Functionality of Gmail and Google Drive


Gmail
Gmail is a free email service provided by Google. In many ways, Gmail is like any other email
service: You can send and receive emails, block spam, create an address book, and perform other
basic email tasks. But it also has some more unique features that help make it one of the most
popular online email services.

Gmail Features
Gmail offers several useful features to make your email experience as smooth as possible,
including:
Spam filtering: Spam is another name for junk email. Gmail uses advanced technologies to keep
spam out of your inbox. Most spam is automatically sent to a separate spam folder, and after 30
days it is deleted.
Conversation View: An email conversation occurs whenever you send emails back and forth with
another person (or a group of people), often about a specific topic or event. Gmail groups these
emails together by default, which keeps your inbox more organized.
Built-in chat: Instead of sending an email, you can send someone an instant message or use the
voice and video chat feature if your computer has a microphone and/or webcam.
Call Phone: This feature is similar to voice chat, except that it allows you to dial an actual phone
number to call any phone in the world. It's free to make a call to anywhere in the United States or
Canada, and you can make calls to other countries at relatively low rates.

Google Drive
Google Drive is a free, web-based office suite and data storage service offered by Google. It allows
users to create online documents and edit them collaboratively. As well as word processing,
spreadsheets and presentation Google Drive offers a forms option that can be used to generate
online surveys and then collate and present the results.
Google Apps for Education is a package of free online tools, including Google Drive, compiled
specifically for schools/colleges/universities. It enables institutes to setup email accounts for its
teachers and students, facilitates shared calendars, shared documents and even the creation of
websites that could become class or project websites. It gives the administrator control to limit

access to the emails/sites. If someone is considering setting up Google Apps for the institute then
it is advisable that it is done in consultation with the ICT Administration person in the institute.
For the purposes of setting up an online questionnaire (Form) then a regular Gmail account will
suffice.

Setting up a Google Drive Account


To use Google Drive, a Gmail account is required. The account can be created by the following
steps:
a) Go to www.google.com and click on ‘Gmail’ at the top of the page.

b) In the next page click to ‘Create an account’.

c) Enter in the required details setup details.

d) Once you have successfully created your account, click on ‘Drive’ towards the top of the
page to access your Drive suite of office tools.

e) You should get a page similar to that shown here. Once you have created a number of
documents they will appear on the left hand side, as will documents that others have created
and have shared with you.
