Letter of Enquiry Format


Here is a step-by-step process to write an Enquiry Letter–
1. Sender’s address: Include an email and phone number, if required.
2. Date: Below address. Leave one space or line.
3. Receiver’s address
4. The subject of the letter
5. Salutation (Sir / respected sir / madam)
6. Body
Paragraph 1: Introduce yourself and the purpose of writing the letter
Paragraph 2: Detail of the enquiry
Paragraph 3: Conclude / end
7. Complimentary Closing
8. Sender’s name, signature and designation (if any)

Example

You are Mrs. / Mr. Gupta. Your son is a student of Class XII and wants to pursue a course in
Mass Communication. Write a letter in 120-150 words to the Dean, Institute of Mass
Communication, University of Delhi, seeking information about the course admission
procedure, eligibility criteria, fee structure, hostel facilities, placement opportunities,etc.
Ans:

availability will be required. Also, I want to know about the placement opportunities that will
be available to my son once he completes the course.
Kindly give any other additional information that you think is required.
Please reply with the same at the earliest so that I can make an informed decision.

Letter to the Editor Format.


The format of a letter to editor of a Newspaper is as follows –
1. Sender’s address: The address and contact details of the sender are written here. Include
an email and phone number, if required or if mentioned in the question.
2. Date: The date is written below the sender’s address after Leaving one space or line.
3. Receiving Editor’s address: The address of the recipient of the mail i.e. the editor is
written here.
4. Subject of the letter: The main purpose of the letterforms the subject. It must be written
in one line. It must convey the matter for which the letter is written.
5. Salutation (Sir / Respected sir / Madam)
6. Body: The matter of the letter is written here. It is divided into 3 paragraphs as follows –
Paragraph 1: Introduce yourself and the purpose of writing the letter in brief.
Paragraph 2: Give detail of the matter.
Paragraph 3: Conclude by mentioning what you expect from the editor. (For example, you
may want him to highlight the issue in his newspaper/magazine).
7. Complimentary Closing
8. Sender’s name, signature, and designation (if any)

Example

You are Neena / Navin, a student of Max Public School, Mumbai. You are concerned about
the lack of awareness around animal rights. Write a letter to the editor about the need to
raise awareness about animal rights among the public.

Through the columns of your esteemed newspaper, I wish to raise awareness about animal
rights and the importance of preserving them.
Deforestation, thirst for adventures, greed for money, and other factors are all contributing
to the extinction of wild animals today. Because of man’s avarice, many wild animal species
are on the verge of extinction. Animals, like humans, have the right to live and also
contribute to ecological balance. Despite the fact that the government has launched
numerous programmes aimed at protecting wild animals, no positive results have been
achieved. Some people keep pet animals but do not take proper care of them. This is not
called for and government agencies should create laws to check and prevent such incidents.
Many private organizations are making efforts but legal intervention will make strict
implementation of rules.
Kindly publish this letter so that we can create awareness among the masses.

confirmation, 50% payment will be made. After delivery, the other half of the payment will
be made. I anticipate receiving a discount on the overall cost of the books because I am a
regular client. I’m eagerly awaiting your confirmation. Additionally, there is something I want
to mention. A number of the books in the most recent delivery had ripped pages. We chose
not to disclose it because it was unimportant, but we won’t put up with another instance of
this careless behaviour. Only after thorough bookkeeping is completed will the remaining
half of the money be made.
