CONSTITUTION OF AZIMIO WELFARE ASSOICIATION
1. NAME
The name of the group shall be AZIMIO WELFARE ASSOCIATION
2. OBJECTIVE
To assist bereaved members both financially and morally.
To invest in sound project as agreed by members.
To enhance social economic development of i.es members only.
3. MEMBERSHIP
Those (18) eighteen years and above shall be eligible for membership of the group and
shall pay Ksh 100 membership fee.
Resignation from the group
Any member desiring to resign from the group shall submit a letter within one month for
the secretary which will take effect from the date of expiry of the notice provided the
member has cleared all the outstanding loans and other commitments made by him / her
to the group.
NOTE: A 10% of all shares shall be deducted from the member wishing to quit the
group.
Removal from the group
Any member may be expelled from the group if that member's conduct has adversely
affected the reputation or dignity of society or that he /she has contravened any of the
provision of the constitution.
4. PROCEDURE AT THE MEETING
The group shall be meeting every Sunday at 08:00hrs chaired by the chairman,deputy
chair in his absence the organizing secretary / any member who report late shall be
liable for a fine of 20/= and absent without apology to pay 50/=. Any member
causing disturbance during the meeting shall pay Kshs 20/=
5. FUNDS EXPENDITURE
The society fund will be used only in the following purpose
i. Burial
ii. Sickness
iii. Investment
iv social development
6. FAMILY COVERAGE
This matter to the member and his/ her immediate family i.e. Father, Mother, spouse
and children whereby parents to be given Ksh 1000 and children Ksh 500 spouse to
be given Ksh 1000 and a member to be given Ksh 1500. This shall cutter for the
burial arrangement.
In case of Sickness each member shall contribute Ksh 500 if member is admitted
7. OFFICE BEARERS
The office bearers shall be:
i. The Chairman
ii. The Vice Chairman
iii. The secretary
iv. The assistant Secretary
v. The treasurer
vi. The organizing Secretary
All who shall be elected at annual general meeting which is to be held yearly.
They shall hold office from date of election until the succeeding annual general meeting.
Office bearers may be removed from the office in the same way as laid down for the
expulsion of members in rule 3 and vacancies thus created shall be filled by person
elected at general meeting resolving the expulsion.
8. DUTIES OF THE OFFICE BEARERS
Chairman: The Chairman shall, unless prevented by illness or the other sufficient,
presides all the meeting and at all general meetings.
Secretary: The secretary shall deal with all correspondence of the group the general
supervision of the committee. In cases of urgent matters where the committee cannot be
consulted he / she shall consult the chairman or if not available the vice chairman.
The decision reached shall be subject to ratification otherwise at the next committee
meeting. He/ she shall issue notice convening all meetings of the committee and all
general meetings of the group and shall be responsible for keeping minutes of all such
meetings and for the preservation of all the records of proceedings of the group and the
committee.
Treasurer: the treasurer shall receive and shall also disburse under the direction of the
committee, all monies belonging to the group and shall issues receipt for all monies
received by him / her and preserve for vouchers or all monies paid by him/ her. The
treasurer is responsible to the group and written up, preserved and available for
inspection.
9. THE COMMITTEE
a. The committee shall consist of the office bearers of the group and two other
members
b. Such committee members shall hold office until the following annual general
meeting. The committee shall meet at such time and places as it shall resolved,
but shall meet not less than once in every three months.
c. Any casual vacancies for members of the committee caused by death or
registration shall be filled b the committee until the next annual general meeting
of the group
10. DUTIES OF THE COMMITTEE
a. The committee shall be responsible for the management of the group and for the
purpose may give directions to the office bearers as to the manner in which, within
the law they shall perform their duties. The committee shall have a power to appoint
such sub- committees as it may deem desirable.
b. All monies disbursed on behalf of the group shall be authorized by committee
c. The quorum for meetings of the committee shall not be less than 2/3 members
14. DISSOLUTION
The group shall not be dissolved except a resolution is passed at a general meeting of members
by a vote of 2/3 of the members present.
