that meet the condition or criteria
specified.
PROCEDURES
1. Click the cell to be filtered in a column
2. Go to data menu, point to filter then click auto filter
3. To display rows with specified value, click the arrow in the column that
contains the data you want to display
4. Click the value to be displayed by the filter from the drop down list

To calculate the average for the given range

To calculate the total sum of the given range

2
To rank given range of cells position
