    This document discusses the system study details conducted at


    alsalama college Calicut. The document covers the details,

    Details Of The Study


    Background:
    We have completed a system study at Al Salama educational
    institutions to come up with an ERP/Mobile solution to
    manage all the educational institutions with the objective of
    improving overall management efficiency, accountability and
    an improved online process backed by information
    technology

    Objective

    To manage all the details of college.


    To bring in more improvement in process and systems.
    Overall accountability and control on staff, non
    teaching staff and students.
    To provide international standards.
    Utilize the most modern technologies to the field of
    college.
    To build future business leads from the existing
    resources.

    Current Software in use



    Tally for accounting
    Attendance through finger print technology ( Used only in
    few places)
    Currently Management of Operations
    Single HR team handles the entire functional flow of the
    college.
    No online platform for monitoring the teaching progress,
    complaints, leave, quality of the students, portions covered
    etc.
    No systems to intimate parents about performance of
    students and communication.
    Lack of separate application for monitoring fees collection.

    Suggested Solution
    The proposed solution is a combination of
    SAP and few mobile applications in android,
    ios and windows platform mediated by an
    online web application. The web application
    mostly concentrates of the academic areas
    where as SAP manages of the over all
    reports. This makes the solution on
    international standards ensuring complete
    control of entire campuses to the hands of
    the top management.

    Who gets the Login?


    The proposed application should contain following stake holders. Each
    person should be assigned operations of certain modules based on his
    designation by using a permission management module. The top
    management/ IT head should have the provision to decide who has the
    rights to view, add contents corresponding to various modules. The
    application should provide access to following designations.

    Top Management Board Members
    IT admin
    Principals
    Faculties
    Parents
    Students
    Accountant and other account clerical staffs
    Librarians and other library staffs
    HR

    1.Top Management Board Members.


    (Top level management can easily point out accuracy and feel a independency through the period)

    Sap provide new information & updating


    Automatic salary paid system (e-payment system.).
    Sap will automatically capture the attendance progress reports fees statement and show a detailed reports.
    It can be easily track down every student details behind department visa
    Faculty attendance details.
    View the salary details.
    View the new purchase requests from the library.
    View daily expense from the college.

    2.IT Admin (how can use for IT department)

    A web interface will be provided to IT admin to manage the entire operations related to a campus. He can take necessary reports
    and assign permissions to a user/ user types based on the requirement.
    SAP can easily capture every money transaction beneath account field.
    It is very helpful to IT processing .
    Sap provide special rights to the people who involve in it field .
    Always keeping a backup records to ensure a safety

    3.Principal's

    If you install the SAP,


    SAP is easy to follow and easy to instruct to subordinates with the reference of college.
    We can see the absent student on the time & hr wise
    and also absent staff day wise.
    If u install the SAP automatically send alerts to prinipal, parents, students and faculties.
    Notify the events relating to academic and administration
    Helps to communicate with management.
    Principal can see leave request from students or other staff.
    View the financial statements & results about students /staff (our college).

    4.Faculties

    If you install the SAP,


    It is very helpful to give assignments.
    Provision to add exam schedule exam results
    It can add to internal marks.
    Helps to apply leave.
    Helps to view the salary slip.
    Helps to add complaints about a student.
    It can view his/ her attendance
    To conduct online test paper.
    To provide email service.
    To provide homework form of email to students

    6.Student.

    Parents can access the information about the student using a web interface
    which will be connected with the website of Al salama group or using a mobile
    applications in android, ios and windows platforms. Push notification will be send to
    parents based on any event and which will help in a easy communication between the
    college

    Helps to exam schedule.

    8.Librarians and other library staffs

    If you apply the sap methode, we can record about all books to sap software from the libraries.
    If you have any shortage of books ,sap will be provide alert and other notification.
    It can easily identify which books have holding students in library
    Helps to maintain goodwill of library
    helps to create barcode to each items.

    9.HR

    Currently HR section manages the entire human resource activities of all the campuses. An android app will be
    provided to the HR to receive information, make decision and respond back in a quick manner.

    Helps to the datstore abase of applicants.

    Helps to add staff details.
